all right it's uh 7 o'clock on June 12th this is our regular meeting of the South agricultural commission um myself Zack Barnett and Angelina Simone are here in person uh we have Sage Fury and Jen what's your last name now dietro on Zoom um I think we have a quorum so you can officially have this meeting um Communications I don't have anything in front of me did we have anything there was nothing set in the email um all the POS are in so you guys can do all your orders perfect um yeah we're uh BT said that they only cut checks what twice twice a month or something or every other week uh every other week so all get paid by-weekly and then then when they pay us they also pay um the bills that are out so do you know when the next payday is uh so this week is when we hand in time sheets and payables okay and then so next week would be as long as it's in by Friday it'll be for the next one and if you miss it it'll be another two weeks now do they mail the checks or do can we get the check and hand it to the uh person in person I'm pretty sure they mail them but when I go in tomorrow morning I will double check I've never had anybody do that so I'm just not 100% sure all right sounds good let us know um I don't think we have anyone from the public here today um Angie's friend uh decided not to come because we had a small group today so maybe next time yeah she said she she'll try to make it for the next time she's just concerned that she still doesn't have any Farmers signed up yeah we thought it might be difficult so um she has no farmers at all none only Crafters yeah there's a lot of Crafters out there we need more Farmers all right so um open Farm day uh I'm sorry um I know that Bert sent an email with some notes on it I don't know if you wanted to confirmed for open Farm day we also have Klein view stable oh they confirmed okay CL view so we have 10 that's great nice um do we know where oh Grandville scoop's gonna just have their Farm in Granville open now right because they lost their their ice cream truck I believe yes yes it'll just be their Farm all right but ha RS oh perfect and they have ice cream um so I guess that's we have a solid 10 farms and the South Historical Society that's not bad um Inga will have some showand tell items today I don't see Inga was she gonna be on Zoom or told me that she was gonna try to make it so I'm not sure oh Marissa has her hand up oh yeah I heard from in hi good evening everybody I heard from oh sorry madisa cobon 126 South Lumis Street um I heard from Ina earlier today just a couple hours ago that she's actually not going to be able to make it to the meeting so um unfortunately I don't know what updates exactly she was going to share um let me see if there's anything that she sent along okay yeah I know that she said cowards and Klein view are participating that she confirmed with Angie um I think she also mentioned that she met with Jen Nasco I don't know if this is repeat news for everybody just let me know I'll stop no this is new to us I think okay she met with Jen alasco who's the owner of the bar shop and um Brass Rail as well as um Blackboard Conan which is new yep um so Jen bought the lot next to Firefly so there's going to be parking there um because she's willing to open that up for open Farm day and let folks be able to be there and I guess the baseball bat neighbor has moved out so good news yeah exactly and I think the other thing ingga mentioned was um she has like a dine Southwick sign that she made got made for the economic development commission and there was some conversation about having that be part open Farm day too like somehow cross promote that but I I won't go any further into that because I think that's part of what she was going to present but I think that's something that she um might have on the ready for the next meeting okay as I'm trying to see if there's anything else um let me see one second just reading all the updates ah one question she did want to have confirmed was what the sponsorship number range should be and if I think she's asking Bert to send her a revised letter um in support of the contribution so um I don't know if there's been discussion about what the sponsorship range is because I know she wants to get talking to people ASAP I mean I'm sure it's going to be similar to what we did last year but I don't recall off the top of my head what that was I think it was around 1500 was it 1500 yeah and I think we initially said to folks or she like in the support letter that she sent out when she would go out to people and kind of pitch to them I think she started off by suggesting do you think you can give $50 or more so I think that's kind of what she wants to know if we're still thinking along those lines does that sound uh like a reasonable start for for I mean anything is great but yeah I think 50 would be a good place to start noted okay I can let her know that then um okay and then there were some other signs that I believe Bert had a PO for with Marie rean yeah I believe all our POS are in so yeah I think they were going to talk to Marie about the bigger Farm Day signs and she and Bert were trying to figure out who would reach out to her next but the POS are in but now I think the next step is just the larger open Farm Day signs they're on it basically so I think between the two of them they will um they'll figure it out with Marie so they should have an update at the next meeting about that too very cool right sounds good um I don't have any other things to say about Farm day tonight um you know anything um no I don't think we need to I was just going to say that I don't think we need to add any new Farms I know we were thinking about it I think this about this about the limit we wanted to be able to handle yeah with um volunteers and everything right I think we do I think we do need to start you know finding out a way to start bringing in more volunteers maybe advertise that somehow I had a couple questions both as um for the graphic components that I'm working on for for this um and then just kind of as a co-sponsor on behalf of the land trust would now be a good time to ask them um you can ask him I don't know if we'll have the answers right now but sure yeah okay um so first off there's two things that I was work or three things that I was working on for the Adcom in terms of graphic materials one was the flyer um just like that printed out flyer that you know that can be posted anywhere it was just like an eight and a half by 11 so I got some feedback from Bert as to what he thought could be corrected like grammatically and like just a little bit more condemed the only