##VIDEO ID:Y8ALIh-hWkk## okay the Council on Aging meeting to order October 21st at 12:30 we'll have a roll call vote for attendance Paula here Carol Lin here Elaine here Carol Smith here Jack here Harvey here Donna fo here okay public participation seeing none we'll skip that and move right on to review and acceptance of September minutes anybody um Corrections or changes do I have a motion to accept the sept minutes motion to accept them anybody second second I'll second it okay any further discussion no so the only thing I'm going to ask while you're on the topic of the minutes does everyone get them I send them to you by email does everyone get them or would you rather me mail it no you've been doing thing okay I've been getting I don't know about you okay so it's just the other two that I'll ask that all right okay okay good okay so um we'll vote roll call to accept the minutes Paula yes Carol Laughlin yes Carol Smith yes Jack yes Harvey yes Donna yes okay uh under new business anything L new business um I don't think I have anything from you okay I no um would the Christmas party come under a new business because it's new this year yeah so the CHR party we have um it's on December 11th um so we're throwing the idea out there for um in the middle of discussing um changing it from Tuckers because they do the same meal every I don't know if any of you went to the town Christmas party yes the one I did last year up in the a yes it was for the whole town so so that's what I'm looking to do again for this and we'll serve them so they don't have to get up and get plates there'll be enough people to serve them um which will be nice um and so it's just going to different companies like you'll get Village I think that one we had um like a like a chicken parm or we had so there's different VAR varieties of it um of the food like a swers board CP well yeah kind of but I stayed with the like the theme of like pastas it was Pasta Prima there's white pasta there was the white sauce There was different chickens um maybe an eggplant parm something like that whatever the restaurants you know had on their menu it was a lot cheaper doing it that way and it just gave a different variety um and I'm hoping that the seniors won't have to pay the full price um that if we save money that way then we can offset the the price for them it'll be a lot cheaper good sounds good we're working on that for entertainment um this year the we have at different times had the high school course come down now they will be available that day because it's the next week sometimes we fall on their trip to New York but their trip to New York is the next week because I already do okay because I wanted to know before we had this meeting so they are available that day and it's always nice they come down they sing Christmas Geralds they um you know entertain for a while right and then they invite everybody else to sing I mean that's always nice and it's short and sweet and right so that's just the thought yeah and it's probably less expensive and right you know yeah if you go buy a b if you pay for a ban or something right and and don't get me wrong like for the picnic and stuff like that um they paid out of we paid out of pocket or out of the grant money for those but now that I know that the cultural Council we could if I know the date in advance and the ban that you want like the one we had for the big bank I could literally get a grant to pay for that they'll give us money to the 400 to pay for him and then it wouldn't come out of our our grant money do you know what I mean so one Grant or versus the other is is basically all that is we have that option and probably at our next meeting you know we'll have to have the information to go around and start you know donations y oh yeah yeah because I heard you guys were vicious doing that yeah I won't be part of that on I have a few baskets that I I made that I'll donate and stuff like that but yeah I I heard that you you know Lisa that's the one thing you don't even have to think about because they have it all under control so that tells me I'm leaving you alone which is nice we even head up pocket stores oh good well those can be the better B the most to get the gummies but I could get those that's funny you have to watch where that basket goes you're gonna have you're gonna need a big bucket for all those tickets we do have the Thanksgiving dinner is that new business too oh probably so I'll just mention it real quick okay I'll give you a copy of the um you early November this is November's um newsletter thank youy thank you um so the information came from Joe Dei um he didn't want us to put our number in there um I'm not sure why but I feel that if we're going to be sending something to our seniors telling them to go somewhere then we need to know who's going that's our numbers so that'll even though the event isn't here we're still going to put that activity in there in our thing so we would lose all that all those numbers if we didn't put the number in there um and so the the meeting house is the church right in front of the um new food pantry yeah he owns that whole property yep oh your owns the church per he owns the church yep um that's where like a lot of places like the the Lions Club now has their meetings there and stuff like that so um so that's their choice their choice is going to be you can get your meals delivered to you in Southwick only residence um you pick come pick up your meals drive-thru or a sit down meal at the dinner Hall in the back he owns that the back um the building that's attached to the um where they have the where they used to