our had of Park and Recreation director report give a minut I got yeah good evening my report for February the 12th 2024 we are preparing for a coming events in parks and wreck we have this weekend we have the 70s party on Friday at 7 p.m. and we have the football and cheer banquet on Saturday at 4 pm at shami Village also we have our black history talent show and if anyone that wants to be a part of of it we are having a audition for the black black history talent show which is scheduled for February the 24th 2024 at 4M at Shaban Park our audition is on February the 17 2024 at 1 p.m. to 300 p.m. so we encourage anyone that wants to be a part of the challenge show that please come out on Saturday to be a part also we have our black history program which is scheduled for February the 29th 2024 at 6: PM we have ongoing basketball practice Monday through Friday from 6: pm to 7:30 p.m. and we have track and field that are practicing Monday through Friday from 6:00 p.m. to 8:00 p.m. we have our basketball games on Saturday at Charles Hatley Park starting at 9:00 a.m. and they conclude their um games on Saturday at 1 pm we are we had karaoke this weekend it was a success we had a nice turnout we're planning for our next karaoke event to be in May so before our next meeting we will have all the information in regards to that also we preparing documentation I know the vice mayor has been um engaging CR about the playground on the parks so we finishing up getting additional quotes to try to get at least Shani Park up and running first and then we'll make the necessary steps to do the other Parks also we have um been approved for the refer that grants for seuen shabi so we got the um executed agreement on last week so now we have 180 days to start the process of preparing to start the um the work for those for that grats for the improvements of seagull and Shabani Park um also the seniors having a Valentine's Day party or lunching On th on Wednesday at Seagull Park and that'll be like about 12 so if you want to come out I encourage you to come out and be a part because y'all are part A Part the board is a part of the parks and with y'all working with us we should be able to get a lot of things accomplished as far as ideas and different things that we want to see going on in Parks I also attended a workshop with the city of myma with dealing with grants in the the class it was a two-day class it was very interesting they gave us different sites that we will be able to apply for Grants different grants grants also through foundations to be able to assist with some improvements with parks and some of their activities so we look forward to doing those things and great things that better our children in the community that conclude my report next there's an item on the agenda um for discussion that's up for discussion the utilization of Arabian Nights Festival funding to host a music Superfest um I'm G to open the floor for discussion but I would like the vice chair to to expand on this if she would good afternoon um panel um since we're not having Arabian Night festival for 2024 and $150,000 was set in the budget for the Arabian Night Festival we would like to join with um karaoke and may to have two days of festive like we did the 1997 what the 97th birthday for the city of opaka what happens what we are what we are what we have have planned for that time period is um food trucks on Saturday music in the park food trucks in the park something similar to the goom um and on Sunday and then it then it runs into the um karaoke in the park and then on Sunday have a music fest which includes some of the churches from all over do an invitation to invite the churches in and then we have um a music group to perform and assist us in every every different language uh because we live in a diverse Community those are the things that we that came across for the um music fest I did speak to the gentleman that does karaoke I did speak to him he's all aboard for it he's he just need a plan agreement and then we can make it happen yes I have a question how was a lot of things that I've noticed is that is no marketing no advertisement going on how are we going to advertise it so we can have a better turnout because we have a lot of events going on we're not aware of it um Mr ch um this is this is the plan for the marketing since we have $150,000 in the budget for it and karaoke runs anywhere from 5 to $110,000 if we could do our marketing through the radio stations and get up upcoming um artists to come out and participate in the event so that we can really actually advertise it not just just upon Facebook what happened our marketing company that we had they had some issues I don't know what happened you I don't follow opaka um they had some for some some op some um issues so they're no longer with us I don't know who's doing the marketing but we have to submit it to the city of opaka and they have to come in agreements with with them having $150,000 for the budget for the Arabian Night Festival we should be able to advertise it on every radio station that they have based upon numbers and how much advertisement you need to make it happen um one of the biggest concerns that opaka have is time is everything here the one day makes a big different when anything in the in the city of opalak so that's the plan they have a person that does karaoke he's willing to get on board to use some of the people that they have if we we get a decent budget we can pay him for the two days instead of one day then do a advertisement of food food trucks this year it will be free because what we're doing at doing is advertising for the Arabian Night Festival next year and the more vendors that come out and participate they'll tell a friend they'll tell somebody we're going to be at the park the word of mouth is everything but we need um the radio stations to do it all of the radio stations not one all of them everybody knows that Cox own every radio station here the only one he does not own is the um black market you know under underground station but every other major station um Cox do up in brow County so if we can get it on 99 gems and we can get on 105 Hot 105 the major stations we should have a decent turnout our problem with advertising too is we everybody refers to Facebook everybody doesn't have Facebook everybody doesn't have Instagram so if we can Market it and they give us the prop give them the proper funding to Market it we should be okay we can have Flyers made we can have Flyers made everybody just have to get on their feet to get them out so that people will know the activities are here because every month they pretty much have something here but based upon the event gonna tell you who's going to show up you know so that's that was the outlet for us right now um and he agreed to it so if we can get