##VIDEO ID:MW84-5ZHg_M## we'll call the meeting to order Jeff and joeyn have previous commitments and won't be here tonight but we have a quorum so we're looking pretty good there um would everyone please stand face the flag as you say the Pledge IED allegiance to the flag of the United States of America and to the Republic for which it stands one nation God indivisible with liy and justice for all okay we have one change to the agenda and that's item six under new business would you please scratch that off we'll deal with it at a future meeting having said that does anyone have any other conversation they would like to add or any other agenda item they would like to add hearing none I would look for a motion to approve the agenda with that number six deletion I'll make a motion to approve with the deletion Luke on the motion I'll second seconded by Brian any other discussion all in favor say I I opposed that is carried by the way welcome everyone we haven't seen each other in a while it's uh always nice it's refreshing I what is refreshing is spending my whole day indoors that is refreshing we have no schedule presenters this evening under reports and communication does anyone have anything for the cause any meetings that they've attended any committee uh we had a we tech meeting last week and pretty brief but far as Electronics goes sounds like Elementary staff devices have been replaced or move forward to being replaced as and then they talked we talked a little bit about the crowd Strike last time I brought it up we were talking about how we could be having a monthly payment in order to have the crowd strike implemented instead we Tech decided we're going to be they're going to be covering the cost of it with the state subsidies so it's not going to be costing us anything to have crowd strike crowd strike is in the news a month right now anyways but but um we are now actively with crowd strike as our main protection that we have questions from Bri anyone else for the cause and the committee I'll just add for jool in with the Ed Foundation I mean we'll keep announcing this as we go uh poker social uh September 21st from 4 to 8 at mil street so please come and help support okay we'll close off the committee reports uh administrative board reports as you can see everybody uh administrators chipped in and you can see their uh summaries uh Mr Hodes anything to add no other than I jinxed my report by saying what I said about being fully staffed so shoot I knew I shouldn't have written that in it's the U Never Ending Story um anything for you Jen no I don't believe so you had a full plate on there so uh yeah and congratulations and good luck on the uh upcoming opening day if you will thank you okay a quick question sure so I Elementry numbers are coming in looks like we we did gain a few students what are we seeing in the secondary about the same I think uh I look today and as of today I think maybe we're up five from last year so we've got about 10 or 11 going out and got about 15 or 16 coming in and Jen do you recall we were up in the elementary last year too as well yeah so we're up on top of an increase from last year y great are we looking at with that fifth grade are we looking at potentially having to a close open enrollment we haven't talked about that yet just because in fifth grade the guidance from the district is I believe 30 30 um so that's we still have room little bit room all three of those sections are at 29 perfect still have yeah any other questions if not just take a look at the reports that they've submitted to you in on your uh agenda if you have any individual questions you can just reach out to them public input is anyone wish to speak to the district about every any anything on the agenda this evening or items directly concerned with the agenda we close public input consideration to approve the finance report Mr Davidson no um not a whole lot when the cap worksheet uh for the district for the fiscal year we got through October here uh some of the highlights would be uhas payments as you know those are typical main source of funding for the district they come in on the 15th and the of each month uh there usually is a slow down in the ideas payment in June and they start to ramp back up usually in that August 15th August 30th as a new year funds are starting to be released um funding for schools is 9010 90% of the current year plus 10% of the prior so uh there'll be some clean up as that and a larger part of that is happening um during this time a year for us a little bit earlier for us than General uh the audit our Auditors will be in the district's office uh tomorrow Wednesday and Thursday going through the books for fiscal 24 um probably looking at hopefully having uh our report to the board in that October uh time frame which is a little bit earlier than we have in the past um part of it is um just to we were able to get on schedule B earlier this year than years passed um it makes a little bit difficult to get all that work done you can't start until July 1 once the fiscal year ends and so that data is available but um we'll be going through all that process and have a little bit an idea of kind of where we're at as a district there uh kind of going into based on what the budget presented uh not having a a real large increase to the general fund um but a slight movement in the right direction for us uh we say that it's you know we're talking 2.8% and undesignated to maybe 3 and a half% but um we're striving to 8 to 12 but still a ways to go but it's a movement in the proper direction at least again totally un audited a will have more information as we get through um more of those those findings and and they Man review uh my work um some of the things that will stick out through here bus lease payments usually when we try to when we have those things we are having those payments come on the start of the fiscal year we'll have a few of those coming up um one bus that uh we have that's coming for this year is we're trying to get our rotation to have uh