we're live now now we're live yeah yeah right so yeah Bike Rodeo is our LGE or oldest event um one event that's hard to get rid of because safety a safety event the town has tried to get rid of it before and we fought for it and we fought to keep it for multiple years now I it's like 25th years 24 25 years for some time so hopefully we can have everyone out there is is there a way that for like oh we can we like when they post on social media and stuff is there a way that we can put it out there as like the 24 or 25th like by like yeah we have to just see which one it is how old I think it was posted a years ago somewhere like the 21st year I know they post the thr back one and they had the same little house that we had like last year like that house is 25 years old um any other anything else on bike radio that anyone [Music] hasf move on to item nine Halloween this is our big event our largest event now I would say almost basically the largest to event um and some L of dollars to it Mar you that um I know we ask for more money in the budget but the money we budget is what we're planning for so they even if they don't give us that budget we have to plan for it with that budget we get sponsorships to make up if we don't get the budg how much do it uh usually it's 15 and we want up to 20 30 30 we doubled it no it was at 20 yeah at [Music] 20 we already have we already have the dates locked in we already have n effects locked in we're going to uh we're going to do 30,000 we're the hunted house again over at the basketball courts and um we you know more C that's something that we definitely need that is well for the candy we figure out the solution of having families come and volunteering then I can help with the candy the trun oree and then have D at our school so I should idea guys just keep in mind uh no remember that we also spoke of the fear the safety with the we we Prov we're g to be drives at our school but I know we did that last year and we still ran now no no no listen uh I cannot stress enough how wonderful of a drive you guys put together Sensational uh you're welcome you know did it last you know in our eyes it was it was plenty right but hey it was two seconds more that we didn't have yeah yeah so you know it is what it is yeah what with the fear of the so if what if we inspect the candy that the parents bring from the like it's unopened in a bag do that when they bring it they have to bring it in an unopen sealed bag you know one of us we have to everyone have to be there so what was the what was the file on this again that we inspect the candy that the for the them to do the trunk or tree in addition to paying the fee they're going to pay whatever candy they bring must be brought sealed unopened and we inspect it before the event starts and then they can author and they they they'll be giving it out at their all the elementary schools in the town do this every single all I'm sure trunk or tree Tre no we're doing Trunk could be a t or it could be a trunk whatever they want you're not allowed to leave until it's over they have to stay for the whole event and they have to bring candy on open it has we need to do like a wer cont okay saying You must stay there until the end of the event things like just information and all this has to be pre done here wavering each person they can't just show up and say oh have to pay a fee and saying if there's damage to your car it's not on us exactly yeah we have to do a waiver we can have a map where exactly every was where anything happens we know who was where and whoever's managing the entrance can say okay it's you you because then it's not plates and everything give us your plate number everything yeah because if not we're going to lose a good idea security the security going to be going are we going to do it through a Eventbrite for the sign up or I think it's the easiest way to and then we have to close it before you can ask questions that are required how much do we it at I think said like 50 50 cars oh no not 50 cars have cars wholey can we allow School clubs to do it sure if they sign they want to pay we don't let anyone in for free you're using that money that money goes back to the company go back to I don't think they allow School clubs to do I think you have to look into that it's the kids that's the problem the kids that's the problem yeah so we have to look they need have adult supervision like with us we have our own volunteers we have adult ex exactly and they also waivers what time frame do you is that what you guys were thinking really like how how how far yeah but like you run out no I mean like to start it I mean bu out the start because the haunted house usually we start the haunted house like what time is it so the event usually starts at 5:36 The Haunted House starts at sun down but remember we have daylight saving so Sun starts going down at 6 yeah but I think the drunker tree should come first let them do that first for little kids and they go to bed early go down at 7 during oober right a lot of the little kids don't do the house they don't do the haunted house little kids don't tend to do the haunted house this could be an event for them at yeah they do a lot of not see that I think she referring to did we did I think we started it early last for she's what about we started preent to the event can take kids during the event be crazy yeah and I think it kind of we can start the trunk retreat at 5:30 at 5:30 5 5:30 EV maybe that could be 5:30 to 6:30 and the other candy ones is 630 to 7:30 and then whatever so it's crazy are we still gonna are you guys still okay with having Oscar after the lines I saw the last Halloween we like so let me tell about the lighting um yeah we need more lighting the cultural Affairs got four light towers for um Fourth of July when they were finally turned on oh when they were finally turned on very important and that we got talk about too man is that um they were great so what I did beforehand the day before uh I mean a few hours before was I went by and I turned them on and I checked them and all that but the thing is I don't have a problem with them but somebody really needs to be designated for that because if I can't do that then this in this in this would have done it and what ended up happening was one of the light towers was off was was not working so I pull my police car I went I jumped it and all that so and then it worked that night but we already had one down we need to figure out a way of checking and making sure that these things work are those things like temperamental with the battery runs out what we'll do and I I will put myself in charge of that what I'll do is uh um once I get um Sun Belt to where we rent out those those light towers from I will make sure that they let me give me an idea as to when they're going to go and deliver it I'll be there with them they do me a favor Charlie I would think that would be part of their protocol they would check remember that was an issue last in one of our events last year and we were we giving our money back movies can we not ask the council to buy some to buy buy yeah you I don't think you do you know no they're not 10 they're more they're higher they're about 15 16 okay and one is only sufficient for a certain amount of yardage or because it's only four lights so it's not it's not going to be you know enough to cover the field not even close we usually rent three and sometimes that's that's not enough is there a D yep right effect yeah so we have a we have we have a company that we've been partnered with for many years called light effects oh um they're amazing they [Music] do they take care c a little later um you do need to look into more pumpkins possibly if we we ran out of pumpkin from nobody else get so I was just going to mention that do you do you want do you think that maybe we should consider getting uh plastic pumpkins instead of real pumpkins no star no I'm just saying because go down there cost effective cheaper pumpkins than they cheaper but what have ever looked into how much Walmart Chargers probably cheaper than Orco Costco's pumpkins not the small yeah how many pumpkins do you order typically from Pon guys we we do I remember correctly we do 500 pound yeah it's about it's pound pump correct so it's somewhere between we end up with either one between 170 and 200 pumpkins 200 pumpkins of a little one those things fly okay okay but what's the price for that normally so I think you should charge for the pumpkins Walmart is not a bad idea toap hey we should charge people for the pumpkins they already paid for it it's a free Mone as a we used to do that we used to charge for pumpkin you remember thatan and we sold every pumpkin yeah we make money like 10 off of pumpkins the little kids don't want to buy it so guys remember 10 bucks a pump well people buy anything people buy a little plastic egg for five bucks remember we could for the little pumpkins and make something complicated though we have the whole problem we always have money that night remember this this is why we're here this is why we're here speak about it and you want to do it we can do it as before is the easiest way first come first serve once it's out it's out we need do tickets and people then come and grab 50 other time but I think we did talk about doing plastic pumpkins at one at one time and doing like stickers yeah yeah we there's no sense there's no sense in in having you know pumpkin carving tools stickers you know Ruby eyes or whatever it'll be cheaper though you can probably buy those in both why don't we can't buy from like China or something that's what we do like we can buy hey I took a bullet bro can't this is come and he can come back to us next meeting with the prices with the prices of the pumpkins he get we go to the we have a the connection get us some prices so we can see but if you need us to call any vendors try see I can I'm willing to call ear with that be like approv vendor correct we to some guy the middle yeah but the shipping cost is like $250 $500 depending on the time frame what I get it to and it's has to get approved by the town correct it has to be an approved vendor be before Brian closes old business number nine just to give you a heads up guys um for the trunk Retreat I do have to go through law and find out what what is what is what okay before we get any kind of approval so I'll keep you focused on that can we say about 5:30 to 7:30 consider early for that two hours so no so no opening of the haunted house until after we can open it while it's happening don't until situated the logistics issue is done that needs to security make sure every's doing what they got to do for more kid volte but one thing I would say is to make sure whoever signs up to do it in when they sign the contract is to tell them that they have to be in by a certain time leave they have to check in like an hour before you canot leave leave