already do that we do that before we take attendance because other it's a catch 22 okay until we're convened we don't really vote because we don't have a donot all and I'd like to welcome an Marie from the friends um and there's Nora also from the friends and um oh there she ISO uh councel on Aging not pseudo what's the word I want I don't know um so um select board update we don't have one we have no select board here so um be quicker than you think I know that's fine friends of reading senior 60 plus I actually either one of you if if you just want to update the group she the official representative had nothing to do I thought i' love to spend the evening nice rainy evening um we met today and um we're we're growing um in numbers and in money um which is nice people have been donating and we're going to have a um a small gathering this week to for those that have responded that they're very interested in helping out and we're we're going to you know explain what our mission is and um try to get more people involved at half and half half and half half and a half at what two 2 o' to 4 yeah two to four we have about 18 20 people that responded and that was with all of the Gathering of names from the you know fairs and whatever and then whoever Facebook we put a thing on Facebook too so 1820 something like that and Isaac at half and half is being very generous and he's a little little that yeah great it just really just kind of explained where we're at and jeans here time to get going good I know I read in the um something you have um a ,000 what did you read that I'm interested yeah because I get the minut for the meeting you get Treasures report yeah yeah yeah there's 10 Wicked great yeah you guys have really done an amazing job over yeah for a short period of time and never doing this before you guys have done a great job hey Jean hi Jean this means you're demoted already we're down on the you lasted longer though than last I'd like to ask a question of Nora Nora when where are the donations coming from are they small donations from individuals many have been small donations um we've also gotten donations um from uh a couple of um Family Trust kinds of things um people that have a charitable trust so we've gotten some of those distributions somebody had a distribution dist yeah distributions from trusts and um we kind of hit up our financial guys because they all have those yeah you know Financial things and they have matching a lot of them have matching so we've been trying to work on those kinds of things and it's a good time now and then the bank got, from the rotary the Rotary oh great so do you put notices on uh the reading sites on the internet the reading the main reading well what is the main reading site um not the I don't know I we haven't really I tend to do that a lot but and I'll do that if you guys want to send me something to read.gov mass.gov you mean no no no what were you talking about Rose what what site are you talking about Ro well there there's various there's a couple of different sites uh on the internet from reading that keep popping up on my phone uh being and so they're internet sites as opposed to Facebook sites no I think they have Facebook yeah Facebook there's the reading rant there's the friends of reading schools there's the parents reading parents think commun there's the reading Rave um mean those are the three that I tend to to go to I shut my phone off so I well I think you know what we can do we are going to in uh January um have a charitable thing with Mandarin Reading you know that people do with 20% goes to organizations so it would probably make sense when we do that to send send out um some of those things I I think I think that should be sent out almost weekly so a lot of people don't know what the friends is just the same it could be just a a something explaining what the friends organiz ation is and who to contact and where to donate that's it but put it out there every week all right Rosemary you and I are going to talk you gotta find out where you want me to put these things all right okay all right um next up is Chris all right um start with a report um November was a really good month our number we we keep to we seem to be exactly where we need to be every month now which is really nice we're um you know the goal is always 3,000 interactions a month and we are closer to 31 um so we are doing really well um November we had a couple large events which was nice so we had the um police Harrow chicken papy supper dinner um that's always a great event um so thank you to the Reading Police Department for putting that on for our older adults in town so that was a great event we also had our um annual um Thanksgiving dinner at the Hillview Country Club in North Reading put on by bride Jones Jason Louis and Rich Hagerty um that was a really good event we had a great turnout this year um we had just under 200 wow great yeah um right somewhere between 190 and 195 um great I was just going to say there's a great photograph in the chronicle I think it was the chronicle not the post and our rosem Marie was right on the front page Norma was next to me waving a so I front of my face I'm surprised they had good Facebook photos too posted but I have to say like and I'm like I don't know it won't be until Town November until I find out so um that that was really good proves the point of with a larger space attendance for a popular event can be much higher than what we know that's was there have a waiting list for that uh no um because we it's a pretty large it's opened quite a lot so we do not