one brand new bus purchased each year and in one un lease um we ordered it almost a year ago uh we still haven't had the delivery date on it yet um we do have vehicles in our Fleet that are uh available for our use so we're good to go Transportation wise uh it's just a matter of us being able to maintain our Fleet on that uh proper schedule so they'll come in but that's just a timing issue the way things kind of are with in the production of uh buses uh kind of some other things to May point out there you'll see the second half of property tax payments comes into the district at the end of October beginning of November although listed here those are estimates as we get closer to the date uh each County will send out uh the actual month that the district will receive but uh pretty close on the estimates and the last thing to kind of review and we've talked about this quite a bit because it's been on our books for quite some time the closing up of the the CTE H project um we still are able to do some cash flow there and earn some interest uh that project is wrapping up uh we have one kind of main vendor that we're still kind of working through to to get finalized on some things uh just to make sure we have punch list items corrected um but we've been able to do quite a bit of things that were potentially project related but maybe not in that original scope of the project and a lot of things that would have tied up uh items in our general fund budget or capital expenditure budget or ltfm dollars uh that were Freedom so we were able to to do some nice things uh for the district uh by doing that uh but that is just funds that we're able to casual essentially that building fund will be all closed up by the time we get to the end of fiscal 25 um which has been on our books now for almost 3 years but um all in all it's been a good project for the district and I think uh pretty well um maintained and managed to to do some pretty good things for our kids and for our staff so any questions I'll do my best to answer anything for Josh you said there's one vendor in the CT project is it just some punch list items that it's deal with electrical um so we've got a retainage amount that we are holding back and until we get everything go figure out so sure I'm working with Ka and isg to make sure that that's all taken care of and to our to to our satisfaction and day has been good at um making sure that things don't move forward until we have things done correctly for us I'm sure they're ready to be done with it too yeah sorry yeah other question if not I would look for a motion to approve the finance report as shown I'll make a motion to approve glint on the motion I'll second seconded by Luke other discussion all in favor the approval of the finance report say I I I opposed that is carried consent agenda items under the consent agenda are cons routine and will be enacted under one Motion in you event a board member wants to discuss any single item it can be removed from the consent agenda for separate action you know we usually have Jeff likes to uh likes to recognize our donors and for that reason I would ask Luke if you would just read the donations and the donors please all right uh $3,500 from the Canon Falls booster club for huddle and the JB coach $1,795 from the Education Foundation uh for K5 Mystery Science online subscription from Miss Chi $500 from the Education Foundation for Davidson 78 growing and sustaining a classroom library and $1,110 85 from the CF booster club football booster club for charter buses those for their donations thank you does anyone have anything in particular with the consent agenda items got a chance to review them when you're comfortable I would look for a motion to approve the consent agenda as shown I'll make a motion to approve the consent agenda as show I'll second Clint on the motion Katie on the second y other discussion all in favor of approval of the consent agenda say I I I opposed that is carried under new business action items consideration was set a truth in taxation hearing date December 16 2024 at 6: p.m. in the middle school high school boardroom right here so annually and procedurally we have to have a truth and Taxation meeting gives the uh taxpayers a chance to come in show their concerns question uh expenditures tax tax issues so um this date has been set aside it's usually in the beginning of our regular schedule meeting right yes correct so procedurally we need to have it it's always been in December so it's far enough away that I would look for a motion to approve the date and time and make a motion to approve the date and time of tration thank you Katie on the motion seconded by who I'll second seconded by Brian other discussion all in favor of the approval of the date time and local for the truth and Taxation meeting say I I I opposed that is carried consideration to approve a resignation yeah this this is Joel Kon this is our trainer correct Joel Kon okay so he handing his resignation and uh the number three item will uh will follow that up so we need a motion to officially uh approve this resignation I'll make a motion to approve the resignation of Joel King L and then I'll second and Clint on the second other discussion all in favor the the resignation approval say I I opposed carried we need a trainer um Clinton and I had some good conversation with the superintendent in ad some time ago and we understand the uh besides the need the shortage of them right yeah I I know Reed's been reaching out uh to many different places I mean we used to get it from Mayo uh apparently Canon Falls is too far now um compared to some other schools that are in our conferences to to offer their services uh I know he hasn't had any luck here in Canon Falls um it sounds like an option that we have here is uh working with Northfield um to me it doesn't sound like as of right now we don't have one person completely assigned to us but that's the intention going forward is to is to find someone so uh this is basically our only option that we have at this