emergency because we're going to have people walking exctly and that's something they don't like it check can I think we did I think we50 and $100 you remember we to person uh we have 25 to 30 but yeah I don't think I don't think anybody gonna p50 they have to decorate they have to buy the candy I think we were charging more if we were if we were providing the candy exactly we're not providing the c i we need to check with the town Che with the town if we are providing them candy then we charge if we're not providing them with candy then I would say 25 30 25 if we're providing candy 50 bucks we're giving you a bag of candy which is $20 already but companies are going to how much candy bags companies like companies are going to be setting up stations across the a sponsorship thing then raise the price TR so the trunker treat is not a sponsorship the trunker treat is to bring the community and that's what we what the council has talking about yeah it's not about sponsorship it's not about businesses that so you know we have raised prices for sponsorships we need to there's no but uh but what what what Brian and the rest of the the group here are saying is to is to incorporate a trunk or tree uh more so to obviously involve families in in the event but to also uh I guess kind of in a sense help us out with you know the giving away of candies because last year uh I think everybody here could could attest to Candy what was it 25 minutes 20 minutes 3,000 pound gone 3,000 pounds of C you figure 3,000 it's a lot it is but there's a lot people there's a lot of people if you guys if all of you have a tent all of you and I'm a child and I go to Brian's tent as number one then yours I could do this and I can come right back and I'm I'm gonna come right back around yeah you can tell the kid no you're not gonna tell the kid no and you can't control that well we did talk about that one way one way we we need to enforce that're yeah yeah yeah can we not do like the little invisible thing like do Chuy CHS and then you track people there no that's too much no it's remember there's over 15,000 people at this event to do a little no that's too much no I think the one way was was great was good good you go that way you want to come back and get candy go you can go you could do it but you got to go around hey props to you if you go through the spider infested Force so uh Tru or treat TR treat uh speak I have to speak to for about 5:30 to 7:30 p.m. $30 if we're not providing depending on the prices that's a remember they're getting a premium parking spot if if prium if you're not say 30 no candy and then he said 50 with candy 30 with candy and then like about without candy is like 178 if you go to buy a bag of candy bucks theice we're providing your candy you pay $50 and I'm sure they're going to pay it a lot if they could pay $100 for the kids r a pony 50 guys again we're here for that so you know don't why don't we set like just a high price because at the end of the day the companies that can the families the families that can come out and and give can we take a we have two different prices going on here I hear 30 and I would like to make a motion Sor can we do 50 I would like to make a motion for if we do have the people do bring their own candy to make it $15 no to make it $15 but if people if we provide the candy to make it $30 motion a second no no wait a minute repeat that again like if is it what angel angel said so 15 if you're if you're not gonna Pro um yeah you're not providing can hold on hold on hold on hold on we have a motion do we have a second we don't understand we have a motion we have a second now you can disc Robert's Rules guys so 15 so the motion was 15 with with them providing candy 30 other ones like like the chair had said yeah I'm going to disagree on this one yeah that's too low because we are providing this is a limited space you that type area you do 15 you're going to have 100 people show up yeah you can only have up to 30 people that're going to it on but still I think 15's too low first of all is standard this is an area that's controlled first of all and with kids I think we need to charge more and who are standards of people are coming it's a donation too to the town they have to look at it that we should have it I think we should have it at 50 30 and 50 so 30 our starting sponsorship starts at th000 or $2,000 for this event that's true it should be at 50 that's I said we do 100 and can I can I amend her motion can um I would amend to making the basally $50 for everyone and if they want candy they have to pay $25 so they pay $75 if you want candy $75 it's $75 I'd rather do I'd rather do 30 with no candy no candy and 50 with candy that's my I'm okay with who has kids here because I see the people have kids are going yeah this is too much be paying for it either we have to look at it that way the money they it has to be seen like they're making a donation to the town this is not for them to be if you're going to be cheap and it's for the families the businesses I'm okay with what you can we do it just one way like they have to bring their own candy why are we going provide candy well we have to figure out you need like propose it first you're abely right the whole purpose is for us not we have we have wait we have to see what the Sayes I agree with her can we agree that they should bring them any so then if they're bringing their own candy then is it 30 or I think it should be 30 okay let's vote on it somebody I'm gonna make a motion to amend your motion to make it $30 for the TR Retreat we have a second any discussion on the motion with the amendment all those in favor sign by saying I oppose motion we'll have to revisit it if they come back okay so $30 if the town says that we need to provide candy then we'll come back then we come back and discuss the price we have to take care of there's so much other stuff we have to focus on exactly give him a bag don't give I mean what I was do is when you check in if you paid for candy you get your bag of candy over there walk away let's see what the T but we ought read the 30 and they bring should we set like a standard of how much candy they have to no it don't matter you bring as much as you want that's on them what if they don't bring it up well that's on them that's on them that's on them yeah they're gonna go to them cry yeah $30 to be a part of it and that was it bring your own cand I'm also going to make a motion as well that if they if someone is going to participate in the trry they cannot promote any businesses no bu or no political political politics no businesses it's a family only family like idea no business no business we're making a motion we have a second we have a second discussion all right so no it has to be strictly family based no businesses I think mauria mentioned something about getting giving them an award normally when people do these Trump first place second place third the that gives people like the you can give out a gift card yes yes yes $100 I'm sorry are youo are are you motioning we have it's summer so to go over the motion is to um make a rule for the funker treat that no politics no business it is a strictly family area um you cannot promote your business we will ask you to leave and also that the money is not refundable oh yeah Yes W you pay for it it ain't coming back I I do have a question before before so what if you have uh what if you are a resident of the town I think we should only do it for residents and you have your business no your business then you have to pay for a tent that's that's the other part of the event remember I'm I'm going to scrap my motion let me let's start again are you guys ready I'm going to motion that first this is a nonrefundable area the drunker treat is nonrefundable it is not open to businesses it is not open to political campaigns um if you are caught giving out business cards or flyers and things like that you will be asked to leave what if uh what if you're you're a resident a town res only and to only have it open Town res I agree we have a second I have a second now you can discuss can we amend it to people have businesses oh wait no no they have their own are for businesses oh there's an area they sponsor they get discussion no more discussion all those in favor signi by saying I I oppose motion passes yeah businesses are strictly only to the area and and sponsorships right and depending on what sponsorship to they get is when they get attack the lowest one does not get [Music] attack and a lot of you have to remember a lot of businesses also do Inc sponsorships they're not always dollar and months right they could they could donate a bottle water donate food photo Boo for example um light effects the company that does everything for us gives us same kind donations to although we're paying them they give us we have to do a motion about the trophy certificate stamp we don't have to do that oh okay I'm just but that then add that as a thing to to ask them if we can do that yeah we can we do do yeah we do oh yeah that we include the costume contest this year too sep no no for the event but can we do that on EV right mhm costum be part of the costume contest you better sign up on event for we how many people can join it because it was [Music] insane mean that's gonna be a pain applies for the Oney old group I just say do one 100 people that's [Music] it or we could do different tees I AG what if we do themes it doesn't have to be age groups it could be a theme like superhero theme who has the best superhero costume who has the best this costume superhero the family and there's little badges that they sell at uh Party City where it's like it's already laid out we us plenty of to go up we've been doing that for many yeah yeah I'm okay with that we could look into that at the next meeting yeah yeah time we have for for that event we have time all right any questions regarding Halloween oh we need I what I do want to discuss is how many I think we need million the first time we moved to that part or no it was Blockbuster we had over 500 Volunteers in town hall it was we have people outside this is the issue I'm gonna have this year I told I think I told Ernie about this um at our school we had an issue with the hours because when we promised all our volunteers 100 hours and we gave them the paper here from the town $100 our school was not um recognizing that for anybody according to them they should never have gotten $100 for this event administrators I don't want specific names but our school has that issue so unless you guys the town or you or somebody has to go and talk to them or whatever because we can't promise these kids 100 hours and then when they take that paper to the community service of their school at our school they're not honoring that so bring with are doing one for each meeting you're going to have to change the the the hours that you get up or talk to