##VIDEO ID:HaOMaJpQdMc## and get us moving um so thank you all for being here with us today we do have a hefty agenda so hopefully we'll be able to get through it uh and be able to accomplish quite a bit today so I would like to uh welcome you and move right on to our uh um uh process um so I have set up a a presentation to take us through it I'm not going to move it to presentation mode if you don't mind because I've got multiple screens that I'll go through and it I'll have to just keep dropping in and out of it so I don't want to do that um so as we go through again thank you so much for giving me your time today so that we can uh work on the calendars for school year 2526 and school year 2627 um I uh do appreciate your time I want to make sure that we use it wisely and that uh we're able to tap into your expertise and the um ability to be able to um uh look at at what you bring to the table to help us make the best decisions for a calendar that we can uh walk away with that will work for our community and for all of our stakeholders um as we go through we um do have uh I think some for public comments today so we will take those public comments here at the beginning um so anyone with uh any comments it has been advertised on our website uh for it and any that had made com uh connections to me I had sent out a notice last week about this meeting so that they were aware of it and they'll have the standard three minutes to make comments for uh anything they would like you to be aware of as well um and then we will move in to some updates from our previous meetings uh some expectations for the calendar task that I've got an update on that as well and a timeline that I'd like to bring back to your attention um have a sample calendar to review with you along with going over those uh federal state and uh major religious holidays uh for you and for us to do a collaboration to go through the um uh calendar in order to come up with a draft for it we'll do that for both years that we have uh and then the final committee obligations uh and next meeting discussion if needed so as we move in we are now ready for our public uh open for public comments uh Caitlyn is uh in our room at the district for uh uh anyone that might have shown up in person for public comment Caitlyn do you have anyone there for public comment no I don't have anyone in person right now all right do we have anyone online for public comment all right uh Mary uh thank you for joining us today um and you uh have uh three minutes for us to to give us some of your back uh input that you would like us to be considering as we go about this business of building our uh school calendar so can you unmute your mic or are you going to put it in the chat box okay so Mary is putting some information for us in the chat box and is um all right so we would like to recognize Coptic Easter or Christmas and Easter as school holidays in Palm Beach County do you have specific dates for that Mary that you would like January 7th is Coptic Christmas okay yes it's Coptic Christmas and when does coptic Easter fall it changes from year to year okay um and and we do have you know uh uh and you and I have have had email conversations back and forth uh to talk about all the complexities of the uh District calendar and in trying to uh acknowledge as many religious holidays as possible with all the other complexities of a district calendar that come into play along with our federal and state guidelines as well uh we do appreciate you attending today and giving us your voice so that we know that this is something that uh we want to um to acknowledge and to at least have a good Friday which falls on April the 10th um 2026 okay and as we get to that area we will uh see how that works within our calendar um for it thank you so much um the um the board office and and thank you Mary for for being here and for giving us your voice and and being able to tell us your um uh area that you wanted us to make sure that we were aware of so that we were able to uh look at it as we go about building our calendar uh anything else Mary okay um all right is there anyone else here from the public that has open for public comments that want to make a comment at this time all right um we did have um multiple uh emails and letters sent to the board and uh sent to me concerning uh honoring Veterans Day that requested that we uh let the committee know that Veterans Day was a holiday in which they requested that we honor and I had let them know that during our meeting when we were building the calendar that I would let them know of that request so I wanted that to be put on record as well during this time that it had been known by uh multiple people that Veterans Day would be one that was a request for it as well okay well thank you so much we will move on now to our next slide slide that out of the way so I have more of a picture all right so update from our previous meetings so in our previous meeting we talked about having a survey that would be sent out as we talked about that survey and we began to look at the creation of that survey um the during the creation of it we uh realized that the amount of the information that was needed to familiarize the audience with the complexities of the calendar creation process was far more extensive than what the survey could accommodate uh specific details about the instruction time the academic support and the complexities and compliance with the state mandates um which we had discussed in our first meeting and the federal and state laws that were there um that would be crucial for making those choices were too extensive to include in the survey so given that and making um a thorough review of the committee that we had it was decided at that time that we would use our calendar committee members uh and all the uh stakeholders in which they represented to uh get their feedback and use that as our starting point so from there we will be making adjustments in developing our calendar from that point so the final proposal would be sent to leadership in that committee at that point uh trying to come up with a um background knowledge as you saw the complexities of deciding or describing what federal statutes and laws and all that were in place was just too much to be able to put into that survey piece uh in that we were able to look at the survey results from you and was able to see that 73% of almost 74 wanted as early uh as possible um 26.3 said mid August uh when we looked at doing the um question concerning Thanksgiving week um being closed for the entire week 94% at that um said that they had preferred the entire week of uh um Thanksgiving being closed um winter break in asking the question about uh whether or not you wanted wi winter break to start midweek or uh wait you know as opposed to a Monday it kind of was uh a trying to avoid if possible was our biggest piece there uh to try to make sure that we ended at the end of the week avoid starting in the middle of a week uh our calendar kind of breaks ourselves up there to where it was uh uh very easy to end at the end of the week on the way it works in these two years um overwhelmingly everyone would like for the semester for first semester to end at winter break and not have it carry over into January um for it for this um section right here and then moving on into um looking at whether or not you wanted to change the um winter break to be a few days earlier most people stated that they uh would like to keep it the same which is this uh red piece here others said they had no preference at all uh for it just a small portion 15% said that they would like to move it up and spring break was uh pretty much all over the place to where it was a few options uh each week no uh and then this group 15% of no preference at all for our selection dates so in taking that information and looking at it I then got more details from our leadership about what expectations we had when we first met um I was asked to bring back three calendar options so that we would be able to have them look at three calendar options um they've changed that for us which is good for us so they've said bring back one calendar option for each year so we don't have to develop multiple options for them they want one one for 25 26 one for 2627 um and a presentation in which we would uh take to them to present to leadership and to the board so um giving them the pro and the cons for what's working and what's not working for that calendar option so when I was looking at that I then said all right we're streamlining it to one calendar option for each uh and the presentation what is our timeline well the timelines moved up a little bit we have our meeting today they would like me to have a presentation to leadership with those options on August the 5th today is July the 24th presentation August the 5th and taking to the board September the 4th those calendar options with the board voting on it o October the 2nd so in order for us to do that I am blessed to have Caitlyn to work with Caitlyn and I started looking at how we could go about getting to a place to where we could make a lot of today's work and you know this is my first time doing this so Caitlyn and I took that blank template we looked at the survey results and we started going through and saying if we were building this calendar from scratch what would we do so we started looking at let's build one out and come up with what we might come up with for a calendar and then we could tweak it together with you guys making the edits so what I wanted to do today was to go through the calendar with you month by month and give you kind of my thought process of how I did it and then collaborate together and you make the changes and edits that you thought were needed by month and come up with a plan for it um and Phillip uh I am um going to in just a moment after once I get to mine share an entire folder with you that has everything okay I just didn't want you looking at it all before I got to it okay I knew you'd asked for it I just knew you'd start looking beforehand and then you'd start saying what is this so I couldn't give it to you too fast okay see it's all right there not even lying to you okay so we are