have a waiting list for that one and everyone was from reading that was there yes yes we do we send Brad Jones a thank you yeah should yeah yeah if you guys want to as well that'd be great oh yeah we Shoulda is it just Brad Jones or is it he's the one that kind of leaves it but I Know Rich Hagerty and J Lis helps yeah um so and his wife his wife y so it was a great event so we had a great November um you can go down through kind of see what's been going on car's been working hard with adopted family um she's been doing amazing with that um they're doing is that still open someone was asking that on one of those PES Pages maybe I gotta check yeah she's still collecting food I want to know if she's collecting to also I'll have to double check tomorrow I can always I can't keep everything straight neither can I she's been she's been working hard with that um we have our sand for seniors that we're gonna start this year um snow shoveling is a little bit there's quite a bit of liability with snow shoving um you know what is Santa for Sen sand for senior so um of sand for Sen we used to have a Giving Tree we used to people but we're going to try this this year um you know and see how it goes which would be good um well will you need drivers then like if I called and said I'd like a bucket of sand no we're going to have volunteers do it because it's a 5 gallon bucket yeah of sand which I don't like it's heavy it's pretty heavy I just want to make sure whoever delivers it can lift a five gallon bucket of sand put it in place so um anyhow um we had bridging Generations in November um you know we had Louise May cop presentation November 20th we just had a busy November you said 45 people showed up for that yeah yeah I think it was 40 maybe a a few more 40 maybe closer to 48 wow it was it was up there so what was that meaning Christopher I missed you what what was that meaning 48 people showed up um Louise May Al Alcott presentation oh the Louise May alcot thing yeah good turnout um and then um on the bottom as you can see holiday lunch is um on December 19th filled up really quickly we have 28 so far on the wait list as of today or this morning um movie and pizza as on December 26th um and next uh Tuesday December 17th um we have a public forum at the PSC with recal um talking about the new um Writing Center for active living so um you know if people want to come and take tours they can that those start at 6 and then the Forum starts at 7 and we're going to um pass that around at the half and half thing see if we can get some people to go cu the whole idea of the half and half thing is to try to get people a little more in tune yeah yeah um we have three volunteers so far that will lead tours um rosemaria is one Marilyn is one and um John Parsons is one might have to find a substitute for John but um if anybody else wants to lead a tour I was I was thinking Chris we could be in Linda's area and we'll have a sign up there that says come on a tour or something like that and all the people will be behind there so if anybody else wants to uh walk someone around let me know next Tuesday and will we have someone from Rec who can talk about um any that's my report um I want to say you know I can never say thank you to the staff enough um Anna and Carrie and Linda and Janet and Joe um you know they've been working really hard programs have been amazing you know um and they they do they do a fantastic job so I just want to publicly you know thank the staff of the PSC because they work in this way they're a great team um um you know they they jump to one thing to another so you know we're not we they barely have time to catch our breath so we yeah one event to planning to the next event to planning and it's awesome um so that's my report um I do not have trust funds or Opera update tonight I mean nothing been two questions about before you move in okay go ahead s I'm actually I could use this but but is there a bio is there a a a um environmentally safer product than sand that would be possible um there might be sand is we can get the sand for free okay yeah we can get the sand for free okay um now there is probably another product out there but we also know sand is safe for pets and everything people ask me all the time why don't you do things at a different location yeah it's good and ter but then it we yeah it's good and ter but then it we either have to close close the building and do that event which then we have to cancel other events but there really isn't another space to you know to be able to do that well that has like a kitchen and and everything is that it's 28 when we see waiting lists they aren't usually that many people that seems so for our for our larger events that's typically we're typically between 25 and 30 we typically have about six or seven large events throughout the year um you know we'll have one after New Year's it it's like the six or seven for the big holidays that we have the lunch in for now we do try to if somebody doesn't get on to let's say the December one we have another one coming in January so we try to pop people who didn't make it on to the December one to make it into the January one so we try to be fair um to make sure people can get to one yeah they might be on a waight list this time but maybe next time they can get on and what is the current capacity we like to stay at 60 it's a safe number for older adults in the great room that means you know in case something happens everyone can get out Walkers can kind of get around wheelchairs can maneuver um so it's a safe you we can go larger but I my rule