him to get the city to agree with a number not to exceed a certain number you know we don't want to spend $50,000 on a event and we can spend $30,000 and it does the same thing and get the people out here and recognize that opaka is moving in a different direction far as the people um then I think that's the best outlet for it in-house marketing won't work for us it never works for C so we see how that work so so all all that has to be done is a budget that's that's need to be put together exactly so um that could that could actually happen the thing of it is we talking about May so we looking at what that's the 90 days maybe that's the 90 days to put something together okay let me excuse me chair um we put the 9 s birthday together in two weeks I'm just saying I'm just put the time frame together my head B it's based upon numbers so the food trucks they won't pay they just to show up we we open it to everybody we're not looking for a donation for in order to get the AR get to the Arabian Night Festival you have to do something to get the people to the park and if we can do invitations and open it up hey you know you have to really like Lobby for a lot of different things and if you go out and you say well we have we're having an event or they're advertising on that by a certain date that every food person that wants to participate not the day of then they tell us exactly how many food trucks that we will actually have you know you can have five um food trucks if they decent the people are not going to care but based upon the number of people that you have on the park going to tell you if they're everybody's G to patronize or if they want to be Is it feasible for the city of opaka but if we get 10 food trucks at least 10 food trucks set up the stage with some um upcoming artists out here well not a big big cost just a donation form um maybe some high school bands to participate their fans bring people if you bring noan in this just example you bring noan in and and Newland does it on a donation oh we give them a donation we give um um parasian Northwest who who whoever all you want to do is build your numbers based upon your the people that you're dealing directly with we do a food truck and then you have events something going on on the park when they have goom they don't have a certain stage for one thing that doesn't happen people walk the street then when the performance starts then everybody goes to the States but instead of having it on the street we'll have it in the park M Miss Ray recognize about through the chair um before we actually could get in depth into this we have to get with the Commissioners or the city manager to do a resolution for expenditure when it comes to any type of event at this point because it's like before if it's above 25,000 you still have to get three votes to approve it if it's below 25,000 you still need the manager so you still will have to get a budget and also um Mr pharoh did speak to me on Saturday in regards to the Music Fest so he supposed to put together the information that yall requesting so that we could submit it to the manager to present to the Commissioners so we can get their approval Vice chair recognize through the chair um that's the reason why we coming up with a plan so that it could be submitted to them so that we'll know we'll have an idea if they want to take on the plan us having Arabian Night is out so instead of just sitting the money over um so sitting it over there in parks and don't have an outlet for it why not use it for the actual Community That's the basis of everything it has has nothing to do do about um how much money you spending and over 150 of course we know it's not going to cost 15,000 we know it's probably won't cost 50,000 but to get people on the same page and get it advertise you still need a number you need um the gentleman to come up with an actual plan but he did agree to it and if we can work the budget out even if we spend $20,000 what you're trying to not do is kill the city of opaka but you want to get people to recognize that the Arabian Night Festival is coming back you know this is the advertisement in order to get to the Arabian Night Festival so let me um Let me let me come up with let me say this the first thing it is that we got to have a we we need a number we need a number to work around and the course is going to have to um go through the commission [Music] so we're looking at basically saying this is a something pre yes a pre-celebration of recognizing that we are planning to have the Arabian Nights for 2025 so I'm in agreement with that so what what I think we should do and I know we can't do it right now because no one knows their schedule right now at least I know I don't I can't speak for everybody else I don't know so the I think the first thing we need to do is put a motion together I mean put a letter together to send to the commission and the manager's office to find out what is the budget that we could spend then we work within that budget exactly we could do that and or we could also find out by being proactive and moving in a direction to where we can also find out what we need to have so while we're working on the city to give us a number we could be working with a number to give to the city as well so that this event even though it's like Round the Corner it could be done and done well in such a short period of time so um so let me so it need to be a motion on the floor so I'm going to put a motion on the floor that we um I'm put a mo put a motion on the floor that we um do a letter to the city manager and the city commission asking for a Pacific number a dollar amount from that money that has been allocated for the Arabian Night Festival to put on I'm Music Fest this music fest so that will be the motion that will be put on the table from me um CH yes right CH I have um well one of the big biggest issues that the um the karaoke is already will be already scheduled so it shouldn't touch that particular budget it's just a add- on to whatever else that's that that's why I say well it if the budget wouldn't be ex more expensive if we would had to do it from scratch if the karaoke is already there all you do is base everything else around that was it what what I'm looking at though that the karaoke budget is already set right so now we're we're looking at taking something from out of the 150,000 that has been allocated exactly so that's that's what I'm that's the number that I'm looking for so with with that number and that planning then we can look at say a pre- celebration so that you can maybe plan a short parade right where you can bring a nor you can bring a car city you can bring a Northwest of the central just something small but is it's smaller it's small but it's big enough to catch you the attention to say this is what's coming for next year