going to uh go ahead and go through it in that you're going to have a copy of the calendars uh you're going to have a copy of the federal and state uh uh holidays along with the major religious holidays to go with it uh we're also going to talk about what the um um pay Gap is and I've been working with Nancy Nancy is here with you and and I told Nancy I said I'm gon be honest with you every time I've gotten an email I've stopped and said I feel like I am and just don't have an idea about this payroll Gap and she came up with a slide that just made me finally understand payroll gaps and it is our next slide which what causes a payroll Gap and we need to work really hard in helping ensure we don't have the payroll Gap so she put up this slide or put together this slide that help us understand what caused that payroll Gap and to help me get through it um it was every year you end up with we know either 365 or 366 days in a year if it's a leap year and we get 26 pay uh checks well in that 26 paychecks there's 14 days in a paycheck it leaves us with either either two days or one day extra every um paycheck that is extra and actually I'm gonna back up and say Nancy you explain it so that I don't stumble over it because I can look at it and say it makes sense in you were doing you were doing perfect um until you until you got to the you just my days yeah so so there is one or two days left over from every year that eventually will add up to a two-e period so it'll add up to 14 days which is what this example shows um so if you add it up from 2016 to 2026 that's 14 days which represents a two-e time period so if employees are paid their annual Sal contracted employees that are work less than 12 months are paid their annual salary over the 26 pay periods we we are unable when you get to that 11th year we are unable to pay one of those checks well we're paying all the checks but we have a two week cumulative time period that represents the Gap so every 11 years they'll end up with a payap there's a pay Gap every group and I know I say this every time we have a meeting um that it's something that is inevitable it is something that we have done our best best to postpone for most employee groups um as long as possible um but like um Game of Thrones uh winter is coming so the pay Gap is coming it it's inevitable so we can anybody have a question before we move on from this slide does this help I'm hoping that this helps a little bit with the explanation um for the good of the group uh with how it happens okay yeah once I saw it it was I I actually text Caitlyn and said oh my goodness this slide is like pay gaps for dummies I finally got it uh so it helped me see it it's a big math problem is what it is unforunately it's just and uh based off of the way in which I did a draft uh and it's unavoidable there would be a few groups that will end up with a pay Gap but it's because there is no possib way for them to start early enough in order to have a paycheck for that pay period uh due to when they would start so what I want to do now is before I share the folder with you is I want to walk you through my uh thought process so I want to review the calendar 2526 that Caitlyn and I did as a draft and be able to show you how I thought through coming up with nothing and what I uh what I did as a first draft and then as we go through it we're then going to start looking at it month by month and you guys are going to say I think maybe we need to change this we need to move this PD day to that we need to change this holiday to that let's look at this and I want you to use the same process that I was thinking in order to challenge change edit move month by month until we finish that calendar that year for it but I wanted you to kind of see the thought process that we had in order to get to the end of it um and in order to do that we came up with this calendar log that we will be able to go through and make our changes on so in order to do that let's look at the first calendar and I'm G to uh talk my way through it and then as soon as I'm done talking my way through it I going to share the folder with you and we're going to start editing the first one okay does that work for everyone all right thank you so in order to look at the first one we uh first put in for our July 1st our uh 10hour days um and our July 4th holiday which was a natural set then we moved into August and as we moved into August our first thought was to um look yes Jennifer I just wanted to ask because I know last time we had to fix it and I can't see on June did we remember juneth going forward um in looking at and this we would not see it until the end because this starts calendar year starts in July and we're going forward so it would be at the end and it does not fall on a work day perfect thank you okay and then I'm GNA try to go through the whole thought process and then when we get to the things which you will be editing so anything you come up with try you know jotting it down or listening because it'll become part of your edit process for it um so as we got into August we started our first thought was let's go look at the federal and state uh spreadsheet and we look to see is there anything in the federal and state guidelines for um August or September and we knew that we had Labor Day uh in here uh we then looked over at the religious holidays to see whether or not and this is our 2526 religious holidays and we looked at anything in religious holidays for August as well and we looked at September we did see that September 23rd was rashash Shana and it was one of the days from your survey that was listed highly along with uh October 2nd y kapore uh as well so as we were creating we then listed um August stayed as our natural days we moved into September Labor Day came in for September 1st as a holiday rashash Shana came in as a holiday just enlisting it there and when we moved over to October the same thing for October 2nd for Yan kapore and you notice we've got the green numbers in it for the days uh we were getting up to day 45 which would have been the end of the quarter so we put in a PD day for the 16th to cover the end of that we did think that it's possible that you might want to move that to the 17th and make that quarter be 46 days in order to have that on a Friday it could be possible so that got us through October as we moved on over into November we can can I try to go through just so you get your thought process or that's yeah that's what I was gonna ask that's what you want us to do you want us to take this all in okay that's just why I want to make sure that's how you want to do it yeah because my thought is the things that you're thinking about will become your edits when we're going month by month okay awesome keep going sorry about that so then November as we were looking at November we saw the trimester ended the 60th day on November the 6th but we also as we were looking at November we noticed that um you also had Veterans Day on the 11th and knowing that multiple people were asking for Veterans Day our thought was it's possible to maybe not have Friday off on the 60 uh the PD day there but maybe put push it to the 11th and make that a PD day instead you'd go a little bit longer on your trimester but you would still end up being able to observe Veterans Day for our students and be out and have the trimester instead end on the 62nd day for elementary and still get our Veterans Day in there so that was why we kind of pushed it we put our tea in there for trimester just to give you a heads up as a mental note that the trimester is you know that's your 60th day but that was why we put PD day in here to still get Veterans Day in but not be a holiday because that holiday would push you still going further into June for the last day of school uh November also included our full week of uh uh for Thanksgiving then we moved on into December December did not have as we were looking for religious holidays and such we were able to look and see if there was anything else that we could see we came back to the calendar and we ended the nine weeks or the semester on the 85th day so that the semester exams could happen happened before winter break we put the two days because our 10 or 12 month employees do not have all of that time off you notice the um um telephones are not on the 22nd and the 23rd um so they are here they would work the 22nd and the 23rd then they would be off the rest of the time now you could if you decided that I don't know that I really want my 12month employees working the day before Christmas Eve possibly have them work on the 22nd and come back on the second that Friday but our thought of putting them both early in the holiday was that it gave them two full weekends instead of breaking it up for that Friday for the weekends and a lot of 12-month employees that would be working on those usually take that time off and use annual days during that time but they would have to come back early because that's the way that calendar works for 12 month employees so you would have that option if you wanted to remove move this telephone on January the 2nd and put it up you know here to give them that time off so that would be an option for January if you wanted to do that so let me move January over so in January we had the telephones go through the second again you could take that off we put the PD day here so that it still gave that extra go through 85 up here and not have it at the end of that break so there's a work day on January the 5th the beginning of that uh third quarter started here the natural beginning would start on the 12th that's why the queue is there it's just a mental note doesn't mean anything I just put it in so that you would know that would be the natural day if they if we went with the natural day that means their exams would have to be after the break that's the only reason it's there um so Martin Luther King is a paid holiday it is in January so it is here to be off as I moved into February we looked in for when the trimester would end now in February was a little different when I looked in February's holidays as you notice the trimester ends on the um 120th day is on the 25th but when I went to the holidays I saw that