have a meeting Hall in the back right question about that delicious right yep how about the seniors who hold B we usually get a list from them and everything else right we've already started that so once we get we start this newsletter goes out um which I just went to to and dropped it at a newsletters iau on that we generally get ask come and take their names down and everything right so we have all that paperwork downstairs with Denise she'll have that this week so you guys will start set giving those to your people right so but everyone else will be making a phone call that can make a phone call um and we'll see how it goes I mean it's really part of me says it's really not our event but if our homebound people and our all our people are going to go there we kind of need to be there that's that's all I got all right so anybody else new business anyone can think of it's ouring that we were talking about is that new business or old business or I yeah I think that would probably be old old business but yeah we want to remember that so um we'll we'll talk about that under old business okay so update on classes we were going to I think classes were going okay except you're GNA check on um taii Tai that how's that I think he's still down to like four people I think he had he had one one um group came from another town came down the nurses and stuff because they were going to use them somewhere else on their towns um so I don't know I if if you had four people going to your class I don't want to tell those four people not to go there because he's accommodating four four seniors um until it ends I mean or I don't know it's like we're paying him $60 a a week every time he has a class and sometimes he has three people sometimes he has two sometimes he has four it's still our seniors I know it's hard to I thought I'd give it till December and then I would just do it after Christmas okay well yeah but we do that and then we always you know if we had to we could make a change the first of the year right that's what I'm thinking yeah good right perfect or can you change the dollar amount it's $2 no I've been but you have only two people do you increase it and maybe they decide not to comeing well I know I know when she they're losing money I know that's why I'm saying they're losing money so so who's the one that does it at the Wally Park she does it for Becca so Becca what she does we don't we don't we haven't been paying her any money because she's been doing at the park and she divides it amongst her people so she has maybe he can change his to a different right he could yeah if you wanted he could still use here but then he charges and whatever he decides to charge that could be an option for him yeah sometimes you just have to say sorry but you don't want to lose money all the time you could say yeah I know you like Tai Chi but maybe you like tray robu or yeah right yeah yeah I know it's hard being the mean person yeah unless I delegate it to yeah no I know you know it's not we are losing money on that class I mean the other class like it was just that he just lost these people over the last couple weeks it's been like that for like for a long for a long time yeah is the $60 just standard for every class for every teacher yep every instructor gets $60 when they teach for like half an hour or whatever they do it's usually an hour yeah um the other day yeah 452 I think the line dancing um they get really into it sometimes and they were an hour and a half last week yes but I didn't care were a little bit longer anyways and that's fine because that's where you feel like your money's well spent when you have like you said so many she's got a lot of people in there it's I wonder if you would accept the lower amount or is it something on that that's true too that's an option you got of options yeah I got a couple options I sit with him and just go over it if he's only here for half an hour or an hour maybe he'd take 25 or $30 right we really don't want to lose you but right this is the option this is something that should drum up more business right if it picks up then right speaking of numbers I think um you were asked Donna has so many people in aerobics that she was asking if we could move upstairs I know I mean it's so there are so many who do aerobics that the downstairs where the gym is it's so crowded you can barely move there's a there's a couple of them that are even line dancing I was in there the other day when they were in there and it was tight so we did get permission from the new CEO um Nicole Parker she did tell tell me that we could have all the classes up in the auditorium because they don't use it anymore they moved this select boards meeting here so that we can use every day and you think about it that's pretty a lot of wasted space down there just sitting there just sitting there for one hour a day and I'll I'll go over something else later but that that was B yeah and so and definitely we want to you know November 5th with which is election day it would we we want to move and I'll make sure I go and and save those places yeah November 5th y whoever was on that day class upstairs okay BR bag BR bags doing okay small but we're going to allow people to start coming at 11: and um we're supposed to get there at 10:30 to pack it only takes maybe 15 or 20 minutes to pack the bags because they're so few right so if and people like to come starting at 11 so I think that'll be good okay Dan teres is not here um that that's still the same we have a few more people we we literally just got probably six new people coming to the senior center um a few of them are from Westfield