The urgency of the repairs was underscored by Bernard, prompting the commission to vote on approving the increased bid for the repair work. With a quorum present, the motion to accept the additional bid passed unanimously. The conversation also highlighted a broader concern about the state of other infrastructure, such as the deteriorating Dana Street pump station. There was a proposal to incorporate regular valve maintenance checks into future contracts to prevent similar issues from arising.
Alongside infrastructure concerns, the commission faced challenges in recruiting a new business manager. A candidate who had previously been interviewed failed to provide responsive references, casting doubt on her suitability for the role. In the interim, former manager Paula Bertram and Samantha from the Department of Public Works stepped in to manage essential tasks, including processing vendor invoices. The commission recognized the need to maintain good vendor relations, especially with the upcoming purchasing season.
Amidst these staffing difficulties, there was consideration of hiring an assistant manager. Members expressed concern about losing viable candidates for this position and discussed the potential for an assistant to eventually take on greater responsibilities. The consensus leaned towards filling the assistant role promptly to manage the current workload and ensure timely invoice processing.
The commission also addressed issues related to the upcoming quarterly billing cycle, acknowledging complications due to cumbersome software. Paula Bertram was tasked with assisting in entering billing information into the system, and there was a commitment to streamline this process. To address these ongoing challenges, a request was made to include updates on staffing and infrastructure projects on future agendas.
As the meeting progressed, the commission also discussed updates on infrastructure projects, including manhole repairs, with a bid opening scheduled for the following day. Additionally, it was noted that fiscal year 2024 had not yet been closed, potentially delaying certain articles for the upcoming town meeting until May.