the um move it down here February February the 18th is Ash Wednesday and the start of Ramadan so I put the day for our end of the trimester I moved it up a week thinking that the end of the second uh trimester being up a week and making it a duty day and a no school day would also let us be have students off on Ash Wednesday and the uh first day of Ramadan it would make that trimester come up a week but it would also allow us to be able to bring in a holiday so that was my thought process for bringing that there and then we moved on into March March got us to be able to bring in a I hear a share it in view only um I am not in the PowerPoint right now Phillip I am only in the uh in my um tab I'm out of the PowerPoint I did I didn't say anything I don't are did you think that my comment was recent oh yeah I did sorry I heard the be I thought it was recent sorry uh okay so in March the um uh marking period natural marking period would have been um ending for the on March the 11th that natural marking period is for me counting 45 days from our first day back after the holiday which is January the 6th going forward so that would be 9 weeks would bring us to March the 11th if we have spring break this week my thought was bringing it over to the PD day making it end on the 12th and having it Duty day on the 13th since then we have socialized this calendar with our food service director and she's actually requested and said that it helps Food Service prep if they have their food service our PD day after a week off and they've requested to have you consider ending this nine weeks on the 13th and having that day on the 23rd instead so that food service workers could be working to prep the food service uh area and have kids come back on the 24th instead so that's in the edit request for your consideration to just extend that quarter just a little bit further and let you have the PD day after the spring break instead of before so I listed that there then I moved on into April and April 3rd is Good Friday so I added that in as a holiday the rest of April is natural work days May is the same for natural work days with um being off on Memorial Day the 179th day would be the last day of school for students I left that as the last day of school for students because if we ended up with a 180 days for school for students that would put us at had a pay Gap um for our school bus drivers bus AIDS and our police AIDS and then it would also put in our other 22 uh pay employees because they all have to stay on that same pay schedule which would bring in about 4,000 employees so staying at 179 school days prevents that pay Gap and we will still be in compliance of the 900 hours with our 179 days so we will not be out of compliance for hours and we can get by with 179 days so it uh the yes philli an extra day will create create a pay gap for 4,000 employees and it will not put us out of compliance for any federal uh or state guidelines so we uh this year we have 179 days as well so so then our last day for teachers would be June the 1st this June week would remain eight hour days for all employees and we would begin 10hour days on the 8th and since the 19th is not a work day we would not have that day off it is already a Friday off so that was my thought process for the way in which we uh I came up with it yes sharmine so good afternoon um thank you was letting you finish you didn't have to call on me oh okay sorry I appreciate that yes you can finish your thought oh that was it so and then what we ended up doing was we did put on this calendar the number of days that fell in a trimester the number of days that fell in a um uh each quarter and Caitlyn if you can share this working uh folder with you right now it has as each of the calendars the log and the federal uh and religious uh she's going to share that folder with everyone so that you have it um you should get it in a couple minutes depending on how quickly my email there okay um but that that kind of just like was our way of like setting aside and going through and going back and forth between the holidays and such to to go through it and then thought process with Caitlyn and I were that we took every holiday and everything that's listed on the calendar and we listed it here by month so that we could go through today and say on July in July this is what we have as a committee and group are we good with this do we need a change and if we're good we would be able to put yes or no here if we need a change we would do a striketh through we would add another line and we would make changes and go through month by month until we finished each month in order to then see whether or not we're in agreement with every month on the calendar so that was my way of hoping we could go through the calendar for it and see that we were able to cover every month and see what we have for each month to to do so hopefully it's logical and not confusing uh but it was a major task to be able to cross reference each month and each holiday and the guidelines for the academic requirements and uh everything that was needed so so let's start uh uh with questions and then we can go with month by month from there uh uh sh thank you so um good afternoon the first question that I had was it it went all the way back cuz I didn't want to interrupt you at the beginning where you were sharing the breakdown of the surveys I wanted to know um there was a question on the survey and I may have missed it because I don't have my glasses on um regarding the end of the year uh I think do we want to end later do we want to end earlier if I'm not mistaken um unless that was a survey question in my own minds for parents um was is that a question or do we have data on what the body here we didn't have any about when to end the year we had it for beginning when to begin okay um that's fine then my other question was when we the response to the survey that stated there was 76% would like to start early which ultimately would make us End early um and 26% would like to start mid August do you have a breakdown of what that 76% looked like were their parents were those um staff who were though who were in that 76% I do not know because I did not collect who were my responding people uh it was uh Anonymous you did not I did not get who was each voting member okay so then if I had to do um can you go back to October so I I will come back and allow other people I'll just sa my my edits um can you go back to October I believe we did ask that question um because but I could be wrong I don't want to um misspeak so October 17th um so I may have missed it the duty the PDD day to no school is there a reason that we couldn't move that to October 17th for any reason no I had stated that you might wish to move it to the 17th so when we we start talking month by month you guys can decide that you might want it to go to the 17th that will be a total decision by the committee okay I would definitely vote for that because if I was a teacher I would just not come in on the 17th um but yeah that yeah as we start going month by month month you guys can easily decide to make that change all right so my my questions were answered I didn't want to go into the month by month I didn't know if we were there yet so yeah we'll get we'll get month by month for there okay I'll pause there thank you so much you're welcome Jennifer hello thank you I know on Fridays in June we're off but just a little friendly heads up at the school in the district we're off but our 21st century programs our after care programs and our Head Start programs still run so that's were this year and last year it was like added in so will they be off just food for thought because this year they were and the calendar was updated but on those Fridays like I said even though the like I'm off and I know the district is off but our our Head Start program those that team still works and so do our 21st century programs just food for thought for everyone juneth you're saying yeah juneth yep June 19th I know it's a Friday so I think you said we're not addressing it now I can't see the date anymore sorry uh there it's a Friday right yes so I'm just throwing it out there that yes the district to close but 21st century after care I don't know after care but 21st century and head still are open on those days summer camp is as well I believe okay yep I will list that as a a question for thank you hello I all right uh Phillip so my question is pertains around August it's it's Global but this is specific to August do you want me to wait um we are we're just about ready to to start doing month by month but if doesn't matter if it's Global you want to go ahead okay um so being on this committee I've asked everybody I come across with if they have any input that they they um really wanted to see in the calendar um and kind of gathered all that so I would have it for our next meeting and one of the overwhelming things that people said and I'd love to hear what other committee members say as well this is particularly from teachers and parents is that um is that everyone misses everybody appreciates when the school year does not start on a Monday um and the reason for that is um because uh especially for some of our students who are transitioning into new schools and then especially our kindergarteners the overwhelming Fe feedback that I got and just students coming off of no structure and zero structure over the summer and then um and uh different bedtimes whatever that that it is very helpful to families and then of course teachers especially schools who do staggered start that when school starts on a Wednesday so I wanted to put that point out there for discussion I do see that that would have uh vast ramifications to this yeah I see you Nancy that would have vast ramifications to this calendar so with that since Nancy just flashed 400 Z up on the screen 4,000 employees my question is how does additional days like give people a pay Gap it almost go are you saying because we would start later it would give them a pay Gap yes because if um the way the district we do not we are not able to pay anyone in advance of them starting so um they have to work at least one day in the pay period in order to be paid