thing that was pending was for me like the confirmed Farms that are going to um yeah I believe we have a confirmed Farm list now could someone send that to me tonight after the meeting because I would love to get all three of the materials out I think at the last meeting that I couldn't make I sent the commission like draft copies of all of those items Burke copied you on an email today um with all the Farms plus um CLE view Stables is confirmed CLE view Stables okay let me take a look and make sure I got is that birs notes for tonight yes yep that's it so so the only thing to add to that is client view Stables yeah they confirmed okay um so I will update all of the material because Bert did give me like edits to make just the grammatical stuff but the one thing that was pending so this was the missing piece for that so just for my part know that I will get that turned around by the end of the week and um does anybody know what what the status of the PO is with America's printer because I already have like the specs with the contact that I worked with for the last few years when I was an Adcom member and she's already ready to go she's just waiting for like the final draft but I told her I'm not officially part of the Adcom anymore like I'd love to keep working with you and like make sure that we get this printed just the same as we did last year with the same finish the same weight all of that does anybody have any updates on what that is and how to proceed on that like do I just did we have a quote from her or yeah I said so the deal was and I think Sage maybe you can jump in so I sent quotes of all the work that we would need uh done by them over to the accounting office just so that they could have that but they like basically were like you're not no longer member of the Adcom even though you're Consulting as like a graphic uh right for them so I was like okay I'm just submitting these so I don't know what happened to them and yeah is there any update actually took care of that I mean he he was on it I know that he responded uh and sent the information again like recycled it to them under his email I do not know anything further than that though because they didn't copy carbon copy me on it gotcha Cindy started the me and yeah I haven't heard anything about that either so or seen those so I mean if you if you send them to me I can fill out the request because they're already a vendor with the town so I can feel the request yeah because we used them last year so they're still a vendor okay the thing is I just don't know how much money would be left in for the budget we might have to wait till the physical year would start the new one yeah because I think uh like at the last meeting that I attended when I was still a member I think we had concluded that like two of the I think like both printings would actually come out of this fiscal year budget um so that's why I was trying to get them over to the office this is back in May when's the fiscal year and Cindy like when if if we generated like a an invoice like I know it goes by July for the the new physical year will start okay and that's helpful because I sorry no oh is that your little one sorry okay um hi yeah sorry no so as long like if if I'm clear just because I'm gonna reach out to bur after this um as long as we get like the invoice or like the order put in and then like the invoice generated before July 1st it would be covered by the fiscal year this fiscal year yeah if we get it in before it'll it'll be for this year okay I will triple check with Bert and in my notes to see if this these two printings are indeed supposed to be from this fiscal year I believe they are because I remember even like budgeting about this like back in January and being like we need to get this in by fiscal year end um for it to be covered but I'll I'll double check and make sure that Bert uh gets that done and I think Ina also said said she wanted stuff like materials to show people by July so that she can actually use them to get money before August so I think the sooner we do this better um my final question or sorry I actually have two more questions about open Farm based stuff um Granville scoop I haven't made it to the last couple meetings so this is kind of news for me Granville scoop are they participating as an open Farm day like yes yes proper even though they're not well we're trying to Branch out that's fine their kids go to our schools we must get their tax money somehow gotcha um um I'm not sure then how to add that location map-wise because um we have a map of Southwick and basically just to like any ideas or proposals can I just write the Granville address there if this is the sole location in Granville then like just put it at the end of 57 on the map like on the West Side maybe I me if you want I could always add it in I'm good at Photoshop yeah I just I appre appreciate the offer I just feel like it might get a little confusing like unless you have like a kind of two Scale map like the souck map is pretty much to scale I was just wondering if it is indeed going to be in Granville maybe it is suggested the 50 putting it at 57 with an arrow and then putting the Granville location like their address on there so that people are clear it's not on this map like it's in Granville because we'd also won't have space like scale-wise to add it all in there like any bit smaller it's just going to be I mean I I would just put Granville mass under their name yeah exactly exactly just make it Uber clear and you know what I can do um because there's a list that I add to both the passport and the farm uh open Farm day brochure I'm going to add on there like maybe in different colored text like whatever number they get assigned like just be like please note this is in Granville Mass just so people like know okay like I'm making an investment in time to get out all the way to Granville and back you know like if I'm trying to do a circuit or something gotta I mean there we actually had a lot of people from Granville attend open Farm day too so in a way it gives them a starting point yeah noted noted um and my next question is as a co-sponsor um not as a graphic consultant just as a co-sponsor and you can count on the South Lake Land Trust um to bring in some volunteers as well like I can start to get a head count of who might be available on that day so maybe at your next meeting I can let you know um how many volunteers from our side can come so count on us for support that day absolutely but as a co-sponsor um just wanted to clarify seeing calib there are they actually going to open up their farm this year or is it the same