##VIDEO ID:SpJfEYLGAl8## excellent welcome everyone December 12 how'd that happen Helen first order of business is the vi and approval of the minutes from 1028 one's had a chance to look at them any questions concerns commentary move to approve the October 28 2024 minutes fantastic second there is any discussion being none okay do we uh oh there he is look at that Mr fenny uh I'm gonna abstain I wasn't at the meeting okay great paage yes I'm a yes Miss Brown you make it no no M Blair yes M qumy yes crucial Christenson yes Thompson yes and Miss hill come on there she is yeah there she is I am I'm on I'm a yes but I wanted to note I was having trouble logging in that I'm listed as absent on the 28th and I was in attendance okay so we have to you want motion or what you want you want to redo the Motion makes you to go with it and pretend that it was always there redo the motion okay I move we accept the uh October 28 2024 minutes with one Kathy Hill was in attendance Ryan second again all right just going back through Mr yes um Heather said she's on the call too I don't know okay bring her in yes Mr quinby yes cruel yes Mr Christenson yes M lar yson yes and Miss Hill yes okay great all set fantastic thank you everybody looks like those that are remot or members of the committee exclusive ly yes we'll take that as a yes Benjamin very good thank you Steve if you could uh just go on to the next slide yes perfect all right so we've got some uh some good updates for the committee uh in terms of bidding if you recall to our last meeting uh we're getting ready to start the file sub bid uh bidding uh we broke that out the first leg of of uh the trade contractor bidding was the hbac Electrical Plumbing and fire suppression trades um so last week last Wednesday uh we had our bid opening and so what you're looking at on the screen the top uh box is showing the results of the high school uh bids for those trades um and what you're looking at so the I'll go through the yeah I officially have old eyes so each trade you can see fire suppression up top Cogswell Sprinkler Company was um and once again all these contractors were qualified by the pre-qualification committee they were uh allowed to submit bids on the project um so cogwell was the low bidder and you can see uh the column next to that is a 90% budget estimate which we compared to to show the the Delta between the two so green is good red not so good um you can see here we had a good savings on the fire suppression trade 4 6,686 um Plumbing so that went to gresi plumbing and heating uh again they were they were Low by about 340,000 versus the 90% budget estimate so all things good there hbac uh William F Lynch they are were slightly higher um as was electrical who went to uh which went to Wayne J Griffin they were higher than the estimated value as well but as you can see uh collectively there about $24,000 $24,500 under what was estimated at 90% for those four trades um which is very good news those are you know I would say MEPS are are kind of the larger trades of the files sub bids so um having that kind of savings with the with the major packages uh out of the way is is definitely a good indication at this point you pick the lowest qualified bid is that yeah so essentially what the pre-qualification committee does is we go through and uh you know either deem them qualified or disqualified only the qualified contractors are given the specific information that they need in order to access the bid documents in order to submit a bid so when the bids do come in you've already done the leg work so whoever is the low should get it unless there's an issue with the bid forms or something with the submission there were no issues with any of these contractors so um so that was on the high school project uh down below is the summary of the pool um so you see there's some consistency here in terms of low biders and there's some change so fire suppression Boston fire sprinkler protection that's different than the high school um they were about $82,000 of savings if you will versus is what we estimated um Plumbing that has some consistency there gresi plumbing and heating which is good um they're a little bit High uh $75,000 High compared to the estimate um HVAC was Adams Plumbing and heating uh so different from the high school they're about $100,000 High um Wayne J Griffin for the electric uh component which is the same across uh the board which is which is great um they were a little bit low $77,000 low so all in all you can see that that renders the $113,000 over budget if you will at this point I don't want anybody to get too concerned with that number first of all that's not a crazy high number for this stage it's also uh there's a lot of remaining trades that will be bit out should for whatever reason we come in over budget that's what we talked about originally when we're setting up that budget and why we have those that contingency there uh hopefully that's not the case like I said we have a lot of uh trade bidding to get out of the way I'm very comfortable with where we're at uh there's not a crazy uh you know I'd like to see it all green and and all in your favor but I think this is pretty good for where we're at excuse me Danielle remind me where did we buy controls they're with the HVAC contractor they were proprietary and I believe them are using CTC yeah so they both paragraph with CTC which we were very lucky I mean there are some fontaine's definitely gonna have to uh figure out a system for managing you know the different um you know fire fire suppression folks but our our biggest concern was uh HVAC uh more so on the control side which Mark just brought up um they both listed the same control contractor and then on the electric uh side which you can see wayne J Griffin's carrying the contract for both so that's uh you know all things considered I think a good a good thing considering how this could have gone with the two different projects I was a little concerned about geki being so low compared to the they signed a contract or they we haven't issued them a contract yet we sent them a notice to proceed um they did attend our kickoff meeting and they did come to the scope review and didn't raise any