so by Shifting the calendar later you're moving days for them to start to be later which means that they will not have a day in the pay period required to avoid the Gap these are mainly these are the employees that are tied to student days the 22 pay employees are tied where is it where is it in the calendar that creates that well right now we've avoided it by starting on the earliest possible day being the 11th okay that bus drivers can start on the eth the reason why I'm asking so the bus drivers start on the eth they they have to work the week start Wednesday then they start on a Tuesday and then they then so then that becomes a different paper what I'm thinking in my head is the 13th and the 11th are in the same um week in the same pay period right but we're trying to get them one in the prior one day okay so the eth is so the eighth is the end of a pay period is that correct yes okay so we know for sure that the eighth is the end of that pay period okay so I just want um uh I just wanted to put that out there I do see um how it would affect people and again I'm just putting it out there I know that that without me saying it it was overwhelmingly um what I heard from teachers and um teachers and and parents was that was actually the number one thing that I heard and that may very well be because we're approaching the beginning of the year and we're starting on Mondays this year so um food for thought thank you okay so all right and I'm seeing some some suggestions and the suggestions like go into other months as well and I want us to take them a month at a time so that we don't start if we start moving months ahead we're gonna miss things um so we don't want to jump around haphazardly um so charmain let's go ahead and take your question and then we're going to start by the month thank you um do we know when our neighboring um Cy's start time is um yes it was in our previous uh it was in in that folder but I don't have it in front of me I'm sorry yep uh and I can pull it up in just a second uh one quick moment the um majority of them are starting this on the very first day that we have so far and they are um I'll give it to you just a second go I guess the question will be was that a factor when factoring in this calendar um well we were seeing that you know they were starting as well uh at that time uh okay all right so for the ones that have published calendars already uh we can see but we you our neighbors haven't published calendars yet these are the only ones that are out and thank you the two two counties that we typically would really kind of need them more important is not listed so got it and and some of them are already calling me saying what are you guys doing hopefully they follow our lead yeah so all right you're welcome glad I could grab it quick um okay so we are going to start and I am going to use the log because I think that will help us move uh our fastest through it um but let's start with uh looking at um are we good with our first on 25 uh 26 10hour days for employees going that one's kind of a no-brainer every anyone not good with this one so so no change okay Independence Day is a required holiday for our C our our contract so we're good there too all right so in um preschool for teachers August 4th through the 8th that whole week five days was requested by School administration um just so you know um that is uh and Nancy I'm probably getting ready to say that if we go to 180 day uh for students we cannot have five days for preschool so we are allowed to be able to do five days for preschool based off of 179 day for students if we went to 180 this would have to be shortened by a day so uh keeping it at the 179 we can do this um is anybody wanting to make a change to this or are you wanting to are you good with this staying the same I am going to sh this is Charmaine I'm going to go on record I'll go with the majority but I'm going to go on record with the teachers and principles that I've um spoken with they do not want to start this early they would rather a push back um a week so they would rather push back a week so I like I said I'll go with the majority but I'll go on record to say um hearing from the teachers here in the South and and for the majority and some Central area and Northend teachers and administration they did not want to start this early okay did they understand that there would be a pay gap for 4,000 employees they understand the recording that was the recording and everything that was sent to them um I'm just sharing back because I'm not here with one voice I'm here with voice yeah that's um but giving them five days for this week um having the five days is is okay with people that if we've got to start uh you know the first week of on the 11th are we good with having five days anyone wanting to make that Thor and I've got it open to where I can see anything in the messaging too if you make that four you'll need to pick another Duty day somewhere during the somewhere else all right so I am not seeing anything so I'm going to put a no there uh but please speak up um all right uh first day of school is the 11th um if uh we are looking at that changing yes Brett so n Nancy this is kind of Echoes what Philip said and I I know we're going month by month I am because I wrote it in the chat so I don't want to skip but I guess question is that if if I heard correctly if you move a day off ahead back one day so so from Thursday to Friday does that mean then could we start one day later like you'd have the same amount of days does that make sense so could we start Tuesday but does that still create I'm I'm guessing that's still creating the pay Gap correct pay Gap exists unless you start on Monday is that accurate or Monday August that is accurate for this school year school year so I'm not saying we're going to do this but if we were to start August 18th the following Monday that's not a pay Gap but then that causes a whole different domino effect is that right it will be a pay Gap it will be a pay gap for at least the 4,000 and I have to do an analysis to see if any other groups fall into a pay Gap so is the pay Gap because you don't start on a Monday or because we don't start on Monday August 11th they need to work it's that they need to work a day in the pay period that the Gap would occur so if you push the days a week later or two weeks later you might have the entire District that has less than a 12- month employees all have the pay Gap the further you put it because every 11 every 11 years there will be a pay Gap so it just a matter it's a matter of timing and the more days you click forward the more likely it is that you are going to have pay gaps to more groups so right now tell you the 4,000 okay but if you push it further it may include everyone got it okay well yeah that wasn't un op op but yeah I get the pay Gap thing it's a huge thing I I understand that part but yeah I have to Echo what Philip said from parents and yeah just I mean this this year's gonna it's been a while I think but this year we're obviously starting on a Monday um it is definitely a bit jarring for a lot of reasons um but that's what I was trying to understand is if you made if different days changed further ahead if that affected anything but okay you answered my question right sh I think we answered the question but I also want to ask this question and just to kind of throw it out there and I I I totally understand the pay Gap and I will re you know certainly when I take this information back to those that have um had the conversation with me I'll take this information back but um do we have the numbers of how many students do not attend school or may not start school early because of starting this early start date is do we have that number um and we may not have it here today but and I know we we are pressing for time but I just want to kind of throw that out there as well when I understand that 4,000 but I also would like to know what is the number of students that don't come to school that first week or that number of students that don't come to school the first three to four days um so um and I did pull those numbers just to kind of look and see uh what we were looking at um historically over like the last five years of kids starting in different years um for it and to be able to see and over the last four uh or five years historically we've had um 94% of our population start the first week of school um and then after that they would come in um about uh 2% would come in during week two and then less than a percent a week after that um the rest of the student population came in after that um so it was looking just to see on a fiveyear average of what we were getting but 94% came in during the first week of school that's helpful thank you for the fiveyear average because I I kind of thought you know that myself of what we were seeing on on average all right so um uh leaving this knowing that we were looking at avoiding the pay Gap Phillip could you go back to your PowerPoint um I wanted to see what the results were again for the for the first um week of school because I don't have access to that the your survey result yep right there survey results and it's uh okay as early as possible three out of four okay yeah was ended up at 73 for it and I got another response after that that uh pretty much evened it up to where uh that came in after I built this at last night but then another response came in this morning and it made it pretty much even 7525 with the other response that came in okay so are we going to say no change for first day I am seeing nobody saying change it all right Labor Day is one of our paid holidays I am putting that there um the fall holiday as a as Russia Shana anyone with a change for that day moving it to anything else okay I am going to put that as a no so I'm looking at comments in in our section for it from the committee members here October so October 2nd for Yan kapore right now this comes to our end of the nine weeks on the 15th the duty day is the 16th again if you want to see that calendar yeah we were thinking of moving that to a Friday right yes and I'm gonna make that calendar a little bit bigger for the October guys so that we can get in that makes