is 60 because it's just a safe capacity I think the fire department maximum is 75 so and that's the maximum yeah there's two different Maxes one standing and one with so one with no tables and one with tables um but you know that me you know if we were all AED bodies right um you could you could go up to 70 75 but you have to be respectful yeah you know yeah um John is a res wedding residents only they get first preference um and then folks from outside can come on um you know um we you know there probably are a couple that are in um but it's hard because there's a lot of Outsiders residents that support us just as much this this question comes up a lot um and for a lot of things like trips it's almost always reading residents um for big events it's almost a lot of times it's almost always writing residents now we do try to like I said there's a lot of people from outside of town that support us they come every day they donate to the center um and they support us just as if they lived in town um and and sometimes we don't we don't pick and choose who gets on but sometimes we allow some folks from outside of town in but we try to keep it to read res excuse me the uh table Arrangements that we have uh today years ago Jane Burns arranged that whole room differently and fit more people in and as far as I know it was always safe the way it was arranged can we try a different arrangement of tables and get more um we've spent we've done this a couple times where we arrange tables um when no one's there to try to maximize um and we have different layouts for different sizes um but again no matter what 60 is a safe like I said yeah I could go to 70 that's not a problem but um I'm not Jane um and I'm not the previous administration and I feel comfortable at 6 that's where I stand so no the other thing is we've talked about the wait list which there's quite a few people always on the wait list I think we should publish that somewhere and let the town know that we can't accommodate everybody who would like to come to different events at the center so usually every month or every other month I send in a report to the town manager and usually and let him know of our numbers and weight list like that and he shares it with a select board so I I'm thinking we should let the public know today we we had a a great luncheon unfortunately 28 people couldn't attend we didn't have room y That's let's all think about that that's an interesting idea but it's a whole discussion where we done where that comes from yeah so we can think think about how we might want to publish that or all of Chris's um numbers because as we get into this uh recal and I'm seeing it online on the uh Facebook sites they're asking numbers how many people come how many people have to wait how many people so I'm seeing that so we something to think about come January yeah good point Rosemary and Nancy you were talking about having some sort of sign at the desk for the tours you could just put sign saying tour start here yeah take a number we'll make them think yeah yeah tours start here okay I have a trust fund question I know you don't have a report on it may I ask my trust fund question yes oh yes I know I keep asking this I just don't know the answer and I was going to look at the numbers but we don't have them the patrons we are required to have something annually do we have something in there for patrons uh we did for last physical year well we had some time we'll do it for this physical year I know you keep bringing it up so I know so we're interpreting it as physical year so we still got six months yeah it's vague and the it's written all right I always assum I was going to make just cover I was going to make a motion to fun with whatever we need and we could vote next meeting not this meeting yeah to fund how much do we need for a birthday cake like 60 bucks I make a motion to be voted on next month to take 60 months six allocate up to $60 from Burbank to from patrons to fund the January birthday all right but you don't make that motion you you you want us to discuss it next I mean you want we discuss well it's actually not even on well you want to you want to vote next for next I want to vote next month but the motion gets made before the discussion is what we've been taught yes I second it it does Okay so we've got it for next month we'll discuss no it gets added to the agenda this time and then we vote on it next time right we have the discussion and then we vote Yes all right but we've got it on the record so we're not going to miss our patrons we're just obligated leg okay remind me I will thank you will um EHS budget update I think this is a hold over from the last meeting that we had when Jenna walked us through the town budget but um I watched the uh select board meeting most recently and uh Jane Wellman did the walkth through of the budget for um community services so I would encourage people to go out pull up the select board meeting for I think it was the four the fourth last Tuesday night yeah a week ago was recent last week okay so I would encourage people to watch it I watched part of it I missed that so it must have been earlier I guess yep um okay then we get into the subject of recal and um first as you know there are three work groups the communications the stakeholder SL design and the sustainability and I'm on the Communications workg Group and actually that group has done quite a bit and on the 17th people will learn more about it so there isn't a lot of public information right now but there is a draft website that has been put together by um