issues they're a good contract I've them on multiple jobs but they came to the first you know Bim coordination meeting too show kick off on that so they seem to be excited about good and the sprinklers in the natatorium 40% below the estimate that's not a concern that that's way lower I mean we're grateful for it but how come it's so far off is my question we went through kind of I mean we did the pre-bid meeting with them uh went through you guys check and seems like they've carried everything so I guess hungry just been like three mind a lot of this is situational you know and he's coming off of that maybe he felt more comfortable how we're going to do it we kind have talked about some some strategy for him to get going but he seemed to be fine they're relatively new from what I we we we have him another job and the guy was a project Z at suffk and started his own business who's up football WPI I don't know okay I checked up on that you can go to college in Maine so it actually does narrow it down middleberry Andrew did you is that what the pre-qualification show us your diploma I think they're hungry for work to grow the business so that might explain to bit a little bit might not know where Esa met I'm worried he knows where William all right so any questions just regarding the MEP fire suppression trades um we have since uh given the notices to Fontaine to um start engaging with them in terms of just these preliminary meetings um but what you will be seeing in front of you today is a recommendation to approve amendment number three for fontaine's contract which is essentially these contracts so like that right now just see as we're talking yeah we certainly could yeah Gordon um any chance you could skip forward about four slides I think something like that Jim more ah just off five no worries um yeah so do you want to queue it up or I can yeah sure amendment number three includes the four me contractors fire protection fing HVAC and electrical and it also builds out some of the allowances that we've been um slowly adding to as we go along in the the project all of these were as a sum within budget from the 90% And The allowances um are building up to the value that was carried in that estimate so the total for amendment number three is 44,45 7,49 so you're comfortable that you've got sufficient allowances holds what have you and fill these guys out as of this amendment yes the GMP coming very quickly okay is there a motion to approve I'll make a motion to approve uh amendment number three to the contract for Fontaine Brothers second excent seconded any more discussion questionss seeing none all right Mr fenny yes okay Mr Paige yes yes m brown yes Blair yes Mr quinby yes Mr cruel yes Mr Christensen yes M laar yes Mr Thompson yes Miss Hill yes and that's it yeah no I got it go that all for the major packages you expect or do we have more coming you'll get you mean by Major yeah there will be one more so in terms of the amendment yeah so this is probably I would say the last installment of an amendment before we get to a full GMP I don't know we haven't had that discussion yet if be worthwhile but our our hope is to um you know we have our files submitting on January 7th Fontaine is also uh procurement for the rest of the uh scope of the contract so we'll have to have a discussion about when that's all going to take place but the goal would be to come to a full contract that full GMP which is going to be uh incorporate all of the contracts and you'll be done after that um so as far as where we're at now we're on track we're on pay yeah y awesome then where are we for total dollars for Fontaine including Amendment Three you have this 80 it's right around 95 million you want I'll pull up the exact if you want Ste that's fine just looking for order or magnitude right excellent carry on on MSB so not too too much here you can go it was just um where this was I don't have a specific uh slide for it just wanted to touch base with you guys about um our msba deliverable so we're kind of uh through the woods in terms of our submissions to msba you recall you guys approved the 90% CD submission to the state we submitted that we received uh mba's comments back and we have since responded to those comments um which has kind of concluded we we do send in the 100% construction documents to them um that's kind of just sending the the plans and specs it's not really all the all the uh prerequisites and requirements and all that stuff that we've had to go through on all the past submissions so um things were kind of as as expected with that submission there wasn't anything out of the ordinary in terms of comments just a few clarifications um so I think you know that that was all good uh I think that's really it in terms of msba deliverables right guys yeah y yeah so good job you've you've gotten through the uh the design uh submissions now it's all construction um I did want to just talk on the um groundbreaking event so first of all thank you to everyone who came out and made it a success it wasn't the greatest weather but um some of the greatest people right so that's that's all um no it was a it was a good event and we uh we toss this around to a couple of the members just to see if there would be an appetite from the town from uh this committee to entertain a topping off event um so I think I've gone through traditionally the uh ceremonies on msba projects the ground breaking is the obviously the kickoff of construction um the topping off is typically tied to the uh the structural the steel uh installation uh we try to time it out with the last beam or it's you know at least symbolic of that um and then there's the the ribbon cutting at the end to open up the building to uh to all the staff and students um so I think there is an appetite um based on on our preliminary conversation so we just wanted to talk about it today um and just kind of start getting the ball rolling in terms of planning I will let you know traditionally this happens at the end of uh steel erection which right now is end of February beginning of March is probably outside I could be with please come to the office really just presenting it to the group to first see if we want to do it and if we