the end of the nine weeks is a Wednesday the duty day is a Thursday would you rather bring that to a Thursday with the end being on a Friday move to Friday I'm see I'm hearing a move to Friday a yes A move to Friday a move to Friday a lot of move to Fridays Friday Caitlyn can you do your strikethroughs and all of that wonderful stuff ma'am yes I would do that so end of the nine week I am going to put a yes for a change it's going to make it a red or yellow there and our change is going to bring that into the end of the nine weeks is going to go to the 16th and then the PD day would go to the 17th the duty day would be a yes and a yes here so all of those would be moved down a day and that that would be a nice logical it's not going to uh skew your quarter very much it's not going to mess with the semester oops okay so Caitlyn is adding those in for us we can move to November so end of the trimester being the 10th now what is the new lady name Mar what or is it something Mara is Mara her first name Mara is her first name and for last sorry sorry um when we look at the calendar remember in November guys I made a decision that even though the trimester ended on the sixth uh yeah November the 6th that instead of having that PD day on the 7th that I thought moving it to the 11th for Veterans Day would be a better option and extending it there I don't know if you agree with my thought process there so it's whether or not you think that is a good idea to extend that and do it at that time and keep that option as my thought process or not do we want to leave the PD day on Veterans Day does that make sense to you guys did you expand on some of the calls and requests you've received so I'm one of those ones that believe that when the students are in school on Veterans Day we tend to even at the middle school level do veteran activities and I feel like it brings more emphasis to the importance of Veterans Day and so and in in the end we are not giving our um employees off that day anyway um and we have I'm sure a good chunk of employees who are veterans so my question to you I'm not advocating for us having school that day because we need a day um that isn't and to be honest with you this calendar does not go out with a bunch of explanations of every choice we make so everybody say we put it on the 10th which would be great um everybody will say why would they do that on the 10th and not move it to 11th like I get all that so my my my question is is I just was wanting a little more reference as to the background information you received because when we do have school I know perception is everything but when we do have school I know elementaries and I know middles do a lot around veteran activities we have veteran guest speakers we do a lot all of our social studies classes do everything around veterans so that's what where my question lies with that um we we've had quite a few veterans that had um had written to the board uh some that have spoken before the board um we've had some that have talked about uh the amount of students that have um participated in Veteran Day activities on um uh community activities and have had to leave their campuses in order to do that and weren't in school because they were participating in those activities to begin with um and were there uh in parades or doing those types of activities um to be part of rooc or bands or other ones in those parades um as well um so there was just a large number of communication to our board and to our Board office um requesting or asking why we were not observing it uh that seem to be overwhelming in this at this time so it was a good number of of comments that came in requesting it well uh Kimberly hey I I just I think I'm gon I'm kind of citing I put my hand up by when Philip started talking and I'm kind of supporting what he said but I hear what you're saying as well Diane um in the fact that um you know we see Duty PDD and we automatically think okay it's a duty or what have you but second that's that's a p it's an elementary um Duty day so you know teachers can use comp time and things like that and have that day off whereas secondary you're in professional development and if you're a veteran you you're kind like I I don't know I I kinda I mean I get what you're saying we need the 11th off but siding with Philip as well we do activities all over my every grade level does activities around Veterans Day and what it means and we have people comeing talk even though they're elementary students we have people come and talk so it it could go either way um with that so if there's a way to maybe look at that again and and see other options I'm just everything that Philip just said yeah my communication back to them I have uh uh made sure that I have uh socialized with the communication back that schools do incorporate uh lessons and activities and that type of thing but our veterans that have taken the time to uh email and and call me H have been very passionate about us not uh observing that day as uh as well um Valerie I just wanted to talk from the athletic perspective mainly from the high school level so we already have the duty PPD day October 16th that's being moved over to Friday the 17th we're right in the middle of our football so we have these large groups of varsity football players cheerleaders marching bands all of these students that can't get to school on duty PPD days without busing so I Friday you know October 17th we'll make due but to put another Duty another Duty day another non- busing day on a Thursday or Friday is going to be very difficult for us and those large student groups trying to get them to campus two times within a very short amount of time we got parents that work um you know and trying to get them there I think would would be difficult yes Philip games can be on Thursday we actually don't have enough officials so games have to be split between Thursday and Friday so again I understand that Athletics is a small piece of the pie here but it is a large contingent of students that participate on that night and many of them are dependent on bus transportation to actually be at school on the campus so for for us in the fall in the sports season you know to be to be hit twice on the Thursday or Friday um in that football season with all of those groups um would be difficult marching band is also a curriculum item it is not an extracurricular item so them being able to get there and perform is part of their grade so just some food for thought so you know for my perspective having the duty day on Monday or Tuesday is beneficial for those groups I also understand that there's a lot of other opinions here as well okay thank you all right Charmaine I thought you had your hand up is it still up it went off my queue no ma'am okay it's not up all right so with all that discussion where do we stand for end of first trimester and the duty day with veterans are we wanting to move it to leave as this leave as this is my opinion at this point I agree at the school level I've gotten uh complaints about us not having Veterans Day off so I know that at the district level you all have and I see some thumbs up going up around the two okay wrong one sorry so I am going to put no change at this time in the beginning of the trimester would begin and Thanksgiving break we are good with Thanksgiving break being a week and the week of Thanksgiving obviously okay charmain that was the wrong hand I was going thumbs up thumbs up okay good um end of the nine weeks on the 19th is our end and our winter break going for those two weeks Philip only wants three days off okay um and our winter break everyone is fine with the winter break as it is um the only piece that we do need to discuss on that winter break calendar is whether or not any anyone wants to make a suggestion of taking and putting the telephone there and moving a requiring coming back on a Friday how big is this outcry to move that date because I think everybody takes a two days for the most part anyway I think they take the two days for the most part either and I don't know that I would ever want to come back just on a Friday yeah I feel like if we if we give him the Friday everybody's going to take it off anyway so it might as well just be a day off as it is yeah there may I mean maybe leadership might want to change it when it gets to the leadership side for which day they do but putting it on the front end instead of one here and one there I mean it seemed like the best for me but I will more than happy do said most of my people have always taken it off or most of them do I would leave it the way you have it I WR objection otherwise I agree I I think you should leave it the way you have it people might want to come in on that Monday the 22nd also yeah all right so I am going to leave that Duty day on the 5th of January is good third nine weeks sorry begins on the sixth Martin Luther King is a paid holiday now um February this day is the day where I moved it up a week to include Ash Wednesday and the first day of Ramadan instead of being on the day 120 was just my decision to do that are we good with that it kind of was a way of trying to include a holiday but not be too far off of our trimester Valerie disregard I hit the wrong button okay thumbs up trying for it any you know I see some more thumbs up I'm hoping there's still good thumbs UPS all right I don't hear anybody saying nope so hopefully all right Duty day on the Ash Wednesday in the beginning of the trimester the end of the third nine weeks would happen all right so here is is another decision for you guys recall that food service requested possibly having your PD day on the Monday so that they could have food prep after spring break instead of before it would extend your nine weeks and you would go on Friday the 13th instead of having a PD day before spring break Jennifer thank you I would agree with that because the Friday before people are more thinking about the vacation more than what they could be doing to PL prep or plan whatever whether it's a Duty or PDD day but that Monday coming back helps Food Service Plus gives the teachers the day back when you're in that might right frame of mind you're back you're getting ready you