the administration or we could do specific meetings you get this amount of meeting for this one you get a paper for this one I have to break it up and I spoke to the parent of a a child and I told him that you know I am I the the t is up for the for the committee that that hosts this event and they we ruled and there was a vote and and it was given that's it but but the not want to that's the school's fault that's the problem they don't want to come they I can't promise I can't promise you volunteers them that's okay we have other schools okay bringing M Lakes matter lak we've had M Lakes bringing 100 kids before by themselves if you we have HML we got two people here from HML now three [Music] actually we got resources if we have to we'll figure out we got people and if we have to figure out something with Barber make deal want hours I can sit down with them that's what I would like if you can come I'll sit with you and them and we can talk about it [Music] I'll find out you can't go on of the I don't think I think in this case yeah he can it's this is different you're thinking about something else for intergovernmental not not this but he's representing the town as the chair as the liaison of the so he has to well I'll ask I'll ask I in an email and I will tell me if you need we need to go through intergovernmental or you can talk for Serv hours I don't know I I'll send an email and I'll we 10 we plan 10 getting ready for the event yeah you just do they just sit 10 hours yeah no they don't have to you do from this day to this day they came every single Dayna have to do from October 1st through the 31st they came every single day and they can't tell other on I think that was part of the issue that the paper we gave just said for this event $100 and they don't see how it's possible for them from from I think if we put like he said from October 1st to oober o' they don't agre okay then we'll separate them into separate she even know we had meetings before then maybe we should put the dates of the other meeting is this I'm just curious is this something that recently just well I had a girl that didn't give her hours in event was in October she was talking to me in May she was saying M they will not give me the100 hours and she had your paper saying from the town 10000 hours and she went to her counselor her counselor said no I got sent up to the administration Administration said no the girl didn't get I don't think she ever got her hours and she volunteered for that event and that's not fair to her because we promised her $100 so I'm I'm going to ask to see if if we if it says from October 1st to October 26 or September 1st to October whatever if we put more dates on it if that's acceptable to them if they still tell me no then I'll email I to see if you have to go through intergovernmental to ask them if she says no you don't have to then I'll set up a meeting between you and the administration how many hours do golden require they like to give an hour per hour so one hour of sweat Blood and Tears you get one hour if you donate an item like if I gave you you know like a item has been one hour for a can so it isn't a set [Music] amount no no Li there's liit service I'm sorry that's the thing I've ever heard community service hours I got in my four years of high school I know like 2,000,000 5,000 okay you said times but they want to do that at this point I'm like see see what we can do to thank you me out just put morees they're not going to tell you otherwise for putting other dates just put morees you can't when you f the I'll I'll ask that first yeah this from this day to this day for 28 days 25 days on the I'll have announ by our next meeting by our next meeting in August the third week of August I'll have announ who put that as a rule I'm not gonna disclose them on the internet I will we beat up you we do need at the next meeting we need to figure out how many volunteers we need for next or for this all right um on to item 9A committee open we just had two new students join the committee I believe at this moment we have no more student openings well there's no more student openings but there's three adult yeah we does not count I'm a ju now we have S students no more student opening those how many seniors are we going to have for next year that are going seniors every single student here will be a senior next year you have to be 18 to not be considered a high school student only so as soon as soon as I turn if they're not staying local they're probably going to depart if the kids if the kids that are on the committee they're not if they're on the committee and they're a senior and they they say they go away to school they're not going to be part of the committee they'll resign but if they're going to be here locally they could still stay on as an adult then once you turn 18 Once you turn 18 you can be in high school and be 18 and but all the minors we have right now are going to be seniors for real yeah yeah but some of us turn 18 so we can cover the adult position how many are going to turn 18 soon or before in January to remember you could have all of you turning 18 but at the same time then you on a committee you have more adults than students it's seven and seven okay so once that's the other is so if we have more of them turning 18 if you're 18 and still in high school you can stay as student there's work out anybody else no but I'm saying that like and turn 18 then they can switch over and can we have yes who birthday first September and then yeah um I think we're good there when it comes to committee openings that's all we have next is meeting dates Ernie all right guys so um I was I spoke briefly to the clerk's office and uh the young lady who was helping me out I mentioned that we can still stay uh third week of every month but it it could either be if we if we're going to change it up from Wednesday it could be a Tuesday um if I'm not mistaken from 5:30 to 6:30 was available or Thursday all times are available I know that we spoken uh you know plenty of times about this 7 P.M is good for most yeah uh because of work because of school which is totally understandable so I need to make sure that if you're okay with this we figureure my we can def I just need to put a hold third we change it after we motion to table we could if you guys want a motion to or you motion to make it or do you need it I not like you need it it's just it's it's we reserve the day but it's just to reserve the the that slot I I don't want to miss out on that slot um 7 PM again I know it's crucial for a lot of you a lot and I totally understand and respect that I don't mind um that's why and I don't want to lose anybody on this committee because you know time what I'm saying so that slot is important for me I'm looking for you guys I'm looking let's vot on it now for 7 o00 thday want make a motion I'll make a motion for for our monthly meeting to be the third Thursday of the month at 7.m second that's the first person I [Music] heard we have a motion in a second any discussion see none all those in favor by by saying motion passes and I'll talk to Victoria to see what if it does take effect it'll start August or September if it does take I it's usually that takes the fact that the beginning of be I could ask I could ask and and since we did make you know the vote on the vote on this I could email you guys with that information as soon as I get it the budget year doesn't Bud start [Music] almost done she got wait um item 10 announcements does anyone have very quick just to let you know get to read the minutes yep and have any comments just let know okay any comments hear a motion to approve make a motion to approve the June 18th meeting minutes second pass item chair person's report uh I was going to put together something but since last time I was told to move two of my items from the last meeting to there new business yes it's a new business and when we go to that we'll discuss old business um start fishing tourament okay um we had our father fishing tournament on June 22nd it was um it was a good event we caught almost 24 fish with the team that we had and giving the rescheduling we didn't have as many people as we normally have it was half of it but it was still a good event uh the kids were happy we had the raffle we had the two sponsors come in at 300 each and the bait person from um One Stop he was there as attentive as ever he left extra bait for us to use so we didn't get the refund but we were able to use for the same price the the bait for for the Saturday on the 22nd a one of our sponsors did show up Josh stayed the whole event his son was happy it was his first time fishing uh we had councilman Ronald attend as well as Joshua VZ and um a councilman cojas who was he's excellent any time he attends he helps people learn how to fish that have no idea he told us you know what the fish were and I think Felicia also had like a little guy to help us he's got two little boy he does it all the time yes he was very good so that was great having him there and thank thank you to to him for attending and nothing thank you for the members that that that came and it was a pretty good event oh we did have the porter party which thanks to mad and we were able to get it for $63 and there wasn't much use of it this time because we didn't have as many people as before but I think it's great if we can bring it again especially for the $63 it was didn't work I don't think anybody used that many people so it really wasn't as packed as it's been before but I mean given the three four days we had to announce it I think it was pretty good and that day it wasn't as sunny as before which was good we caught a lot of fish but you know we had overcast so maybe that H some people from from attending anyhow but I mean fishing wise it was a lot of fish for the amount of people we had there how many did you you have 24 like about 24 24 yeah that there a lot of and how many register on it fry I think we had like 30 something but it was half of what normally nor we get like 30 this time around we didn't the first time we had a lot registered but because we had the with the weather and it did rain a little bit in the morning but then it stopped by the time the event started but I think having the event from 8 to 11 was a success it ended at a good time although we had like four people who walked in L but they know for next year the come I think it's a good we' been doing it for so many years we need to promote it more though I think I know like you said it's because of the canellation from the previous one but uh somehow we need to really promote the process that's a tradition we've been doing it for so many years and the kids really enjoy it yeah some of our regulars were missing too you know the father that normally has the uncle father and the boys that are always there like a few of those things you were missing but I better