do want to do it this can be talked about uh at Future meetings as well um do we want kind of the same setup are we going to be you know inviting the the state um politicians Representatives uh all that good stuff so we're just looking for a little clarification as to if you want it yes and then we can kind of work in the background and and pull it all together um like traditionally the the people working on it appreciate that right would you say that fair enough so we should do it so at the just knowing that the pool still be under we won't start you know that won't be done obviously because we're not doing that because that's block bearing so it'll just be okay it would be high school itself yeah is what you're saying what's that we could have two have much as you want I think that people appreciate it you usually do some kind of lunch or sandwiches or pizza whatever St money more for the Tradesman and giveaway is not a bad thing either no it's it's you know it's it's for the school to celebrate as well and St officials Helen or what no yes it's typical invite them yeah definitely invite them msba msba as well great the top half the reason we bring up the trade the trades people typically that's where uh you know we like to do something because it's also sometimes tied into like safety component like that groundbreaking they really haven't haven't not they Haven earned it but uh you know having usually tied to some safy component you know 200 work days safe or whatever something like that should we come inside to eat if we're gonna get food though like right here right it's an outside event was very clear I'm trying to bring it Ines you could do that you could I mean if it's on site you could do the trailers we could set up something there or you know I think there's some just thank you to the the trades man I can get behind that I think it shifted away from what we're we just did you know I want to have redundancy but it I like the idea of doing a thank you to the to the guys working on site it's good thing I don't too I don't think there's any reason to ratchet back the excitement or Fanfare for the biggest project in town history I don't think we should at all makes sense they usually put a Christmas tree and American flag on the beam yeah Tom and I are gonna climb up yeah we're we're there I'm gonna dress as a Christmas tree make sure you tie it up dress as a tree I'll dress like Santa in the history of this it goes back to Scandinavia when they built wood buildings they put a tree on top to honor the tree Gods oh that we have to some history yeah great local tree farms in town so they don't us of Norwegian descent uh agree with you we'll get Ben the night sorry when we suggest this might be and February being in March we'll see how it goes see how the winter goes see how the erection goes no I asked them the question they just all yeah we'll get down the bottom on that but um b day is this nth not the seventh is the ninth we knew that we didn't correct you we let it [Laughter] go I can't let it go okay all right so excuse my tyo the bid date for this is actually January 9th um but nonetheless all right so in terms of a uh a topping off ceremony sounds like everybody's in favor so we can start to do some planning around that I think with our OAC group and then maybe come back to the building Committee in January with a plan sounds good yeah cool all right um addition when Frank and I were commenting on it unaware that it went back to a little more because I've heard conflicting reports about the uh always step off with the tree guys it's not Christmas tree though non- denominate and we known about the tree Gods I'm sure Green Tree we just did one of the with fontaine's team and Spencer and for us what we really like about it is the trades sitting down to lunch and kind of helps also just with the whole I say we got tables and chairs let's do it right I mean big budget you're gonna serve them I'll do it I got aprons man I not afraid outside well that's why I offered wants to go outside so we'll figure it out right leave it up to the team oh yeah we're right off the C right in we should do that no mark we'll discuss it construction we're outside that's what he told me the last time but recording hear I believe it was the first update I had on there for you Dory I don't know if you wanted to after that though because I didn't let Gordon know um the PDF you sent him should he pull that up as well he's got okay all right sorry yeah you want me to go there sure well we just we updated some renderings just happened I don't know there it is okay uh so we have some updated renderings to share you know the rendering team s Works independent of of us so there are always little things that are are not the same but just to give folks some updates um I've already put these on our website um uh so we have a couple here to go through and then uh we wanted to also just draw attention to the natatorium specifically but so yeah you can pop through these awesome Dory yeah so as youall last time we saw this it had a fabric canopy now it's got the final canopy um this is the cafeteria side of the building going where we could do a topping off ceremony yeah uh then this is the art swing looking towards that and the new curved seating area that looks really nice awesome looks very cool yeah next uh this is a natatorium so approach towards the nitorum one more and then this is the nitorum entrance so the you can't quite see here but part of why we we were pulling these in is to talk about the naming of the nitorum and I know that that requires a process but just to clarify that that was something you can't see it here there's a sketch that follows I think in the next image that shows you that we need to we have letters assigned to the outside um that enter you know s cast or stainless letters we need to know exactly what the name is so we raised that question of asked this I think to review and determine the name and get back to us so we are holding a number of letters just to be sure we own them yeah how many I think we went something longer than this that's what's in the bid set right now yeah 18 we have I like letters yeah no we just wanted L community community pool