have time to prep and have that day off and then the te the students come back the next day so I I would be in favor of that school based people what do you guys think you guys good with moving a PD day to the 23rd I agree with what Jennifer said in regards to it bring coming back and getting back into the mindset of I'm back to being a teacher I left the Margaritas on the beach time to focus and and get ready for the next trimester okay all right in all in all honesty Minnie um that is a work day for both teachers it is not a PD for either usually is that correct um it's usually a teacher work day for both groups is it a PD day for Elementary uh go back yes it is a PDD day for us because it's the end of the nine weeks yep but it's not the end of the trimester because the trimester is here I'll have to look go back and look the reason why is is that secondary ends up with more work dayss than PD and and Elementary ends up yeah with more PD than workdays because of trimesters versus quarters um and so that was that was my question behind that there has been years where they I don't think recently but there has been years in the past where they made it a workday from both groups Y and Mary I see you have your hand raised but you are not a member of the committee you're a member of the community and you had your time for comments during the community comment time I just wanted to so a duty day and a PDD day are both work days for teachers they are but it's what they do during that day so the reason why I pointed out Nancy is on a work day they can they can take comp time and you and and many times on a professional development Day meaning so the way the way it's kind of looked at is that um profession development days are the principal are driven by the principal usually and what is expected that day and work days are driven by CTA and the contract that it's the teacher stay to do report cards so if it's a work day and the report cards are done most this isn't countywide but most principles allow the use of comp time that day so it played into you know because a I mean that that that day because in secondary it is a dut a work day a duty duty day yeah a duty day then many more the majority of my staff take comp time so honestly Monday or Friday I think it's either one but I wanted to get clarification if that was the same for elementary so I looked up the last two I looked up the last two I mean last year's calendar and then this year's calendar and it's a duty day for elementary I mean it's a PDD day for elementary on both calendars I just I I I just think coming back even even if it's a PD P PD day I think it's just easier for staff to come back and then hit the ground running with students doing it on the 23rd yes okay so then and I think what Caitlyn you already started that yep so here is going to be a yes change yes change and a yes change here and that as well right yes so all of those would move to a day spring break would stay the same all right so April only thing in April is Good Friday and we are good with it no change needed Memorial Day no change needed last day of school would be on the 29th for students June 1st being a PD day Duty day for our kid our teachers in 10hour and starts okay so with that being done the last thing for this calendar to do is the only changes we made we go up was the duty day in October and the duty day around spring break in March so what I would like is I'd like to do a come on there you not coming up uh Caitlyn you are the host I can't do the post the poll question okay hold on let me I'm I was going to do it because we are going to do a consensus vote for the calendar to see that you're in agreement with the changes in yellow on this calendar and if that's the case then we have this calendar done okay you should be at Clos now okay it's not letting me do it all right Caitlyn just so that it's we can just do it faster I'm gonna drop the question into the uh uh the chat that way you can just grab it and post the PO uh poll question okay okay that way you don't have to write it up so Caitlyn's going to grab your question and put it in a poll for us to answer anyone that has not done our polls before uh for our uh parents on the bottom of your screen uh to the far right you've got a little um set that's got a triangle at the top a square and a circle and when you hover over it it says activities and it comes up and it says breakout rooms polls questions and answers and the polls will come up there and Caitlyn it'll say a new poll has been launched if you click on that as a member of the calendar committee I am in favor of the final edits crafted today July 24th uh 2024 for the 25 26 school calendar year yes or no your name and answer will be recorded yes or no so you as a Committee Member can vote that way Caitlyn will see we will have our final edits for that calendar don't have any you want me to show the results uh show results without showing names straight yes you'll probably bump me out to show results but yes so we had 10 total of 10 vot all yes 11 11 yes all right okay so now we still need our 2627 calendar to do um there are philli yes sir before we continue on I just want to say there I don't know anybody in my professional capacity who could have just gotten through something like that other than Diane Wyatt with such seamless I mean Diane the way the preparation the everything you did um I don't know I've never been on the calendar committee before but I can't imagine that it's ever gone that smooth so I just want to say thank you because that was awesome I like the drop down menu thing can I send you can you come and help me do some things like that on my campus what in the it was seamless oh well thank you I I appreciate your feedback uh I I I wanted us to get through the other one beforehand but I I I I appreciate that I think we can do this next calendar very fast though now that we know the process I don't think it's going to take much time um and it's not as tricky as the other ones either um but just to socialize you with my quick thought process on it August was a seamless August uh start of school we started at the beginning um September uh Labor Day and Rashia shaana came in on the 21st um when uh yep and I know I'm going a little over uh uh but if you can hang out with us great um we will see that we uh can see how fast we can go if I can't keep too many of you then I can reschedule for next week but you saw our our ex you know our timeline for when they want us before the uh group so I will do my best get quick um Russia sh is on the 21st uh yapor is still on the weekend so it is not a holiday in October for us um when I went into October the only day I had was the um PD day on the 14th so end of the fourth uh or the quarter was the PD day uh on a Wednesday for it h all right Valerie thank you uh so then I moved into November so in November because we did not have that other fall holiday with uh uh uh Yan kapore I ended up doing the the um um trimester um here now I did move this up a little bit notice that the um trimester ends on the 60th on the 5th but uh November the 3 is an election day and there'll be primary uh elections happening on a lot of our campuses so my thought was maybe we should end the trimester on the 58th and have uh uh the campus for a PD day on that day so that kids are not there while there's elections and and Community people coming and going and not have um uh kids there and just ended a little earlier so that's why that is on the third instead and with that and not having a day in October for a fall holiday I still left Veterans Day in uh but um that's the only reason that they're both on at that time but Veterans Day would be one for uh teachers and students being off and that's why the pencil is there so then Thanksgiving came into play December is pretty much the same as it was for the calendar year previous January is the same with the PD day at the the end uh on January the 4th Martin Luther King coming into play on the 18th um on um February the 24th is a PD day here um Ash Wednesday was the 10th beginning of Ramadan I believe was the eth they didn't mesh with like two weeks for the end of the trimester I didn't try to put them all together so this is a natural break for the trimester then I moved into March um March in looking at March the um quarter ends on the 17th I looked at it Easter is uh this week here this is Good Friday so I actually had thought let's put spring break a week later Incorporated with Good Friday which saves us a um a fall holiday or a spring holiday because with not having a spring holiday in the month of April it left all of April and May with no days off until the end of May so by that I brought in April the 23rd as a spring holiday it has no other holiday connection it is not a religious holiday federal state holiday I just thought let's find a day between the beginning to break up April and May because without it you had two full months without a day off so I picked a day it could be any of those days it's just a real spring holiday is Philip wrote Because without it you wouldn't have it there um and by putting the PD day after Easter it gave you Easter Monday off um so that you had the break and it satisfied what the um uh school the cafeteria uh manager wanted as well now notice on this one because um Memorial Day is the last day of the month school is actually going to end for teachers and everyone Before Memorial day but their contract's going to have to show that they're going through Memorial Day for that contract day to uh be covered and paid but with it um since Memorial Day is an eight hour paid holiday the rest of that week would be eight hour paid days for us and then we would begin 10hour days after that so um without it you would get paid eight hours for Memorial Day and if you work 10 hours the rest of it you would only work 38 hours for our 12month employees so we would have to do eight hour days the rest of the time but based off of this calendar we would be uh finished with our school obligations for the year on May the 28th Before Memorial Day can I just interject um Philip raised a question uh the when you end has no bearing on it's always when you start that would