missing you okay next don't forget sure Independence Day event um like I'm very impressed with I mean it was as good as last years and we had lots of help this year thank you uh Charles I get you you were handing out all those those freebies and the inflatable ball J did a great job getting us the food trucks yeah and and putting tattoos on the the kids and Elsa and Geraldine like there were five were five of us there so it was great um saw the video um the thing I mean it was a great video but the thing is that the guy was videotaping when there was not that many people there it was packed I don't know how many I think we got the same amount amount of us last year close to 9500 people yeah that's what we're estimating how many how many we're estimating around 9,000 which is similar to I think it was five more people fireworks were beautiful everybody was very happy I spoke to a few people afterwards and a few days later that I was at the park buying ice cream and I B me to them and they they loved it I any any improvements no no everything was perfect the music was beautiful everything was everybody was there trucks the only thing that the people from the food trucks told me when I was in Farm Market was that um they broke even they were hoping to make more money that's the ones that I brought told me that they killed it yeah IAL they made they did very broke even I mean I I have to add broke even sounds terrible because the fee was $200 I doubt that anybody only sold $200 very probably hoping for more but they did really well they were like please invite us back next time we did Super I saw that one family spend like 70 now delici people that's enough I think we should do those yeah let me tell you our our booth was a hit with those tat those tattoos yeah we gotor we had a great time had to wait band was excellent com the band I think was excellent okay thank you for those who came and helped out and those who didn't come you a great part the music people love the music yeah um I I sent a text to to Jonathan because I try to download video to send to Jackson bun because I sent him the pictures but I can't do it so I I can send the link to him yeah send the link to him it's actually just so you guys know I don't I believe I shared it with you you have to go to Facebook and then no but yeah that's what I'm trying to explain um if you guys just go to YouTube that's normally where we put all our videos so it is like on our YouTube page you usually find all the videos never I'll try if I have trouble mind I download a lot of stuff from YouTube I have a little converter like change it so you don't have to listen to all I'm just going to send him the link so he can open it whenever he has a chance yeah he was very happy and U the only thing that we need to do and that's spending from us is I know in the video it thanks all the sponsors but I think it should you know we should just reach out to the sponsors and thank them personally and that means a lot to them so I'm I'm working on something like a little template that we can use for all our legs so that's that's the about I spending I'm doing but other than that I'm very happy that we were successful again and the fireworks were beautiful yeah I mean the pictures that Jonathan for thing he was like taking pictures he took had like a thousand pictures he sent me like 64 thousand pictures a lot Pi just to add to your um your point of the sponsors thank you um on our end I do send an email to them and I did send them a recap video the recap video and I shared the recap photos with them so that they saw what the event looked like for those that unfortunately couldn't make it so um the the sponsors have been thanked I don't think an additional thank you hurts but just just to make you guys aware and thank you for your help too oh maybe next year we can get a bigger stange yeah that be great everybody was p in that stage but it was still it was everything was fantastic so thank you again to all of you who who participated and attended um next it Symphony of the Americans okay I think we are ready we I think what we need basically cond like pulling peace with them because they take forever to send stuff we have the contract um look at the package yeah both invoices were attached the one for Symphony of America organization and for the church am we came below that so that's um our budget is 5,000 and we got the invoice from from the from the church and it came down to 500 3900 that's right 575 575 the fee I calculated it was going to be 4,000 it was 3900 unfortunately I think because Meo who's the the the main you know coordinatorat he he travels to Spain so we we never get him so um I actually sent her an email asking her if we could get somebody else to be the director conductor but she hasn't replied so what we are pending from them is basically basically the program for the event we have the fer that together so there's copies here in the middle if anybody yeah okay this bit this one okay um I what else we need you need anything from I just want to confirm um uh Felicia already gave you the list of things that she needs the event F form so we're already working on it um I already placed the order on Amazon for the paper plates and and the classic table cost you requested um I do want to confirm here that we are going to have at least four of you attend the event because uh for the breakdown it's two to help at signing table and two to help just with the food with the table but I guess this is more just to know if you guys are going you know to in your stations I would say said that you first I only need one is sign okay no it's just cuz we have two but I want I think one is fine okay so someone else wants to go so yeah we want to make sure that we have all the tables okay I'm gonna be just let me know what you're think no I don't need one okay oh I think we should get this same thing we got last time the sandwiches and the food that was from public yeah to take care of that okay all right yeah we have how much do we have for the food you guys um you think the whole budget for 5,75 you attach the copy the the packet has a copy here the food is 200 it says food water ice four yeah we need the Ice Water page number seven of your packet is the budget 37 so basically you know the same thing that we did last year okay if it's the same I me the pi of tuning thank God and Sandy from the orchestra I confirmed [Music] that I'm I need more or less an idea how many people so I know about the club yeah how did you guys do last here we went to public we order from so we got extra yeah I guess like so whatever the order was last year based on what you're saying should be a little bit more then right because they gave you extra because they gave you extra and that was that a good amount we had left so you should just go with the original amount yeah okay because I know the musici because I saw them going in but they the same you guys no they come and Serv and through the chair because you asked if it's on November yes this was posted on November this week and I want to highlight this event because I think it's a good example of things that the community wants to see um as you saw I'm just getting these flyers to you guys we just posted it on event right this week on Monday so it's been two or three days and this event already has 70 signups promotion has been minimum it just launched this is a great example of an event that people just wait around for and they they want to see back to back so I think these are the type of things that kind of indicate what people want to see you have any capacity on it we have a 200 uh limit this one usually sells out in the last few years I've been here it sells out every year we don't get 200 but no we don't we about numerous was that many we had over we had better than the year before we had over okay it was a good ATT yeah okay any other questions on this so who who will be best who's going to be there to help everybody come to enjoy the concert too that's that's a another tradition that for 15 years so okay hope to see there yes um as far as the platters how you working this out do I get the credit card to pay it or no I don't think there's a need to just let me know who is going to pick it up that day because I can place order online you guys don't even have to go oh I mean it makes it easier on everyone see I think we have the little Ste sandwiches we had the I'm G to pull up what the order was last year well the fruit I didn't order the I I just got you know how they sell the fruit individually so not to spend a lot of money on the food platter but if we have the money we could just do the platter I mean I don't want to overend but I think if we do two of the kitos the large platter and we do one or the cookies I love the cookies one um large of the cookies and then one large of the fruit yeah cheese did we do the cheese no that's expensive it's more expens yeah but it was expensive said last year to do the cheese that's why we didn't do it and you just have cheese in yes yes no but you know I know what kette is saying you know like we used to have the little cubes of cheese but that has gotten expensive the cheese I know when I pric it l it was expensive okay you know people like it pretty so then I you order it so that's that's what I'm asking do you guys want to keep it the same as last year because the that's the case I could just copy and paste from the account and order the same thing or if you want specific things then you're going to have to send me the link so I place left over water from the fishing tment yeah a lot yeah yeah that's good we need water well I have to check cuz I'm water may have been used for water but I'll let you know you have some water yeah we did soda no water I think last year we have soda too yeah we have soda see right can't M can you check that how much did you spend last year you guys spent on one e those cookies $147 and then you did we did an order of water for $30 soda huh soda what was the cheese like 4050 was like 758 yeah the cheese I don't know what it ises now but I think people were happy with the guos the only thing see doesn't say about the food PL because I really did the thing individual the individual containers that they sell you know those large ones is it easier also for you to go in person or for her to order I to say my opinion with my other committee yeah they've messed up the past three times until the last time that I sat there took me an hour and 15 minutes and specifically said okay what is this what is this what is this and and make sure everything was right also can go sometimes if you're on the spot it's easier like to to change things as opposed to order on mind then she just has to pay for it yeah okay let's do that that's fine so if you want to pre I guess pre-order it and then we'll I'll finalize the payment with them okay thank you okay next item I'm have