we could add the community and just have more letters in the bid and you can have time to name the building yeah but I was kicking around the idea of a former coach but I don't know if we want to go down that road how long is their name just kidding froming things after people after a while there nothing means anything well in the last 16 years historically we've not named anything did you get a donation for naming right sure if you got a million bucks we might think about it I don't know I I I would prefer but I'm it's not up to me community pool I mean the focus should be on the community so East wi community pool or Community nitorum or something like that community pool need it is a good point that's true you should know where we gonna put on the there though it seems I like IND descript or nondescript spart Auditorium I thought that had a nice ring to it and it's fancier than pool you know I don't love pool either do the Marlins mind if they're in the Spartan edorium does that work well I you know we sold it to the town as using it for the community having you know seniors come in during the day so I would like to focus on the community part you know we I don't know we could we're all Spartans Greg better word it is Spartan Nation Spartan Marlins so be determined but I guess yeah know if people have suggestions then yeah when I hear pool I think backyard you know so yeah um we're GNA put a name on it I'd rather see natitorium just whatever is before it I agree with you yeah okay no that we can put community community yeah I know but they want to put in the bank what's the next step of this Greg you want us to put it on the agenda just go school pool would you water I want to know what you yeah add community in there we and then if we have to scale back we can right do you want Natatorium Community Natatorium no too much that's a lot of letters you're going to do your thing and so give us those just capture the and then we'll decide plenty ofs we just capture the amount of letters and we go from there in the agenda yeah7 uh in other news we've been working on the um Furniture fixtures and equipment process um all the Departments have been giving us their lists of needs um we had some outstanding needs that we U sent back to Frank to try and you know shake a few Department trees to um get a few more questions answered where people ask for things but we didn't know what it was or needed a little bit more guidance so that's under way um reaching out to Bruce about the um site uh to talk about that as well because uh site is also part of the project and there may be some specific needs there um in terms of Maintenance and such is that what you're referring to this is where you're talking about this is all part of the the second process not this process so it takes a while because that'll be the key is less maintenance the better obviously right right yeah so we've met with custodial staff for instance and talked about they would like riding you know floor cleaners but in reality things right yeah cool goess so that's all underway we're meeting next week to just kind of catch up and try and bring the it conversations together um to take a look at where things are if there's any more polls that we want to address before we s of start tying that process up D are we comfortable thus far that we're in line with budget or is it too early Yeah we actually um I think helped by taking a little bit of a risk and putting the switch gear and waps into the base bid um which is switch gear H nwork gear switch gear was already there one switch gear that actually was about a $500,000 value so that gives us a little bit more room there's always is you know more request for equipment and Furniture than in a way you you can probably handle but I think we're feeling pretty good about it I think it always comes down to some of the big ticket items like you know one or two pianos you things like that so there's still a lot of Shakedown that has to happen um I think you know I want to check in on the zoom zoom based equipment that we talked about because I we haven't yet included that but um but I think it's going to be pretty good have heard a lot and have all that information kind of coming you have furniture selected then chairs desks we have a budget no so budg next step is once we are committed to what that budget's saying is bringing in samples and again the process of procuring is really more of a proposal process where you're outlining what you're looking for and then you're getting bids off of the state procurement list and those may be different desk different chairs completely but that comes in as a bid because it meets our requirements and then we look at it and say well we W like that we don't like that that kind of goes and then the price yeah yeah some things we can determine that we want exactly that chair um and you usually do that or yes okay stur the consultant is Shifting more towards purchasing off the cooperatives and finding that bidding you don't know what you're going to get with the bid the numbers from the uh Cooperative purchasing Agreements are pretty good and the those are already set is that why cont being sure that really good providers are in that purchase agreement so we have access to furniture that they already like the vendors um and that makes it a little bit easier so but the process that is involved is bringing in samples finding out what the school feels strongly about and then kind of anchoring to that um and that takes time and is kind of a process who's your um consultant step on this one good so all processes always awkwardly follows after we've done this other work so anything else on the design side no we're answering rfis preparing for the holidays and for the bid does great thanks D Daniel and Mark instruction manager update yep you want to go couple a couple of drones we can talk about the three- we I guess we can talk about just Steel in general so foundations are in that 80 80% plus all the footings are done the walls are about 85 90% done in the B High School building working on interior peers now um kind of cleaning that up the next few weeks next couple weeks by the beginning of the year we should be really into the pool