um Katie Katie Katie gab Gabriella um and and her partner and crime Joshua I don't know his last name but the two of them Jos the two of them have been working together on all these on on all these projects and have made made a lot of progress um in addition a flyer is going to be generated for the uh program on the 17th um it's still going through the rounds of drafts and iterations look something like this you didn't see that from me okay and um the other thing that the communication group oh um also what they did earlier um in uh November was a press release went out and I know it got into the post I believe it got into the chronicle um at the same time all of the the the notices I believe at the same time were on the uh town website so as things happen you're going to see announcements on the town website and and also can I interrupt first yeah I'm also adding um on my weekly e blasts um you'll see like a that's a good idea the top of my so you'll see like a little blurb like last week was about the public forum happening on the 17th so every week I'll throw that out there and then we'll also have something in the newsletter moving forward starting in January everybody's on the mailing list right for that okay um the uh then another project and these press releases will go out periodically on the uh schedule there is like a timeline for these things and um the communication Communications Group also is planning on producing three three videos the first video will be kind of where we were where we are what we're doing where we're going like next steps um hired a firm called cartoon edu.com and this fellow and his his uh colleagues are going to develop the videos there is a script written by him as a result of a lot of information that was sent him by the town and a lot of the information that went originally to the OPM went went to him so there is a script for that the videos of so it's just it's like an informational video kind of like what we did with our um um you know weaknesses uh what we need to to do to uh improve the PFC so um and there are three of them and off the top of my head I know the last one is going to focus on um more budget type things I can't remember what the M oh the middle one might focus more on schematics so it will have more information about the building itself don't quote me on that but I think that's what that is um and then everybody should have seen the uh uh little blurb on the town website for the public forum there are three of those planned the first one being December 17th the second one um being January 28th um I'm I'm not certain if that date is absolutely certain yet but um it's going to be the week of and then the third Forum would be March 5th or thereabouts so three forums planned and there will be um for this forum again there'll be a host I'm on um Matt will open it and then there's a whole host of of speakers one being bhna one being Townsen and HEI and um also the permanent building committee chair so um all of those people are going to be making appearances and sharing information so hopefully we should get a good turnout for that and finally the um um a mission statement has been put together and this was kind of like a subgroup that was before the PBS it was kind of like a hold over from recal and we would get together and try to kind of hash out what this would look like and that's going to be on the website uh it's a uh um I I I think people will like it I don't know if I can share it at this point or not probably not um but it it has a nice description so it um Marilyn and I worked really closely on this so and Chris and others so it and others and so it talks about um seniors and Recreation and um building constituencies so I think it's I think it I think it's going to work for us feel good about it can I offer a recommendation yeah so there's a tool called notebook LM AI has anybody heard of it no so um and it might be so what you do it um you upload text into this product it's free and it makes a very engaging podcast between two PE PE two voices that are are officially generated although they sound very real and it's it does it in literally seconds and it's could be a very informative alter additional way that could be uploaded as a way for people to learn more about what we're doing about recal and this yeah what's the program called notebook LM notebook. lmlm yeah it's it's I've listened to other um it's like I've uploaded things professionally it's generated this you know really nice conversation and you can adapt it to I mean you can you want it to be very engaging sometimes it's very boring because the information you're inputting isn't that great but if you put in a lot of exclamation points and things they make it more engaging and it's it's quite miraculous if you ask me it's AI it's scary but miraculous yeah you can use it well and you can use it not well but that I mean I happy to help out with um is that the Outreach group that would be or communication Communications it might be something we can I can consult with you about okay good yeah we can just plug in whatever we feel like the community needs to know and instead of writing you know reading some people don't want to read it they rather just listen so it's another a multisensory kind of thing what so it's notebook. LM just LM not it's a Google thing okay it's um yeah it's I thought I was missing a letter okay excuse me I I think in anything we put together to get out to the public we should talk about isolation and how the community center reduces isolation for anybody who comes via and isolation is