tax they also have they should have it because I always tell them to keep it I but just in case um I know I've shared the electronic with you guys as well so we have what around $200 that I can you guys agreed $200 and that includes the water that includes the water but we have water we have some water yeah you have you have some because remember that there was a a for Fourth of July I think you guys should be fine but I I don't think it hurts to have more water because it's hot the small cheese platter is $33 the small one buying blocks of cheese a consideration and and I would I would suggest for you guys not to do that because now we're getting into like food safety and you're holding people responsible Andes public carry packages of pre chunk cheese yeah they do yeah and then you throw complicate things guys has work before for us this just okay so El care the food anybody else has any other ideas I get back on the six six of AUST give me time oh yeah order this um me talk I'm sorry before you move on I just want to be clear um I know you're going to place the order I'll finaly the payment with them after that when you tell me that it's ready um they don't do delivery so some has to pick it up do you guys want to um confirm who's going to do that or you guys will figure it out later yeah I okay all right I'll coordinate with okay I can pick up two everything's on the way so no soda sod next item book talk book talk um I just got the new book The Lion women of Teran this just came out on July uh July 2nd um this is one of my Bel delated birthday presents so and then the other one is a stationary but as far as the author margin Kamali they they like the flyer I sent them a copy of the flyer they were very happy with it and there to so we're on we're on for September 5th is she GNA be here be Zoom no it's GNA be the zoom like we've done for the past years and I want to add that staff also shared the initiative with the library the local library right right I saw I saw the email from Nancy yeah in reference so we're looking forward to it it's wonderful I saw her on a book talk months ago and I'm glad that I booked her with so much time because now she's traveling all over the United States here on Instagram she's all over her lectures are packed they're packed with people so yeah promote it as much as possible it was a big plus that we were able to together and then I just gave I the and my only question was that like I I sent you with the email event right when I went to register he said no you can't until August 1st that's correct so the the the sign up will not open until August okay um but the promotion of the book talk is in circulation from here till event okay so it should be fine okay is there any way to just get it out there so it does so for example how I just shared that Symphony of America's people were able to sign up even without even promoting anything the reason for that is because we have uh we have people that sign up to our event right so they'll automatically get a notification letting them know that the town has posted a new event right and you know if they interested they'll sign up so that notification does go out from the EV break okay okay but that's only to subscribers the ones that have agreed to to that okay because what I'm trying to do is I have a family that's from Iran that I'm hoping that they will sponsor the Persian food some sampling of of the typical food from uh from Iran so that's what I'm shooting for but then I have to have an idea I think usually we count around 50 people you know yeah that's um you and I can stay in contact and I I can update you on numbers on a weekly basis if you want perfect because what is my budget for this I thought I had 400 all of you should have your I know that's why I was a little confused I I had money but yeah I would say I know you're working on a sponsor and that's great but I think that as a committee you guys should agree on an amount in case the sponsor doesn't come through yeah if you you know $220 we I just saw today when I looked at it it was and something yeah because the 750 is that covers the the children's one children's and passing this can we separate those the line items yeah um I can ask I I don't know 75 is both the Christmas one and this together so we only have so the new the Christmas one for 2024 F to the next right right right so what do I have 220 220 you have for that event okay I mean that should be more than I think last time we brought the wine so for Jackie and and and Justin and them that and the other that don't know and I don't know if Elise has not attended this event what we've done in the past is basically the committee members just they help us by bringing uh the red white wineco whatever you have at the house you know we bring a bottle and that way we don't have to worry about that all I have to do is get water and that's it that works great huh and the food and the food yes of course yeah the water and the food but I'm saying as far as drinks you know then we work it out that way we extra bottle wine or oh yeah we've been doing it for a few years and it works well just bring something like that you usually it's a lot of ladies and the ladies like the white they like the proo you know the red I think right more or less we have to wine goes with Iranian food yeah yeah that's research I okay yeah do do the research and we have the Cs yeah I have to look I have to look I know that we had the leftover you know from before there I have it in my house I have the whole thing from the book to in my house so let me look I have plates and things like that oh we have the ice the the tumers huh the ice cooers to put them in part of the event form no I I brought M we brought from the house if you have any of the ice buckets you know the old fashioned ice want cool old oh that we do for the water uh so basically I just make sure to reconfirm and then also I requested the IT person from the town okay because oh then yeah that's going to take from The Bu okay yeah okay I'll make sure that they're there at least we're sure GNA work we always are afraid cforia right what she's in California she's in Boston it should be somewhere yeah not here yeah let's see if we can bring a local one to so people like to yeah the person we had a couple of people that were here oh yeah the older folks that came well the first the first time we had Zoom instead of in person a lot of people like oh it's going to be Zoom we weren't aware right no when had this I think it was um no no no the very first one was a lady that uh the Cuban Cuban lady that had the book and I think it and and she sold her was very good yeah and we had a lot of people yeah that's why I'm saying when you have a person to person kind of interaction people like that yeah the only problem that we can't afford these people so we have to yeah they're I mean they $200 so I my I want to be clear with you guys um do you guys want to set aside a budget for food just in case yeah no more 200 200 yeah so I want to highlight the fact that if you use that you're not going to have enough money for it so what will happen you overextend the line atem which is fine you guys will just then have to agree to move money from another line okay and the IP usually I think it's between 35 and 70 an hour and I think that put for two hours right yeah that's $140 do we have left over from the fishing what I thought we would we had some money [Music] yeah check I think you will have a better picture of what that money is after your next meeting remember it takes month and a half for the credit card I think we did because we had that party coming in like 31 lied the raffle price and the raffle stuff went I think you may have at least 100 so you don't have to move the funds now you guys can move the funds next Meek okay let's see if I then you don't have to worry about it but I just want to make sure you have money to use in case they don't come so 200 for free okay we still have time yes any other questions on this item concert in the park yeah concert in the park uh thanks to Al I saw two groups and one guy's named Johnny James I've never heard before but I've seen them both perform and then about two weeks ago I saw Valerie tyon she's uh been doing this for about 25 30 years I think she's performing everywhere but here there's a large following for Johnny James is up a little bit north of Fort Lauderdale and uh both of them have U really good bands uh and I think um how was we going to send you alone yeah snipp of the other two groups they're both very good so yeah so um B Tyson very outgoing I think Johnny James has made to be a better technical musician uh his daughter he's a singer in his group so I think he one would be I think Johnny James like Johnny James because the other one I saw an event that they did and they were playing basically the same kind of song that we played at the Fourth of July pop so we don't want the same thing again we want something different I heard it today it sounded good joh James just just go to the link s us email how much uh I have one of the quotes attached in the package for page seven [Music] [Music] [Music] just just hold 10,000 yeah 10,000 and you put across on the contract it rains yeah contct if it RS the is maybe because there's no speaker attached I heard it today there we go [Music] [Music] yeah there's another one that he has like a whole Orchestra yeah this is for a four piece band and a lady is the must [Music] that's her she's the oneing he she St with his baby this one this there something [Music] they I think that's pretty much what I sent you guys the other one is lady I actually I can open the link from the email but I I researched it and I just like good to so Charles which one do you recommend so far yeah it's 3,000 and how much is him 5000 5000 yeah quity the quality of the music is you can tell the differ awesome I think she did yeah that [Music] I about two weeks ago [Music] that was there was only six pieces it's called Valerie Tyson yeah I think it's about how many you saw more than six I'm not counting a sing eight pieces I'm counting a musician eight eight pieces okay eight okay and and the 3,000 is for eight pieces it's for the band it's that's a price well she they have a they have a I I I think is a cheaper price for city um events gotta both of them are just have huh just the cheaper price she's the one that said that the Valerie Tyson B because it's for us for the town well she I guess for when she does city did she did other cities ask because um when we had our um Scottish Irish Festival we pay by musicians so the more musicians you have you want to C well if she give you a quot then she'll bring she'll bring she sings Yeah herself very the trumpet play the saxophone player sings so she got two or three people in a group sing and now those two singers I didn't see them when I uh when I saw about weeks but if