time so when um and and this isn't throwing any shade I I appreciate Joel came in and and stepped up at a time when we really really needed one it's just when we kind of have a uh a last minute resignation in a way uh it kind of puts us in a spot so this is what this is what we have and uh this is what we're looking to do um when we have uh when we set the agenda I usually speak to the uh superintendent he seemed to say that Northfield was uh hospital was quite optimistic that we'll we'll find one we didn't he didn't share that optimism optimism 6 weeks ago but it seems to be here and it's probably going to be an additional cost to us probably but we really can't spell that out but um I don't think we have much recourse here actually yeah I did talk to Reed today too about this and he said that there would be a path potentially through Northfield hospitals that they they use a firm to gather people and that there would potentially be a path for someone to be designated the can Falls but they hadn't found someone yet so I do think that is a good thing um and uh so hopefully that that can happen I guess uh I would look for a motion to approve the agreement with the Northfield hospitals when you're ready we can finish up conversation if you have any other discussion items I'll make a motion to approve Clint on the motion seconded by whom I second seconded by Katie other discussion no I was just going to add that I mean there is potential that it could cost us a little bit more but there also could be potential that it actually saves us a little bit by kind of more of like a allar kind of fashion compared to like piecing it together yes just instead of just full-time is what I'm kind of seeing just reading through a little bit so yeah never know right okay we have a motion by Clint seconded by Katie to approve the agreement with Northville hospitals to get us a trainer all in favor of that motion say I I I opposed that is carried consideration to approve an updated 2425 coaching list for the fall I think the items highlighted in red would be the only additions from our prior approval it's all tennis it's all tennis so I'll make a motion to approve KD on the motion to approve I'll second second by Brian any other discussion yeah I would just uh say thank you to those that are doing it I see there's quite a few volunteers too which is obvious cool and positions like this uh much like um teachers and what not are hard to fill these days or trainers um so to have it completely full I believe and some volunteers is is pretty good so thanks to those folks okay any other comments all in favor of the updated 24255 B coaching list say I I I opposed carried 2425 gced which stict to procedures plan document might need some help here okay I'll do my best feel um so this is an annual process uh gcd develops that document based on statutory language and then all the member districts approve this annually so I will be honest I don't know that there's many changes in the past if there are it would be based on last year's legislative changes mhm any other comments we need to this is one of those things we have to do annually y so yeah and you have to do the reviewing of CPI training annually too right so so all all of our special ed staff all of their professionals all administrators go through CPI training in the fall or usually it's like right before school right but yeah and that's part of this too yep and then the the main thing is for that is um if if there is a situation where we have to use a restrictive procedure on a student what the process is for notifying everybody and debriefing and yeah yeah and Reporting it yep questions for Tim I guess the only question I have is so this comes from the state but goes through gced then to us so it is it is this is GC document okay and it's applied to all of the member districts of good you County administ okay they're the ones who actually develop it but it's developed based on the language of the statute okay thank you all the member schools contribute to yeah this document yeah we all we all use the same restrictive procedures planning CU I think I think GCB is the reporting agency for this for everybody so got that's why they develop it thank you we look for a motion to approve the gcd GCE restrictive procedures document I move to approve a second seconded by Katie any other discussion all in favor of the approval of the gced restrictive procedures plan doc say I I I opposed that is carried consideration to approve the a 2425 Mentor program anybody wish to speak to that it's um yeah I mean our our Mentor program I think when we talk with staff that we bring on board from outside of the district um always talk really highly about what um Dean Coleman and Amy donach have done with that um it provides a whole lot of support for new staff which is I think one of the keys for us keeping staff around as long as we do um so it's a big part of of what we do to to for uh developing effective Educators and developing you know just a place where people want to come and work and this originally was K sa maybe right yeah I think K started it um and then she's still kind of a part of it she does uh our peer observations so it's part of our evaluation process one of the years of the three-year cycle is to have a perer evaluator and and Kate comes in and meets with all those teachers who are in that year of the evaluation cycle and does an observation of them and um K and uh Jennifer and I uh it's been a great working relationship because Kay knows what the kind of things that we want to see um and she's very helpful to us um you know and getting to know our Educators and uh you know uh it's a different kind of Rel relationship that she has with teachers than necessarily Jennifer and I do because we're supervisory and K is up here so with them it's an easy conversation just about professional practice um so it's it's a really good program all together thank you we're lucky to have somebody like her who's still interested in continuing to do this so so K still does