as our goal we should be get to getting a rebar for the pool before the week of Christmas maybe the week after um we're going to start digging the foundation for the pool so the build Base building will be done as far as Foundation uh steel is getting manufactured right now they're producing right now storing it and they should be bringing it down we're hoping for around that Christmas week but you know with everybody breaking off we really will see it in Earnest going up the week of January 6 is when we really start sand steel fly and then you know the8 to 10 we window that they have to erect the high school will will pretty much be where we're at in the next few now now we have the other trades Daniel's working we're working with the coordination starting that making sure the sleeves and everything else are in right location and as we work through that process as the steel goes up let me keep going from there but that's gonna take us through the next month or so two two months Mark steel Fab going steb steel Fab's going well Danielle's been working on that you know so all that's going well she's working on units now that we have Lynch um and making sure the Steel's in the right location making sure now we're working with Gress you to make sure the rain leaders and the the roof drains are in the right locations and the sizes and what they're going to submit to these guys to get approved and all that going there so we can get the you know frames dropping from the top versus underneath so it all works out a little bit better for us so um so like I said by the beginning of the year right after the first of year you'll see steel flying and they'll be and'll be consistent we'll go through D to e grab C and A to B while we're doing the spine at the same time you say Mark that the nitorum is not steel it's it's block bearing so we have to finish the foundation get the foundation going get the on board which is January 9th and um then once we go there in beds get put in installed in the beams and once you know once all that block is installed we'll be looking at I think it's actually around May June when actually the um steel for the anator actually goes up you leave a wall open and then dig the hole after the working on all that with we had meetings today with the stru engineer but yes the footings are lower in the backside so the goal is to leave a section of the wall out get everything going bring the block up bring everything up set the trusses set all that and then come back in and dig later that is the goal okay cool at the same time um Ben talked about build bidding the file trade bids but we also have all of the non-file trade bids um with a due date at the same time for their pricing so then we'll get all of the other contractors on there's a couple we identified as priority contractors like drywall and fireproofing we'll try and bring them on um get their quotes before the holidays and see if we can scope them out and level them to get them on board sooner Can U trades you have coverage issues with or you good coverage yes so far it seems to be good coverage I think there's two pool bids but everyone else wall can be a problem sometimes around here but there's quite a few interested so we'll see they ping draws and N you um good question G is one of them and there yeah yep so those are the two they both know how to do it it's a lot of coordination you know you know just to get the sleeves right to get the pumps right to get all that thing to make flow to work with the gutters there's a lot of stuff that has to go into that so getting them on forward as soon as we can as we build that is is huge so and you can see now if you look at the Drone footage we're looking excuse me the lower part the gymnasia you can see the kind of the um wall panels going up around the uh bottom side of the gym on that side but the whole upper side the D the E A we're coming through we've done we're working on the stage right now area right now putting the stage together and those walls there but all that a building exterior Foundation is is complete we have left a hole open in the backside you can see kind of where the tracks are coming to the building that corner of the building we left open for Access for the trucks and everybody to go in and out to kind of build it and we'll work our way right out the building out of that so elevator's done and then uh loading dock is built um we've working around a corner here on this on the south side of the building B also which is goes into the kitchen the grease trap is set we're looking at the lower section there so that's all working our way around there so that section I expect to be all done the next couple weeks and the foundation we into the pool before the first of the year anything else on the Fontaine side excellent thank you yeah takes us through the agenda yeah we already did that right uh people remote anything for new business you'd like to bring up lot of shaking heads in the room any new business nothing maybe a Target date for the next meeting if we could yeah let's do that have a GMP until does it make sense to meet in mid January we should ask the committee probably here first I know we got a lot going on and then much time do you need uh that wouldn't be for the GMP I was I was just wondering so the full GMP guys we're talking about is realistically probably going to be what February before before we get that um which would be our next need to meet formally um however if we want to do something in January just as an update we could share kind of the bid results uh go through another update on the construction side um but in terms of our next major approval um that won't be until February so leave it up to you if you guys want to do something in January or if you wanted to kick uh kick it until February come back to finalize the topping off money yeah good point we brought that up pick a tree pick a tree I think I think it'd be worthwhile you know a couple costumes yeah that's a very good point I would recommend as a tree you want to do that so uh been the Thursday routine how did the 16th to the 23rd look for folks 16th isn't great okay third timebody with the 23rd thir right here same 23d for on screen okay