she say she got eight pieces of 3,000 that's what she showed it doesn't that's what her website okay that's what you have to I I would suggest you guys make a decision tonight anyways because then we're just waiting last minute to to make a decision like them voice the money so I think somebody make a motion we're already going into discuss I made the motion to go with the Valerie Tyson band and her gang of people I'm with you yeah I you know what I I I would say to with her and then make a specification that we get the proposal stating exactly what how long the whole but does that mean that you guys are you may change your mind the reason I'm asking is because I on sta end I'm trying to figure out if we can post this and go for it take a I think she's the more entertaining regardless of how many people are come still pick Val that I guess that's what I want you guys to that's how I agree okay so this is so we're we're discussion now we're going to vote okay in favor of no motion any names okay hearing none motion to did you guys all vote Yes think you voted no I didn't vot that's why oh did you are you okay me and her on the same page I know I I can abstain I guess but I don't know how much we don't have any would you guys agree with a minimum amount of people well the quote is for what3 you have a quote yes her quote is $3 but she just sent it in right it doesn't have a break I don't have a breakdown she just said our price for City events festivals is $3,000 is there any way to ask her yeah yeah I can ask her but but that's what I mean if I don't have an answer right now what are you guys comfortable are you guys comfortable if you agree with a minimum like okay we want eight but we'll we'll settle for four or six I don't know what number makes you guys comfortable gu or we'll settle for five if it includes I don't know two singers one I don't know I'm just throwing that out there mine is my thing my thing I can only speak for myself is I don't know what we're getting is that her and two people her and it's not just her because it is a band that's all that's all we can than for and from 300 we got the quot of 3,000 yeah they're just uncomfortable because they don't know how many basically negotiate like we did with Jackson had the lower price but he included because he really wanted so that's what I want to know what do you guys come that gives meing maybe we amount like we will agree to her that's what I'm saying we agree with her with a minimum of five band members I don't know that's why I'm that's what I'm asking her website so I kind of want to go off that but I understand that it mean not what are you guys comtable four vocalist you heard one of them get we T you want to table I don't want so next know and not to mention on on this that's the whole budget we're going to need a stage and stuff if you guys yeah yeah there are other things to fact and the lighting you guys may want to decide on that today as well I don't think we need that much lighting as for the Fourth of July with two towers would be nice we're not going to get number St be me personally I'm not ready to vote on this I don't have enough information for me we're tbling it right now to no I'm just saying the whole event entirely we don't have idea how much the uh stage is or if we're going to get one of those portable stage or how big of a stage while he's talking what I'll do is I'll pull up last year's exact amount that you guys spent so you guys can go off of that at least okay the one with the rainow yeah yeah you remember how many people were in that end I'll see what I can pull up from okay she was around 5,000 right no the price is good oh no the price is awesome total budget I'm going the [Music] go to the next item um this is event collaboration with other commit St committees that's the item that I mentioned thatment the entertainment entertainment yes I spoke to Matthew he he wanted to come to the meeting but I guess you know I guess their meeting was yesterday and I missed it but they uh they're very happy with having um you know our event we used to have that event years ago was called Main Street Live and we used to have different bands and what we need to do is approve it to collaborate with them and I already have a a list of bands and performers that we have to discuss with them the logistics he said that they have the money they have the merchants who are very interested because they want to bring you know entertainment to Main Street to help you know the merchants so um I just need your approval to proceed and collaborate and work with them I think it's going to be fun um I'm thinking of doing dance performers I mean I have from years back we had a Brazilian group with this fabulous and we have Latin group s Rock U we have this lady Piana Mor who is a great singer and we can have you know whole variety we can do it once a month you can not every weekend I know CH does every week weekend they have their dance classes there but um we can do it further into Main Street not outside Main Street and um I just need you know approval from you to proceed for these what your motion is to collaborate with collaborate economic development committee to to bring ENT entertainment life performances to Main Street and then basically you made the motion I made the motion to bring collaborate with the economic advisory and you say they have the money they they told me they have money so uh even if we have to contribute something which we don't have it in the budget but they they're very they're eager to do it mentioned that we used to do it before and said so and the place that became alive [Music] all fa I it was I performed when I was singing as a kid through Radio Disney they used to bring Radio Disney to main I was one of the performers on Main the other day okay so um all your favor of the motion to have collaboration bring per min oh I'm sure he yeah be in favor be in favor he going bring B too yeah so we can feature local talent which is the idea and then look at n Henry she started with our event famous she is Lu to so okay thank you get in touch with them oh and then at the special call meeting we we can say that yes we're ready to to do this okay The Joint Forces um okay Charles you yes she said she us to have a six or seven okay for the same price and that's the 3,000 yes okay 607 that's excellent so see that way we clarify that right and they're going to be basically jazs little bit of everything you tell she's going soon live okay yes yeah I tell uh I told both them you send me a playlist okay you come down and see so are we moving back to concert in the Parks yes okay and the motion on the table was made by Jackie motion to use Valerie Tyson band evisa second the motion we were in discussion now it's been confirmed that for $3,000 quote we're going to get the singer as well as six to seven performance correct excellent are we ready to vote Yes all in favor any name dur in non motion passes unanimously to use um Valerie Tyson right thank you Charles we are clear sure yeah we need to get it clear because we want to get get chance to get together again we don't want something hanging up yeah that's one this is for September right 14 14 oh Charles I had a question were you able to discuss the what officer amader had said about having the Drone show I I don't think he shared the info of that company yet yeah I think you're still out to we'll see if he can he can do that be good I know just a second have you ever seen you guys ever seen it they have a company that do drone I mean it is you think yeah you think the light show the F of ju that by 2,000 wow they have these things sit out they come up they spell out names a matter of fact I don't know if you guys like America Got Talent yes they actually spelled Simon's name out and they had a picture of him up in the sky this guy want to do this free of charge because he wants to get he wants to publicize so I get back with Al Amador and see where where he is with that but I mean it uh is absolutely just mindblowing the things they can do with this and they they kind sit out then I say going back to I think we need to start planning the Fourth of July already is instead of having the fireworks people if we can't get them I mean you would never want to see the fireworks I think they come out of Dallas or somewhere I think it's out of Texas somewhere must be that's my home thank you guys for helping me with that uh I think you'll be happy happy weather she's very personable and uh we can give her a playlist or we can get her playlist and discuss it next time if you want to ask what she's very Versa she's been doing us about 25 we can send you I mean she can provide playlist and if you have some music that that you like we can send them out to her and say hey I'm she just told me come and see her Saturday night at HCK so I'm go there Saturday night check her out and I'll talk to her then she in terms of expenses um what you guys spent for the Nicole Henry when that got rained out was $114,000 um and that is with a cost of almost 6,000 for the musician so that gives you an idea of what you're working with right um 6,000 for the musicians it was closer it was 5,750 and then that's 6,000 so other things to keep in mind that you may not have cost for right now is the musicians will always have an ask some more than others um whether it's food drinks refreshments and area to sit down with Nicole Henry we got a sprinter I don't know you guys made that decision that was $900 y so yeah that we didn't even really get to use but just keep that in mind that there will be costs that come from hosting we got something in the back right but but it's usually what like it depends on what they ask I'm saying some ask for more than others and if we're agreeing to take them in then we kind of have to agree those on those requirements I don't know that initi and I don't think she she may or may have not requested it that may have come from you guys that wanted to upgrade it so just something to keep in mind yeah I think we upgraded it because we wanted to move it from the stage yeah I think it was it came in handy when she didn't get one no I I I have video her coming down the St and he was like do you have any feeling for what she might request I know but I can ask her and I see on Saturday you know she she pretty com and she do a lot of these thing for the cities town so it's not something unusual I don't think ex too with the town theity she's excited about and she has a great following herself so we have to do a lot of promotion uh it's going to be hard to kind of duplicate what we did for the fourth but I think if we all go out and get the flowers early and tell our friends tell them to come hey just come and bring your picnic back you gonna have a good night of music and um I contacted some people in the farmers market and they asked me if we're going to have a food trucks