this for us so the the mentor program is run by Amy and DM okay um and K is as a part of that K does the per valuations okay each year and the only reason I asked this weekend I had a person used to coach baseball with a longtime teacher in C St Paul and he found out I was on the board and offered his services to do something like this oh okay do you does anybody from the outside ever other than say become a mentor we we haven't had to have that because had really great people on staff obviously Kay's been retired K was retired before I came here yeah I don't know when K retired um it's been it's been a long time um but that relationship she has with all of our staff is is so valuable Amy's been doing peer mentoring since K gave it up and that was probably eight or nine years ago I think and then deian came on board when she retired or she was actually doing before she retired was she yeah so um Dean's been re for three 3 years and she's still you know interested it's helpful to have someone on staff being because they're living it too right so or at least know of it yeah sure thank you okay I would look for a motion to approve the 2425 Mentor program I'll make a motion to approve Clint and the motion I'll second get seconded by Luke further discussion all in favor of the approval of the 2425 Mentor program say I I opposed Carri consideration approv the updated policy 522 does this require a couple of readings or not necessarily just update just you see it's to your back page [Music] here and must be included in newsletter that highlights the changes so I would that question so this needs to get approved on an annual basis um this was a an update from the legislative change all right last session it took them a while to get us this one would you like to take a a moment to read well I'll be ready to look for a motion to approve whenever you are we'll make a motion to approve Quint on the motion second second second by Katie any other discussion all in favor of the updated policy 522 which includes the newsletter from the msba say I I opposed that is carried you know this is one of those summer meetings that we don't have uh we have them once a month and it looks like there's a reason behind that everything's going well um um you're ready for the most part yes for the most part we had new staff in today um it was a small group I was talking with wor I don't know how long it's been since we've had only three four people so um that's a testament I think to our district and you know people stick around here because it's a great place to work um all staff come back tomorrow think the buildings are kind of going different paths during Workshop week just we some shared staff so we try to so I have a my big staff meeting tomorrow morning right after the just kickoff and then tomorrow afternoon we go to Treasure Island um to see Joe Beckman who's sponsored by gcd uh this is the second year that they sponsored a big All County uh meeting so it's kind of neat to see my building tomorrow or on Wednesday starts a little later because we have open house on Wednesday from 4:00 to 6:00 and then Thursday for me um well I guess for everybody we're we're doing a farm to school tour through several of the farm to school vendors uh that provide local produce and things to the school district and then we've got meetings in the afternoon that's for my building different forat building yeah and I have my full staff meeting on Wednesday um Wednesday morning and then um yeah we've got our committee meetings and as much classroom work time as we can fit in there for teachers and yeah we're excited got a question what is a a full staff meeting look like you you both mentioned you'll have that coming up obviously food yeah um yeah so the whole District all staff come together tomorrow morning and then Tim will have his staff meeting and so that's going to be it's open to anyone but primarily teachers but we encourage any new staff to come um to our individual meeting sure thing and what are you asking what those entail sure thing yeah slides of like eight things on it that are just things that staff could read over email but I just like getting everyone together cool yeah I mean like here's where you find the bean bag filler that was just coming in my normal staff meetings monthly staff meetings are what 10 15 minutes long this one will be more like hour and a half yeah just kind of going over all the normal reminders you know don't use duct tape to hang things from your walls because the pain off you know make sure you're contacting parents all that kind of stuff so have sub plans please it's really nice for the new teachers I will say those it's hard just to everyone can get their name y they not in asyo yep they they they go over all that new teacher stuff like I said today but to hear it again tomorrow will be a really good chance and then they get to hear the questions that everybody asked to because a lot of times new staff don't want to ask any questions sure thank you for your input and I appreciate it I tried to put you on the spot before the meeting started speak up and you I know you didn't listen to me yeah it works it works okay as you can see uh next upcoming board meeting will be September 23 24 and uh we'll have uh I'm sure we'll have a full plate by then of items if there's anything that you uh wish to add or uh think needs to be on the agenda please contact Lori or Jeff and uh we'll see if we can get it on the agenda for the upcoming meeting anything else for the cause haven't seen you you folks you done with your uh summer sports with the youngsters yep we done they y volleyball play firstday or volleyball plays tonight uh all levels or whatever I think they're down in Chatfield what ball WIS the first when's the first gamey Friday happy Friday coming up anything else for the cause if not I would look for a motion to adjourn I'll make a motion to adjourn Luke on the motion I'll second seconded by Brian any other conversation all in favor of adjournment say I I opposed we are finished
