The donation was intended for the library’s general use, but there was confusion about the check being made out to the Friends of the Library rather than directly to the library. This led to discussions about the financial processes involved and the eventual routing of funds through the Friends at Town Hall. The board expressed satisfaction with the resolution, and it was confirmed that the donation would support the library’s needs. The board discussed potential uses for the funds, emphasizing incremental spending rather than one-time expenditures.
The director’s report highlighted a record number of visitors on August 1, with 451 people entering the library. July also saw an increase in engagement, with 70 new library cards issued and a thousand-person increase in visitors compared to June. The director noted, “There was a difference of a thousand people between June and July,” reflecting the library’s growing popularity. Additionally, the library’s programming also saw increased attendance, with July featuring the highest program attendance ever. An event called Tow Jam in August was well-attended, and an upcoming folk music and clogging performance was anticipated to engage the community further.
Parking issues surrounding the library, particularly after school hours, were another major concern. The board discussed the challenges posed by congestion during peak times and considered various solutions, including adding different signage and reorienting pickup and drop-off points for students. The absence of crossing guards and the reliance on a Westport resource officer to manage traffic were highlighted as issues. A suggestion was made to involve police presence to ensure safety during busy times, emphasizing the need for prioritizing safety over convenience.
The board also revisited discussions on security upgrades, mentioning the allocation of funds for installing cameras inside the library and at the entrances. There was concern about existing security measures leaving some areas unmonitored, and a representative from the security firm was suggested to discuss specific placements of the cameras to eliminate blind spots. This initiative aims to enhance the library’s security and ensure a safe environment for all patrons.
In administrative matters, the board discussed the need for trustee consultation regarding expenses, particularly whether a threshold should be set for when approval is required before certain purchases are made. The previously suggested guideline was to consult before expenditures exceeding $500, but the board recognized this amount was likely too low for practical purposes. The allocation of funds for various projects, including the relocation of the Ellis case and flooring issues within the library, was discussed. Estimates for moving the Ellis case and the cost of hiring movers were provided, with a minimum fee of $500 suggested. For flooring, ABC Flooring provided an estimate of $49,500, while South Coast Flooring quoted $55,000. The library was undecided on the type of carpet to be installed and planned to review carpet samples before making a decision. The possibility of applying for a grant to fund the flooring project was also considered, with the need for firm pricing before submitting the application emphasized.
A new service called Creative Bug, offering online art and craft classes, was introduced. The pricing structure included a one-year option for $800 or a three-year plan at $660 annually. The board preferred starting with a one-year subscription to evaluate interest before committing to a longer-term plan. The importance of tracking subscriptions to avoid unnecessary expenditures was discussed, with an emphasis on maintaining a master list of subscriptions.
Finally, the board addressed behavior policy updates, particularly concerning medical emergencies involving unattended children. A provision was added that in case of a medical emergency, staff would call 911 and attempt to contact a parent or guardian. The age limitation for unaccompanied children was also maintained, allowing children aged ten and older to visit independently. The term “caregiver” was replaced with “caretaker” for consistency in policy language.