yes we do we usually have them did the cost we Char that's right those charge we like four or five right so if you want um I'll resend you the link because so and I just want to make it fair for everyone we have everybody just um usually put in their information in in the directory and those are the people who email out oh yeah they were here at yeah they want they definitely want to be part of this I'll send an email to I'll send an email to them but for this one we limit it it's obviously not as many as a July only because we don't want to take away business from people either and what we charge for this is very minimal 50 yeah it's a small it's a much smaller event it's limited so it's really going to be whoever responds and gets me whatever they get us first Maximum 10 or seven I think we'll start like at seven because it's it is a much smaller am we don't want people to waste their time their reources and then they don't make that much money trcks at 50 now we are we looking at seven or 730 trucks is that what you said seven food trucks so you no 7 or 7:30 for a time no the food trucks I think last year we actually when we did the ni hry we did like four yeah we did like four yeah it's not a lot of people how many people sign that's that's what we did it it all depends on promotion the earlier so speaking of um here's a staff suggestion but you guys decide because it is a monetary thing um so the way that the social media Works obviously it will reach the people that engage um if for any reason there's residents that follow us and don't engage with us chances are they're not going to see this this this advertisement um what you guys can always do is you can always put dollars towards advertising on social media and that will get you in front of people that will normally not see our ST which is probably who you want to get in front of anyways because the people that already follow us and already engage already know what's going on you don't have to try that hard with them um but that's always a suggestion if you guys think that that it's something you want to do and I'll say a little bit goes along I def Charles was mentioning that she has followers so yeah we'll have her promoted as well yeah how much how much time you guys can go as little as $50 you can go as as much as you want really let me ask you I know that when Brandon was here he had a database and he would do like email blast so we have we have email subscriptions um Whoever has subscribed to our email then that's who we email blast we do that monthly okay that goes out the first I believe business day of the month or something around there and that includes all town events yeah town events Town meetings Town initiatives anything that's important to people off dep 15,000 people or more yeah that that hasn't changed we still do the newsletter so and we we never got charged for that right no no no no we do that that's just the town contact the Laker the Laker already knows that that date is set um what I can now give her is the information of the band right we some pictures that picture yeah we need to start pict on a little bio yeah we need the bio from her so I'm gonna ask the band to send me photos bio um so we can start promoting it and what whatever the requests are um and the proposal so you guys know exactly what it includes we'll confirm four food trucks at $50 four and five yeah let's do five we can start at five and I mean the hot dog lady from I think she was at the Fourth of July she she said she has a card she has a card use her she can have her the yeah we can the ice cream Lady it's really whoever responds first um we also have because we get five ice rain you know no obviously I'll take a look like we'll limit so for Fourth of July there's no limit in terms of C because there's that much business for this we'll limit it at one category it's true you can't have competing want all the ice truck the ice cream the barbecue one and this one that's yeah but I'm not going to go based on these I'm going to send emails to them and I'm going to send emails to we have a sign up link as we've I think we've discussed before that whatever business Food business wants to get involved for the event they sign up there and they're the ones that I always alert when we have an opportunity such as this one yeah yeah because I already talked to the iceam people and they areer to what time we usually do the symphony 7 7 730 concert uh that's October I mean it's September so it's not ight savings you want to go s Okay so life people with their picnic and whatever they get sett and then is good so 7.m start time we going get to DJ to yeah I think it's I haven't in I'll talk to umu need B okay uh any other questions [Music] M we are on okay 811 okay at at our last meeting uh in my search report I suggested that I put this on the this two item the BNC and um you know to vot so basically what I was thinking was to prepare memo to request the council to change the rules because now you know you can miss more than three meetings and to me is is it's kind of like kind of productive because we're being to complacent to people so you can see it here you are members so so basically is asking them to R State the requirements of attendance and it will help not just us unexcused attendance H unexcused attendance you're going to miss a meeting you know just say three days before I think this that's the way it was rules to say hey I'm not going to be able to make you travel to me whether it's an excuse or an excuse you know of course medical like to the sick that's an excuse one and I think um I just need your approval and putting together the memo I can have it for side it's very brief saying pleas we can it don't like the the excuse of not attending would be because you know illness and not being in town I don't know they they I think not being in town is is if you're you're traveling and you're not here you can't be here it's just that we don't want to impose people I know they make plans like so you travel but I think we need to reconsider that I think so you're you're just making a motion right now to put together a report to the request to Council on behalf of cultural Affairs is her request state the rule on I will say you guys your next report to council is October 8th so that would be the opportunity to do that are these rules just based off our committee or so yeah there's no there's no rule specific to the committee just the general committee rules and general committee rules right now were approved last year January the latest ones and the latest ones is where that was removed and back then you after three unexcused absences you would get removed now that's no longer the case it is of distruction I I would make it three cons the year is I think I think the three consecutive is more critical because I mean you miss one at the beginning of the year and then you miss I think that's more like it's consecutive is the one that's consecutive is the key and just to be clear if you guys do approve this this is just to take it to counil at the end of the day has to decide like to make a motion to write a memo to the council requesting the reating of the original attendance rules and to make it inad of year to make it three cons acces I any discussion and it was second by by I would like discussion to um I think that only like stating you know what the reason for the rule being implemented again because of the issues we're having but also to you know kind of not put the burden on Council then picking and choosing right who they're going to keep in keep on their space or or withdraw from the committee because sometimes you know they know the person and they might feel you know I don't want I don't want to kick them out but if we have the rule again then you know it makes it easier for them because now you know you're on notice and if you miss it then this is the rule we can always and in the past if you were removed you could request to be reinstate correct were reinstate you know right so maybe Council wouldn't feel the pressure right like so and so is missing now I have to make the decision whether I want to kick them out or not if we reinstate the rule right because of the problems we've been having then it might be easier for them too to say well you didn't follow rules and I have to remove you I can always put you to us pertain to all the committies correct yeah good to bring that up to them too in case they want to say no we don't want the rule this is the problem we're having and it's helpful for you too because then you're not put you know personally in the position whether you're going to take somebody out exactly exactly and where did we wind up for excuses we said medical Medical Only medical it used to be only three consecutive right before it was three in a year which to me wasn't fair because because you know you have a doctor's appointment or something well that's medical B um an emergency I don't have an emergency will be consider a excuse abent but anyways I think I think we have to be more specific on on the requirements and there'll be currently the problem is we have two members that are missing more than three consecutive meetings right you know you can miss one here you know but we have it's been nine consecutive meetings what point do we it's time to how many times have we have it's better now because we got new members but before we had like three or four meetings that we were pulling hairs trying to get people here yeah you don't get anything April approve anything I mean it was like we couldn't do anything Alicia can you include that it's not only the attendance but their involvement in the event that's part of the r that's part of the rules right that's that is in the room that I think we can you know enforce it to the people that don't attend U to say please you know like I was so happy to have all of you at the Fourth of July because last year was just uh I think it was Elizabeth Elizabeth and I and it was hard um anyways so all in favor I I against okay the the the next side we can table that one but I think it's important that we get that moving uh I find some information from past years regarding the um um the sponsorship agreement I think it's the agreement was written actually by our first attorneys and study by them it was a very good um agreement um I think it's a matter of just changing you know names or whatever we can have the attorneys check it again if they want to change something on it but I think uh it worked it was prepared by them and also I have a question for you Al when we re repainted the this St we didn't repaint it the business did that themselves yep that was not a that was that was the business because the artist I think it was somebody the artist was one that I had reached out to to a three years hisan not us no this was not a toting that was separate to do from us okay so that was their cow and