but doesn't matter they want to come here and they get on our um kitchen and stuff like that so yeah so we have probably you know a whole two tables tables just came in while I I had picked up something for myself for lunch in between yeah and um she's from Westfield and she's so happy she's oh I just love it here she said I live in Westfield but I don't like that Center there are a lot of people that do say that yeah I mean there's a lady that does Bingo and she's from gry and she's she does not like like it there I was I was told by one of the seniors that they they just don't talk to gramby conne yeah she's close to here anyway right exactly but she you know I mean she would prefer going to where she lives but but I think sometimes you just don't feel it yeah and if something else is ailable people friendlier yeah we do have that yeah she really she's kind of I'm so happy I'm she kep saying I'm so happy finances Lisa um still working on the budget the accounting just gave us this past week um so I wanted to start fresh you know our our year starts at July so I wanted to take all the bills what we started the money and the grants for for July and then you have to record everything so I have to do it in in Excel spreadsheet which is fine but I just got they they gave me I I really haven't had any balance sheets for like all summer like they we just got them like a week ago so from July to now so now I'll probably by the next meeting I'll have that all that inputed and then we'll know where we are did you find out where the Sarah delette Grant can be used yeah we can use that on on just about anything y if I need a cabinet if I need yeah so all that money that's been sitting there can be used so yeah so I have a couple ideas and we'll I'll see when their deadline is okay old business do you w to okay um because we've been in influx uh for a little while um we never had usually in the spring we do elections for the council here and we didn't uh in the spring so I don't know if we want to put that on the agenda for next meeting if we want to talk about different things I mean if somebody else wants to be chairperson I will uh you know gladly step down if somebody wants to do it I someone wants to be secretary I'm sure you you know we just never we skipped that this past year yeah I what I noticed is when I went on the website for Southwick and I looked up the Council of agent and I looked at the number people that are involved all of a sudden some of our names are saying P du you know or whatever but then when I met Nicole Parker I asked her about that and she said oh they were late in updating the the website so everything is now showing where everybody is so it shows you being a secretary follows it show and it shows the the year of appointment in the year of expiration is correct now before many of us were expired but we really weren't because we were reappointed but it just wasn't updated so that's you know you're reappointed by the select board by the select correct so are we current now it looks like according to the website we are everybody's current I think they did it this past September I think they they did it but they didn't like she said they had didn't go on the website and update it yet yeah because they were been dwindling a few here and there y so we just need to remember usually it was I thought it was either April or May meeting it might be that so we either can just say status quo until next spring or if you want we could do something next meeting you know it's so new appointments are you're you're everyone in the position now is good until June 30th of 2025 no no we're we're staggered we're staggered we're staggered like some of the other boards but we're all where we should be right now everybody's up to date right now but we usually on a yearly basis we at least asked if somebody want positions wanted changed for the offices right and that was usually in the spring so it's up to the board what we want to do with that now take a vote I I just assume you know status quo yeah we could someone could make a motion to leave it status quo until next spring if we wanted to do that that's the next spring sounds like a good time frame is that a motion is that a motion oh yes okay first motion okay does someone want to second the motion to leave the board status qu until next spring elections I'll I second okay is there any other discussion about that okay okay then we have a motion on the table about saying status quo with our offices until next spring car yes Carol yes yes Carol Smith yes Jack yes yes Harvey and Donnie yes okay so motion carries and so next spring we'll take a look at positions any other old business I have an old business on the um Garden Club there are some we have kind clearing clean cleaned out most of the plants I think I actually I did a couple of them on Thursday so everything's out of there we have the old stuff sitting inside the thing like the old tools dead plants plants oh ins right inside the what do we do with them or is maintenance going to clear that out for us and I will find out and there's also um a couple of things that can't go into the container that we have out there okay um they need to be put someplace save for next year and I don't know about I have I think it can be left out in the winter right usually everything gets moved I think to the garage or storage area is that what okay so there's a new storage area in the basement in the far Corner after the kids area it's a just they they took some of the kids the kids had the whole floor and then they shrunk down so maintenance took the back part I have two cabinets