create the pay grab the take down the ending date is irrelevant so so those were my my thought process it kind of went faster and easier for it to uh uh to create the calendar for for this one I don't know if it was because we had i' had already kind of gotten my flow and Caitlyn and I moved with it but but that part kind of worked uh Brett um back to the payap G Gap discussion since it's so vital um is look again I still the pay cut pay gap for dummies I still need to work on that a little bit more but um 26 this year is this also vital to start on a Monday because of the pay Gap yes same it's the same concept if we don't start on the Monday they don't have a work day the week before to provide them with a paycheck so is that essentially just going forward um you're going to see uh the next year is going to be uh our year of change that we have the potential to make changes because yep and everyone may get their wish and have a much later start date if if for the year after this for the year okay okay awesome well thank you no this but unfortunately what comes with that is pay gaps for large groups okay okay well thank you for all this all right so if we look look at this we can move to our 2026 um 10 hour days we're good here that those are our 10hour days and independence day is good uh preschool because we are still on a 179 can remain five days for our teachers and first day of school to avoid the pay gap for the um 4,000 employees there am I going to be able to say this will be okay even though it's not what we would love it's our best option at this moment because we'd love to come a little later but it is our best option at this moment going to go I'm not seeing anybody right anything or no hands going up uh Labor Day is a paid holiday uh and are we good with um uh our fall holiday for 921 you said you Russ a shaa was on it is Russia shaa I think not I said yam Kor okay yeah I well Caitlyn will you double check that and make that change as I'm moving down I'm pretty sure it is young for that year but let okay make sure okay because I wrote it on my notes as rashash Shana but I think maybe my notes and what I said out loud was wrong Valerie Diane just so is rashash sh falling on a weekend is that what's happen one of them is on a weekend yes okay gotcha all right just uh that's big for us with Athletics so I just want to make sure I didn't miss it somewhere so thank you all right so um when we look at the October and I want to see that calendar I think that's it um so in the October 26 this would be natural folling right in the middle of the uh week are we good with leaving that on its natural place your put your cursor where you're talking about if you would again right here having it on the 14th I'm going to make this a little larger for you sorry about that I thought I was bigger there you go what would really be the other option though I don't know it's in the middle of the week moving it all the way to the 16th to the Friday it's as Valerie said it's going to give you another uh but can we move it to Monday so I'm you could I I I would prefer to move it to a Monday and start the week that way um and the reason why I suggest first of all I'm a bigger fan of Monday's off than Friday's off unless Jason has something else going on I don't know because it will like usually we're short on the second semester with days anyway so it's going to add it it's going to make the first I'm sorry the first quarter smaller but it'll make more days in the second quarter just because of of where the cut off is so um I would prefer to move the 14th to the to the 12th the duty to the 12th the only thing that I would mention is that uh we don't have the survey dates for survey 2 of October 26 yet and historically the days when survey to is captured on the same day we're trying to do grades has been a chaotic day at schools in my experience and so if we end the nine weeks on the 9th so we can have a PDD on the Monday it would do that but I that's not I'm not the one that's have to live that experience I'm just the one that's answering phone calls from schools so um you all can uh take that with a grain of all if you want M may I speak D yeah but Philip it won't give us any less days because all we would be doing is rating that number count is already there no I was saying and end the first n weeks on the 9th and have the PD have the duty day on the 12th and again I'm only guessing what day the survey will be capture because I I have a feeling it might be the 16th it could be the 9th um I don't know yet would it be better to shift it to day to the 19th if we're trying to make it on a Monday our second nine weeks is already incredibly short every single semester we've ever had it so I would hate to lose fewer days in the second n weeks right and so do you agree as the FTE guide that this gives us two extra days or one extra day if we move it to the TW no two extra days if we move it to the ninth because it's two extra days in the second nine weeks I mean yeah it takes away from the first I understand that yeah you take it away from the first it's it's going to take it away from the first quarter but it's not going to change the number of days in the semester not in the semester but in the second nine weeks yeah it gives you a full one a whole one more full week instead of two days in the in the in the second I move I move still for the 12th um J uh Jason what you're saying is is that if the FTE day is the ninth you're saying that the last day of the marking period being the same day as [Music] FTE makes people little nutty it does but I mean we've been through it before it's not the end of the world it's just that I just know it's two kind of major things happening the same exact day and because grade will be technically due on the 12th correct that's correct but we still have teachers it it's just even though it's a you know what really the problem is when we have the PDD on that Friday so really if we're ending the nine weeks on that Friday then that's not a big deal because then we got be the again I don't know what day it's going to be it could be the 16th this could be a Mot point I'm just wanted to point that out that that Friday either the 9th or the 16th might be a day that is an annoying day to have something else happen at the same time but I don't think if we do uh nine weeks closing on the 9th or the 16th it's going to be as as a big deal as if the PDD work day was that day so we should be yeah I agree I agree so I I would move to move it to the the 12th but there might be descent out there I don't descent to that at all I think it's fine I support being moved to Monday also I do as well I support it as well okay so we are going to end of the nine weeks is going to be a yes for here so Caitlyn you with me that's going to change to the 12th and and I'm on I'm gonna put that calendar on a whole other page so I don't come back to it by accident um so take that back the end of the nine weeks you're saying it's going to go to the 9th right that is correct and so the end of the nine weeks it's going to the 9th the PD day is going to move to the 12th and the beginning of the nine weeks is going to move to the 13th all right so then when we look at our Elementary uh first trimester if you recall this was where I had moved in that Tri uh it to begin a little earlier in order to incorporate the election primary uh so that kids would not be on campus during election primary do we have anyone that has any issues with that or are we good with leaving those days as the same and also keeping a Veterans Day off for uh teaching and students or are we looking at maybe a different day off than Veterans Day because that gives them a Tuesday one week and a Wednesday the next week then coming a full week and being off another week for Thanksgiving Diane I just think it's the uniqueness of the year with the with the election I I just um I think it's very helpful to not have kids on campus when we have so many of the campuses being used for poing for fing and and Diane it's also governor too it's not just primary it's also Governor but Jim is saying it's not a primary day I don't know yeah it's not primary it's uh gubernatorial it's gubernatorial okay which is even bigger a much bigger turnout on a gubernatorial election got it okay so um so thinking that's a good decision then and that you guys are good with that move are we good with being off on Veterans Day and that is not grammatically correct there is no apostrophe s in Veterans Day they don't on today they are a veteran okay sorry uh uh are we the window into Diane's pneumonics sorry um are we good with that in having it to wear because there is not a fall holiday in October using that day as a fall holiday I'm not seeing anyone saying no seeing some thumbs up so okay no change Thanksgiving break no change end of the nine weeks being before the winter break as requested and our winter break no one's telling me no there either winter break is good our duty day after the winter break you guys were all in favor of that before in the beginning of the nine weeks and Martin Luther King is a paid holiday uh February let's go back and look at that really quick um that is the natural trimester break no change in it because of trying to incorporate like I did the year before with two weeks 10 days earlier I didn't make a specific change for it so following the natural schedule was okay with you guys for there nobody's telling me know Duty day on the 24th which is my birthday I suggest we work that day that's perfectly fine with me because will be retired by then oh never mind give it to us off sorry um beginning of the third trimester starts right after that then the end of the third nine weeks okay let's go look at that really quick March this was where spring breaks a little later that year in order to have it come in the week before Easter and incorporate um Good Friday are we good with that and having the PD day the Monday after yes yes I know I I know I talk a lot you guys all know that but I'm just afraid you're going to get some Flack that is probably one of the later Spring Breaks we've had um and so I'm just putting that out there um I don't know what is anybody I don't personally