is uh something that has to be dealt with with the elderly Community I know the word isolation is in the script oh good can't I I don't know the full sentence but it's in there in terms of a need needs to be addressed it's a huge need a huge need huge yeah so the next work group um Marilyn and Jean pra are on and that's I have it written here as design work group but it's also got the word collaborative in it no it umer stakeholders why am I thinking I don't um um stakeholders slash design but it's really about the schematics and the whole layout of the building so Marilyn if you did you want me to talk about it or I'm happy to who else is in the group with you Jean hi no you go ahead because my throat is still scratchy okay no problem people from recal as well recal um I don't know if there's anyone from recel in it it's people from the permanent Comm on it and Jean and myself and Jenner on that one and Jenna and we're hoping Chris will be joining in I am I am not on that one I am on the communications one Jen and Anna so we're trying to make sure we get some staff on there all right um um it's quite large group um and it's working with directly with Joel bhna is in it because as Nancy said it's really focusing at least at the moment very heavily on schematic and what Joel we met once last week and Joel is working at warp speed to try to get ready to do this first public forum because you know he's been on hold and now we want to go rush so he talked for 58 straight minutes of here's the state of what I know and where we're going and he has a a large draft PowerPoint and he's asked for us to take this time to give feedback he also sent out a list of eight questions to everybody on that group that were specific things that were on his mind in particular um anyway and he's gotten feedback on that at least from a couple of clumps of people and um so he's working hard we're working hard uh he admittedly said you know I'm not saying this is what I'm proposing this is what I've got to work with I need your feedback so it will be a very active engaged group I project um I know what I've been doing all day today is going through in detail what's on the schematic and comparing it to things I've seen other places to see if we have gaps and there are some and there are other things that are great um so I'm hoping by tomorrow I'll have a checklist of you know check check check these things make me happy anyway and oops oops oops I think we need to add some space for these and I will give that feedback and share it as well and we're at that point um and that's and we'll meet bi-weekly forever and there's a schedule out of when we'll meet um and those were by zoom and they're meant to be 1 hour meetings and that's where that is did I miss anything Jean no I think you're great but just to let people know the meetings are in on Wednesday afternoons Yeah by weekly but it's not an open meeting it's a work group oh that that I know but well you mentioned that all right excuse me regarding Design Group are you talking about also building it green U building it soundproofing and and looking into geothermal isn't that what the there is a third group a sustainability group and they have met once and um I was remiss I will announce it publicly um John I I I didn't get John's name to the to the group in time so we're um having some discussions but they actually have done quite a bit of work um the other John this John John this John all right yeah um they have it it it's but yes they are going to uh uh talk about green buildings and Thermo nuclear generator and up the side and down the other side you know I don't read this in the paper tomorrow morning they've got they're they're they're gonna do the whole gamut of green soundproofing have they mentioned that scene that were near a g gun range and eight pickle ball um I know that was mentioned in the was it the design it was in it was mentioned in one of the meetings about some barriers um from the one side of the pickle ball courts that face the senior building um they're proposing maybe like a wall or a sound proofing wall that would reduce the noise that would go towards the senior center so they are looking at some of those things to be able to reduce noise that would go towards the center exactly what would ruce noise in a building would it be a certain choice of Windows and window you know what right none of us can answer that because we're not experts but those are the people on the sustainability committee that are going to answer that those questions but that's a good question and should we mention that there is public building committee which is an open meeting although they don't public comment tomorrow night but you'll hear an update from them and from all these groups at that meeting exactly place to at least here you can't ask questions if they if they want they may reach out to individuals and ask for an opinion but as fundamentally they've got their grouping you can listen or you can just zoom in just listening it's just as easy but you something there and it is recorded yes so if you can't attend tomorrow tomorrow night you'll be able to uh uh pull it up on rctv yeah and I would strongly encourage people to do that if you really want to stay informed about what's going on make sure you watch those permanent building committee meetings they're impressive it's really the wealth of knowledge in that committee is awesome yeah know their stuff they do so what what else Marilyn is that that's it uh the Outreach work group update that's pretty much the communications at this point yeah