it's back there and then all the brown bagt all the Brown Bag extra stuff is in there and we're going to be doing um a onetime winter um storm bag for everything that we have we'll split it up and it all those people will get that um it'll probably go to homebound people first and then it'll go to the so as far as the gardening club should we bring our bring that no let me ask maintenance cuz they'll be able to get a cart I don't want you guys lifting that big heavy thing they'll get it they'll put it in the back somewhere for the that holds the tools and then what doesn't fit in there we'll just tie it to it or put it on top once they place it okay and then all the um plants and stuff I might be able to just get a big box take them all out and I can dump it in the cemetery because I have a um cuz I didn't want to throw them in the in the trash no I have a a place where I put like a compost and we just everything just gets rolled in with all the other brush and stuff like that so I can easily just bring it there I also have something with old business um last Christmas party I think was the first time remember we had name tags and we kept them people turn their name tags something back in so that you when we checked them in we gave everybody a name tags they had them um if we could find with they are what were they made out of um they were like on a um a lanyard a lanyard and plat and I think in a little plastic container little like case and it had the name and some people they liked them so much they were going on a trip that week and they said we're all taking our name tag so we so that they you probably don't have those in the basket right okay I mean people light know when yeah now we have easier them out I like that idea because I don't really know all hundred people that come so that would be helpful they are somewhere okay it might be in the closet where we have our we just we we just went through all that Christmas stuff didn't we or no we haven't done the Christmas stuff yet so we'll have to look through there and then if not there's a lot of Christmas stuff in the garage that maintenance asked me to go through and I said okay oh well so if we'll come against and then we'll see um we'll go down the list of all the names right once people once people sign up right you can cross check out on yeah because what took time the last time was actually getting them made up right and now they're made is it just a little plastic thing and you just slit a piece of paper in there okay okay just so I know what I'm looking for because we have all of our wrapping fundraiser stuff somewhere to our Christmas W up top high up I think that's all in the garage high up so I'll when that time comes I'll get that down too things to look for things to look for if you need help you can always let us know we be happy to go through stuff with you and when we drag the stuff out for the Christmas tray and the decorations we might come across yeah should be there you know that place to put it you think you're going to remember organization type of map exactly where everything is we're getting there I've gone through closets and rearranged and stuff and and wrote down I have this in this closet I have that well if that didn't fit in there like it didn't look like it like if it was that I would be like why is that here should they should be in a b bin of their own and label and put in the supply closet and then we'd know just like all the tickets I found tickets here and there and every drawer I went in I had tickets I was like can we just put them all in one place please I'm you stuff away at home and you think you're going to remember yeah that's all good'll get there out my drawers and my dresser I found two envelopes with my any other old business anybody has anyone can think of anything oh is that under pickle ball yeah pickle ball under that yeah yeah pickle so pickle ball um that should be going pretty soon this month Crest View is going to be working they already got the light post moved there was one right in the middle of where the pickle ball court would go they moved it they brought it to the side and they changed all the lighting so now we have more lighting and they changed the lighting to LED so it'll be nice and bright so that's a start so the lighting is all done yep where are the courts going here here right on the side of um right with the volleyball right where that was right there oh good yeah and supposedly we're getting the um shuffle board too yeah we're my B Court you know there's land over there there's a lot of land over there there's a chance there's always gonna send you next to the woods with some little Cutters and you just make me a path okay get it we start doing the cor that's going to be this month this month this coming month so November yep oh that's so folks like they so they probably I don't know if they'll be doing the line painting for it because that has to be a different temperature but once you know it'll either the cord will get done this this month and then in the spring they'll come we'll have the line Y do all the other stuff good good anything else nothing on the gym equipment no no answer on the gym equipment uh well supposedly Sandy went and got um organ Ali is it she got permission to use the equipment but she do like going down there by herself so we're working on something yeah it's always more fun to do y if there's nothing else is there a motion to adjourn motion to yeah second motion okay any further discussion okay done PA yes Carol Laughlin yes Carol Smith yes Jack yeah Harvey yes D yes okay we adjourn the COA meeting October 21st at