format as last year just wondering um we don't know yet I was actually surprised to see their name on the list okay yeah I mean I know that Adcom is primarily like the prime mover in organizing this event but I just remember and and I'll go on record and say this like uh just feeling very disappointed with what their open Farm day uh setup was it really was not an open Farm day there was a lot of feedback and I've know I've mentioned this before when I was an Adcom member um that they just did not open up their Farm really so I would just be concerned like co-sponsoring an event where not everybody on the list is actually doing it in the spirit of being an open Farm you know like actually showing people that because a lot of people said they were mad that they went because it was a waste of time they didn't have enough time they just we get that um I will the complaints that so I'm so glad yeah I'm glad to know that that's been noted so yeah um that's more just like a concern from a co-sponsor to make sure that like it's a quality event and you know that the integrity and that the spirit of the event is um is met by everybody participating in it right so um but yeah SLT will sponsor it co-sponsor and um we'll get a headcount of volunteers uh at your next meeting for you great thank you thank you thank you all right um Mr KY Pond visit site visit looks like members of the concom went there um not sure when their next meeting is but they have to vote on I guess they have to vote to approve him fixing his pond uh we voted uh previously that we supported it so it's it's in their hands now next he said in his email the next meeting for con 617 yep there it is it's not posted yet okay so it's not official um community garden um Bert would like to see some more clean up there um I'm not opposed to that not sure when we would do it um I don't think we have enough members here tonight to really figure that out um I've been in the works for quite a while trying to get a couple of the big water totes delivered there um our POS are approved we just have to wait for them to cut the checks um I'm guessing he'll deliver after he receives the money but I can try to he said he's available next week to for the delivery so I guess anytime after that fig I'll just go there so I I would I would suggest that we uh wait until we actually get those all Acquired and then just do the both at the same time this way everyone has something to do yeah I mean we got they at least got to be placed somewhere once he delivers them so got to get them out of the parking lot probably we don't want anyone taking them oh yeah right now now people can find the place I forgot a little bit sorry um it's Jen um so I've been there a couple times so far um working on the our plot and um Bird's been doing a lot of work on it I have to say um so we did some plants in there um I have just a water water um can that I go from the well and everything to water it would be great to have those would that be for everybody to use or like Iration we're getting the big we're getting the big pump too so we can hopefully fill it up easier that's awesome yeah that that would be very helpful because there it's actually really busy when I go there there's people in there in and out of there it's pretty awesome yeah last few times I've driven by there there's always cars there so yeah it's great so um yeah so so yeah I we're also going to need some fittings for the tanks and probably hoses to pump the water all the way up to them and then so people can use them but um we'll have to approve that and then later meeting what we're going to buy you probably get most of that from IBS I'm guessing are we going to do a lock box for the pump or is it just going to go home one us I think it's going to stay at Bert's house probably makes the most sense two two 75 gallon tanks it's probably going to take a while to empty those maybe only have to fill them couple times a year hopefully and we just go to make sure we drain them before it freezes [Music] um marketing South a.com Facebook any updates on that Sage oh the last update was uh promoting the uh the event that we were trying to fill farmers and Crafters together yeah um that's that's on there but that's the last update I did um because I until we have Market material for Farm day I can't write post anything for it could we add something to get volunteers for Farm day on there that'd be a good outlet for that have have a signup sheet or something yeah I can look into that see if I can get something to together for that and I'm still trying to figure out also how to control it so we don't have like a thousand things and uh unable to actually respond to them right I'm trying to just figure out the communication part of that just to make sure we're not like you know messing a system up before it even began yes workshops oh yeah beekeeping with Hampton county Beekeepers Wednesday August 18th we need to sign up for that does anyone know usually the library likes you to sign up ahead of time just so they know how many like on their website yeah I think they have that calendar right right okay um Grant rating to be determined and how to start a har pby Farm I don't know much about those um fiscal year 2024 expenses I'm not sure where we are with the budget we just did spend a bunch of money so hopefully we're using most of our budget up um you don't have the numbers do you I don't um and then we have 4 I did oh go I can't I don't have it in front of me so I don't remember specifically which account it was but when I put all the POS in I did have to move things around because one of the accounts did empty out and didn't have enough to cover it I would assume you would take from our main account first and then the gift account yeah okay perfect so maris's signs she was asking about those will have to come out of the next year's budget if this budget's used up um well uh I'll have to see how much is left I haven't gotten an updated I don't think I have gotten an updated um accounts sheet since all the money has been removed I can look into that tomorrow when I go in well might not even update till they cut the checks too right yeah but I could I'll then I'll take what I what we have on the last one and I'll subtract all of that from each account and then I'll I'll send it out in an email okay thank you um minutes do we want to try to approve minutes we have four meetings worth of them April 10th April 24th May 8th and May 22nd I've looked through them quickly I didn't see anything terribly wrong Angie doesn't make too many mistakes um I had a chance to look at them briefly as well and I