that's that's um uh Marilyn uh Jean and I had put together a proposed 10 items that we Outreach items that we shot thought should be done well probably 34 of those are incorporated into the overall plan yeah but what I want this group to think about is mailings and lawn signs we're not going to have a discussion about it tonight but you know we can we have some money so that we could do some uh mailings directly to anyways so so think about it what depends what they say okay yeah just before like U the members meeting the uh town uh we it's open for discussion like how many we would do um we have to be very careful about what we say we can't say things like please vote for and we can't it's even using the word support is kind of so we would we have to be very clever um and and creative but On Target and truthful and honest about the information that we share with people I think we can do it to support our basic Mission which is to inform the Elder the community about Elder needs not necessarily need for senior center but needs like isolation you know like right it's it's our Mission Outreach is part of it so yeah we just have to not tie it to pending decisions in the yeah so those are the those are probably two of the items that were on that list that are not being done so anyway this group needs to think about do we want to do that okay so that's that one uh I think this is a hold over to volunteer job description we um um there's a volunteer job description that's about 20 years old but it's still solid and what is also in the town regulations no is it regulations it's um bylaws bylaws that um if you miss three consecutive meetings the council can ask do you really want to be a member and then make a suggestion um to that effect so at some point but I think that was included in the last packet description anyways um and then actually the final thing oh John Parson is gonna he's gonna miss this it's like 7:20 are you kidding I was wondering wait is johs card one G I know I'm I'm getting there way ahead I know I'm getting there um and and uh and we were gonna ask Jenna because oh you did okay so take it away I reached out her and she hasn't I'm sure she she was out so I'm sure she's scrambling to catch up with things and she will um I had proposed last time that we invest in basic business cards I know we don't have a fancy logo yet but we need something we can hand out at these public meetings that has our contact information so Jenna thought we might be able to use the town format she was going to check and if so we can do it that route and it will have the the window thing and look like all the other Town ones but if we can't I say just take a very simple template with you know like a red stripe across the bottom or whatever and has Council on Aging has our email address has a barcode thing or a QR thing that will connect to the website has the website for those who like to type it and just how to reach it so don't have anyone's names if you want to hand someone's one you can write your name on the back or whatever but that would be it just as a starting point we would order a relatively small number for now because there are those who want to make fancier ones and we can invest in fancier ones with time but anyway um I propose that we um I looked at if we do them at Vista Print we could get up to 500 for $24.99 Big Spenders here we do them through Staples for $1 199.99 we can get 250 they both have tons of standard templates we can just maybe if someone will partner with me so it's not just my miserable opinion I can say that nice um and that we get these ordered so we'll have them for the first public forum um so I would make a motion that we uh and if we can get them for free or for Less through Jen's route we will but I just don't have that information but I given that I know these are two options I would like to make a motion that we um authorize spending up to $30 from Burbank to order business cards basic business cards yes second thank you K do you have a question yes I do quickly uh the problem I don't know if it would be a problem but how we go about paying for this so I do know we might want to check into for imprint which the town already has a vendor application in so I'm just I'm thinking of reimbursement um we can look into it I actually looked at for and print and didn't find it as user friendly as Vista Print and Staples for business cards but we can look at it I think we have a stapes account I think we do too we have a stapes account so I do know that yeah and we don't have to have an account I mean it's below the amount that we have to go out to bid by a long shot and it's it just doing that form so that we don't get this tax and submitting a reimburse and I'll handle it so and what's that website is it connected to which what do you mean when you said you put the town the co I didn't know if you were because you're talking about a new website that's being there yet okay oh yeah we're not there yet okay that's the recal yeah website okay um but that will be linked from the COA website so yes okay excuse me on on business cards for myself when I look at different business cards what is very annoying is small print so I would suggest that we have a good siiz print on a business card maybe you could just do a couple of thin little Stripes of red white and blue and that's it but I would pay attention to the size of the type thank you good point and we've got plenty of room because we don't have graphics and things to put on so we got plenty of room for large print on this one I would definitely do large