feel it's too late at all I'm thinking as the public as a whole they have gotten very used to earlier so does anybody have any input on that now if we have it earlier than we use Good Friday there will be no days off in April or May ex and the last day of school is after uh the Memorial Day is after the school year is over yes I was going to say given the long slog of April and May that that late spring break I think we can mean I think like somebody said before we don't send an explanation out of the calendar when we do this so it's just you know it's going have to hopefully be apparent to people that we don't have much time off in April and May and we're getting off early is yeah because so and that was one of the thought processes was if you if we did it here and we took Good Friday there was nothing off in uh April and May and it would be two long months without a break Valerie so I know I'm sorry I have to speak from the athletic perspective and this is something where I could maybe just work with leadership but typically because we take yam kapor and Rashana and a handful you know of other religious holidays we don't play athletics it's the same thing usually for Good Friday and Easter weekends we don't have any athletic events that weekend so I'm just thinking about the number number of tournaments that happen over a spring break week um and and people play through them so we may just have to work on that on a a case by case basis um and get permission or you know just have that open conversation about it um there so I you know if the majority wants to keep it there to allow for the April day then you know I'll work through that in the next couple of years but I just wanted to share that information that typically uh Good Friday and Easter weekend are days that we don't play athletic events and during a spring week we have a number of you know baseball and softball tournaments and and things where kids go out go out um of of town and go out of the state to participate in those types of events um so again just just from the athletic perspective which again is a small slice but just wanted to share that okay D and um uh feedback that we had gotten had said you know that the spring break should be incorporated with the middle of the um uh semester and the natural middle of the semester is just a week before when we're having spring break to begin with because the quarter that que marks the middle so we're only you know a few days off of that midpoint anyway all right so are are we good with it and seeing how it resolutesupportmedia okay and PD day on Easter Monday with the beginning of that fourth nine weeks afterwards all right do you guys see a day that you would like other than the 23rd I kind of chose it because it really had no affiliation with any other holiday or anything I didn't want to choose a day that someone could say was a day that we would all of a sudden start saying we're off that day every year we're now associating that as a holiday that we're going to use every time so it was kind of like not affiliated with anything and it gave a nice break of a couple of weeks a day off and then a few more weeks before graduation started and before the end of the year so it was just kind of a n a nice time to give you a true break National cherry cheesecake day there you go good reason to celebrate so uh 23rd sounds like a good day all right last day of school on the 27th PD day on the 28th and we have to make sure that contracts for 196 and 206 will end on Memorial Day so that we get the um paid holiday and 10hour employees will begin on 67 okay so our changes for this year's calendar is only the October PD dat nothing else all right you guys are good all right Caitlyn I'm giving you a another poll actually it's the same one I gave you I just changed the school year yep got it all right and when you're doing that I'm going to move back to our presentation because I just wanted to show you guys that I know we've been talking pay gaps um as well and Caitlyn's dropped the poll question in so that we can vote on the second calendar so if you're in favor of the final edits for that second calendar as a calendar Committee Member please vote for me and she'll get those votes and let us know how we got in our voting she's going to put them all on a calendar and send it back to you with the final edits here we 10 yes okay thank you all right so very quickly guys as um Nancy was telling us about the uh pay gaps um we um in looking at the summer of 27 all 22 pay staff 4,300 employees um will experience the pay Gap the summer of 27 all of the staff that have not had a pay Gap in the last seven years which would be our teachers our media clerks our Bia our APS our data processors secondary officers we're looking at about 18,000 employees uh will experience a pay Gap in the summer of 27 the only ones without experience in the pay Gap she listed here which are just a little over a thousand and those have experienced pay gaps since 22 group in the last three years two years last seven years yes seven yeah so um when we send uh when I do the presentation for the leader ERS ship and they see the fact that we are looking at the summer of 27 uh this all of these employees having a pay Gap um the likelihood of them asking us to go ahead and create FY 28 calendar um quickly so that they can start socializing this out with this uh number of Staff members that there will be a pay Gap that it is not avoidable um will be uh something that they will probably ask us to come back to the table to do um if they do that we will be able to probably get through that next calendar quicker because we're a season committee we know what we're doing now um and I can come back with some options for us to be able to do quicker um because of knowing this there's some things in which we can do and Nancy has put together some options and as Nancy was telling you guys um there are some ways to to help work around it um we could start students on the 10th and that would help we might could start students on the 13th there are some other ways to start at different times if we do 180 day we would only be able to do four teacher or 179 a five so with with the pay Gap coming we can have conversations that could start students later or at different times for the FY 28 calendar options so there'll be different conversations around the start time that could be later to avoid or work around some pay Gap options because or work through some pay Gap options because we already know they're going to happen so we have different options around it they're gonna happen so Nancy explain but other than saying yes they are going to happen but this is going to be our opportunity if you want to start on a Wednesday we're already having a pay Gap let's do it and maybe that will be how we then can structure every calendar going forward is is starting on a Wednesday so you know think through the things that the wish list because the the student start date needs to be the 13th which is a Friday but can be any time after that the pay Gap is we've come to the point where the pay Gap is is inevit cannot avoid it any longer so it's going to happen in that summer so this is the opportunity we have to then push the start of school to even later if you want to um and then I'll have to analyze whether any of those other ones that didn't have a pay Gap all of a sudden will have a pay Gap depending on how far we move it the one those few groups that that I listed on the last slide if we push it far enough it's possible some of them may also experience a pay Gap so that would have to be part of our discussion so we would be able to start playing with some pay uh some date options uh and looking at them and bringing it back to the table and saying here you know you because you guys are talking about starting a little later in the year um starting on different days of the week and and looking at some of those and what they might do to the pay Gap scenario and and opening up some different opportunities there that we weren't able to discuss with these two calendars and we will probably bring you know be bringing this back in the next couple of months in order to do FY 28 calendar but guys the original plan was to you know we have a calendar meeting on the C uh books for the 22nd because we were able to vote on both calendars today we do not need a meeting on the 30th because we got that done uh we also do not need the 22nd we got all our business done I uh will finalize the board presentation and I will send it to you for feedback and you can give me that feedback by email and I can make any notes and and uh things to it and we do not need another meeting uh because you'll be able to give me your feedback and we've got consensus vote on both calendars from the calendar committee yes Jennifer thank you so much in the calendar that you in the folder that you shared with us is the 2627 calendar I think I saw it on the screen but I don't see it in the folder I just want before we left I just wanted to see if that could be on mine it doesn't it's not there I only have the 2526 I can sign out and sign back in because if refresh and see because everyone got the same folder perfect thank you yeah um but uh I will share the board presentation uh uh with you just so you can look it over and see if there's any suggestions or anything because I want you to be familiar with what I will show to leadership and to the board and uh any feedback give to me you know I will look at it incorporate it and give for anything that we need to to give to them but we got it all done I went we went longer than what we had planned but we got everything done and I would like to say you guys are fabulous you know your dedication and hard work and everything that you were able to give me for your insights is definitely been able to help give us what we needed in order to get this job done I I appreciate you standing with me through this process and helping me dive into a new task that I had never done before so I appreciate it all and and we we're done Diane yes um I will say I have been serving on many since on the calendar committee I have to say philli I've served on this committee for probably since 2015