then we yeah they just came in as a new one for the library uh I I I contacted by an artist that wants to repaint that one uh for free so I've been talking to the director of the library he wants to incorporate the logo so we need to uh either have the artist submit something do you mean when you say submit do you mean like through cultural Affairs okay so that and and I I want to highlight this because I don't I I don't know if you guys are understanding the next steps that were laid out for this if you guys want to do this you have to reinstate the program if you're going to reinstate the program I would ask you to please go through the instructions that I sent you guys on what you have to do you guys are need to motion second discuss and vote whether you want to take this initiative on as as I mentioned it's been many years since you guys have done this program currently there is no program in place which is why that happened right um so is this something you guys want to take on through cultural Affairs I guess is is a question that needs to be defined by by this fruit um if you do want to do this you guys need to come up with upto-date guidelines on what the steps are and how a business would go about from um from inquiry to installation like what are the steps and processes they need to be detailed out so that we're being fair across the board and we're sharing that with anybody who's interested and then once you guys finalize that uh the town attorney can take a look at the updated guidelines uh the steps and then he can confirm what that new agreement would look like that's what I thought we decided on the last meeting yeah that's well did you guys agree on last if I remember we asked for updated information on all this on what to do on what to do yeah and I sent it to you guys you sent it that I just read what I sent to the mo and I sent you guys the old agreement that Felicia is referring to as well right but you're not doing update you're not no the commit I we motion the motion is to reinstate the the the program uh the art um the we love cows so we have to fund the the painting The Cow so those are the type of questions I need to be detailed out and that's why I need you guys to We Can't reinstate until we have the information a motion to reinstate the we love colge program anybody second I discuss I want to be clear there is I I don't know that that motion stands because reinstating isn't as easy as just reinstating these are the steps you need to take to officially reinstate the program so you guys need to outline everything I just mentioned I think I think the Motions are going to be more specific to this so that we could State you rewrite the guidelines yeah you guys need to outline what that's going to look like what is this program going to look like right now you have updating we have AAS understand why you push aside I guess because we I mean I was looking at an all all invoice and we had at one time we ordered like five PS and we were like hi it in in the warehouse waiting for the sponsors I mean we had I mean we lost the The public's one for years until finally showed up and they were able to to acquire and and do it but our our guidelines that we have are very clear I mean they want to change the attorneys want to change something on it it's just a matter of changing who the the town clerk was or who you know so so we be responsible for funding the cows the painting and the expense of the cows chers do we have anybody that's ready to get a cow they have money they want to get a cow to get in touch with them and say this is how much they're costing now but we don't have that right now but not only the cost not only the cost we need to give them this is the program we have in place her cultural Affairs this is the contract these are the outline of the steps and what's going to be required of you are you agreeing to these rules that's what we don't have what we have what we have up that's what I'm saying I need you guys to do that if you want to move forward with reinstating it so can we table this until we have the guidelines I would suggest I would suggest if it's something you guys want to move on because we're just saying yeah we want to do it who's going to spearhead who's going to take the responsibility from the group to outline that that's really what it's going to take cuz otherwise we're going to come back next meeting and we're going to keep saying we want to do it and I'm just trying to help you if this is something you guys want to do I think it's it was our first art program we ever had and I think it's something that I mean we we thought we we didn't have interest but we have like a school that wants to do it people that want to paint cows I have two or three people that want to be part of it so who want to spearhead this I mean to do it the thing is that we we did the cow I don't remember the cow so that was a long time ago you know this hasn't been in place in a lot of years I know because we didn't have all the events that we have now back then that that is something that that can stand by itself you you you sort of like Get are in charge of you know ordering the cow getting the the sponsors you know promoted sign it they sign look need a motion for Felicia to spearhead this and put everything together update all the information and all that before Council no I think that I think the motion the proper motion would be made when that proposal or that draft is shared in front of you so she doesn't need a motion for us for so we can this and address it again that's similar to anything else you guys take initiative on just bring that proposal or that we look at it that Mak sense I thought that we discussed the last meeting that yeah we're going to update the information so then we can decide and we we have something to look at help I I do still want I would suggest for those of you that are interested go through the Emi centry because those are old attachments of well one of them is the old attachment of the really old agreement it says 2007 if you look at it and obviously that cost is way up and then the last the last quote we received was two years ago now and and that quote was a lot higher than what that program was look we have to check actually I didn't have time cuz I was looking digging up for information is I can call you know the Cur Studios and find out you know what's the latest price because that that's what you know let's table them okay let's table the item and as soon as I get more information I mean I have a lot of information but we need to simplify for you to absorb and exactly so that we know about theep updated on the cost yeah proposal Madam chair we got four more minutes left uh I will go really really quick um the musician artist update uh I have a list of a lot of people and if we do the the entertainment entertainment thing I I I'll I need to have access to it and include it because I'm going to start reaching out to them to see if they want to do it like the Brazilian groups and all groups whatever so can you send isn't that something they do no no they're supposed to do it but I think some of them have I don't know they we haven't had too much I mean if you guys want to do it for them that's fine but yeah the link I can reshare with you I know we have a couple of new members send it to us and see we can call them and say are you interested here here here are you because I don't know what they want to add to it saying so I'm confused about what the datab I'm going to send you guys a link send us the link I'll reach out to to the performers that I have in mind share it with the with the them with the other committee the economic development committee and see if they have all performance that they want include so our database can I mean we can you know which one one this month let's do this one are you ready but we need to plan all this on time because so many people are books for events or event they have we need to have that updated so we can use it um so you're not asking about updates for the actual directory you're asking you guys to add new people in there people and have them added or what is they want I don't want to do the work for them I just want to make sure that it's user friendly and then they can you know just so she's just going to give them the link that you're going to send them okay yeah tell them please are you interested here um oh the events uh checklist which is right here and I please please please when we do our events and there some of you that are very involved in doing the events please follow this um no not that yeah we follow this we make it easier in all of us that way we have something on file like for for a budget instead of having having to you know she'll have a a file or or you know something that c this last year and that way we follow it and it's easier to and who's going to keep this document uh I think it's you know I say here to the lon the lon should keep all this information so when we I mean you can keep it if you have your own like I keep M I always keep C okay so if you have it fine if not she can have it backup if we don't have that you can just check in I would say so that you guys always have a backup what you would do is really attach it as part of the agenda because that agenda's you know it's a public record it lives there forever okay so um it's not a matter of you know proving this it's just you know asking you you know pleas make it easier you know people you know some of you may or whatever and comes in how do I put this together we lost a lot of like the book talk we had a lady that moved to for Myers or something and then no it wasn't Susan it was another another uh we did that years ago and and um we had one lady that had you know C my thing and [Music] and the last one okay the last one oh oh uh unless we have any questions I would suggest that we don't have the August meeting because I don't know I think we're covered uh for the September just a matter of coordinating the book talk done the concert done so just so we can have a break well that's what we used to do yeah we don't have Aug in the summer we never had the meeting that one we can we can vote on it uh like the make a motion to what is it postpone or Aug okay I make a motion to postpone August C meting what do you guys mean postpone is if you're doing it later we're never having or no we're canceling this year's August meeting okay a motion to cancel a meeting August 14 any discussion no voting all in favor any knows motion passes unan okay any announcements real quick no okay next meeting our next meeting will be September 11 and that's proposed so has been approved so we're not having the AUST meeting everybody remember you bring a bottle to the I because Mee August it's just redundant you know we already covered everything right what time is it2 8:32 8:32 second second second in favor okay thank you very much