and so when we're looking at that then it looks different so that's that's that's what I'm looking at so um I put a motion on the floor that we do a letter to the commission and a manager's office I'm looking for asking for a direct number um that we could work with to bring this forth oh second you say move it you could call a meetings because ton night they had meet me Monday scheduled the same time so it's like you got two meetings going on and it might some be some information that might be related to something that y'all might be a part of as well so um Miss Prudence will y secretary will give y'all the information update once um Mr Griffin give me the information so I'll give her update on what those questions or concerns were as far as activities and different things like that that relates to Parks um can you um can you give me uh a bunch of those flyers so On th you know what I do on Thursdays yes I have yeah so you gon be over yeah right right give me a b so I can hand out to okay so make surey get it um just just for the record so we have to we we G to that's going to be Outsource advertisement we not dealing on what was what was what the city been killing all killing us with with all this money with these with this other with this other firm that wasn't putting nothing out well the pr firm is no longer here that but PR firm is no longer here correct I don't know I don't know who does marketing so I didn't even touch that there's no one doing marketing so Parks do their owners we want to go out and get the pl the person that's planning it not us in particular the person that's actually doing on the planning to see number wise whether it take us to advertis it that's that's it okay so I just wanted to put that out there so if we have to do it for ourselves or do it with the Outside Agency then we need to all that need to be stipulated um the next item we have on the agenda is to request an appointment um for the chair to speak with the C director to discuss funding for the new playground actually I got a call from the C director last week and I was supposed to call him back but I got tied up at work so I I would definitely um meet with him but I I would like for someone else to be in that meeting as well so that um so that it if I have an alternate if I can't meet be in that meeting not to be in the meeting as well because I it'll be a violation of the sunshine but to have an alternate just in case I can't make it so I would let Miss Swift know um to find out who's available so that I'll set a date um with the U with the c director and if I can't make it on that particular date that he gives me I would like somebody else from the board um to attend that meeting so that they could bring back um the information chair Miss Cherry through the chair can we just have a meeting where the CRA director to come meet with the board as opposed to just individual that's all right with me that's chair yes it was really it was just a request because de ceas check status wise so we can get them here we fine with that the the other part is um we need to do a add-on to um this this particular meeting because I do know that shabi Park they're trying to do the complete lighting system on shabi Park like England park that is something that they're working on but we need to talk to C or submit something to the city of opaka cuz their playground is too dark for any kids to be out the playground itself not so much as nothing fancy they have to put some form of lighting they have lights in the parking lot they have lights all over everywhere but the playground area it's completely dark but I do know yeah as me but I did um I do know that Miss Ray has spoken to some people about changing the light system now from there I you know I asked a question because the parents were complaining that the playground is completely dark [Music] so so here here's what here's what needs to take place because we we've been at this now for a little bit over a year about these parts if I'm not mistaken or close to or close to coming up a year so chair before you say that chair just call him and ask him for a meeting and then give it to miss Swift and then let everybody know if they're available to come at that time and I guess that'll solve that but that's the issue that's why I said do I add on those things need to be addressed like yesterday you know she's working on it and they came about it too you know when I was leaving the party they did come so it's not about them not working on it's just that everybody dragging their feet but it's a straight liability if a child go over there and somebody go over there they could take him you would not even see him in a park I'm a park I'm a park parent I'm a park grandparent I'm a park whatever so me going to the park and you seeing it and then I had a a parent to ask me the other day why they don't have Lightnings on the park I said well they have lights all the way around they said but it's not it's good that they having in the parking lot all of that but the actual area of the playground there's no lights there at all and okay go ahead M Miss R recognize to the chair um Mr chair I did meet with the company on last week um we're trying to get the lighting system at shabi done the same way the lighting is at inam park at shabi so we're waiting on they doing numbers right now as far as the budget to do amendment to try to see how much it would cost us to redo the lights so they have the H HDM DMI lights over here because that's was that Ingram Park and also the company is meeting with me on tomorrow to also meet about seagull Park so we're trying to get all the parks actually lit up the same way as Ingram Park to where all the the electrical work will be underground instead of up top but it'll be easy access for our beautification team to be able to repair or do anything once all those things are installed so hopefully within the next couple of weeks to maybe a month hopefully we'll be able to start getting some kind of more information on when they'll be able to start doing those projects chair Miss Ray in the meantime they just need some lights like I said don't even have to be anything big just something just for so let's um okay you have because what what's happening now is we we're we're back to repeating ourself with the same thing but I think the the the recall that I did have with the man with the uh CIA director it it was encouraging so can we uh find a way to come back and have a meeting before our next meeting that's fine so that we could get this issue issue resolved and and definitely to also [Music] get the at least get the foundation put down around the Music Fest for the prebian Night Celebration that's coming up so I just want to find let us find a day for that um for us to meet again prior to um next month and to our next month and we
