Newbury Council on Aging Grapples with Event No-Show Issues Amid Successful Community Engagements
- Meeting Overview:
The recent meeting of the Newbury Council on Aging was marked by discussions around improving attendance reliability at community events, alongside updates on successful past activities and upcoming plans. The council explored solutions to mitigate the financial and logistical challenges posed by no-shows at events, while also highlighting the successful veterans and Thanksgiving luncheons and other community programs.
A primary focus of the meeting was addressing the issue of no-shows at council events, specifically during the Thanksgiving luncheon, where seven seats remained unfilled despite reservations. This discrepancy not only led to wasted resources, with each meal costing approximately $35, but also prevented individuals on the waitlist from attending. The council expressed the necessity for improved communication and accountability, noting disbelief that seven attendees could have all fallen ill simultaneously. To counter this recurring issue, a proposal was introduced to require prepayment for reservations in future events, although some hesitancy was noted in implementing such measures. The chairperson emphasized that the intent was not to charge for events, given available funds through their friends’ group, but rather to prevent wastefulness. Suggestions to remind participants of their commitments included placing notices at the front desk. However, challenges persist in reaching attendees who do not regularly engage with the center.
Despite these attendance issues, the council highlighted the successful execution of recent events. The veterans lunch in November was noted as a success, drawing around 50 attendees. Although a guest speaker could not be secured for the event, plans are in place to invite the speaker for a future event in May. The Thanksgiving luncheon, while marred by the no-show problem, was otherwise a positive experience, with the council collecting hygiene items for the food pantry.
The meeting also covered various upcoming activities and programs. A new class focusing on stress relief and improved concentration is scheduled to begin in January, though its format may be reevaluated due to concerns about affordability and participant interest. The council discussed potentially subsidizing costs to make the class more accessible, contingent on a minimum of six participants. Other noteworthy programs included a well-attended Coffee with a Cop event and a tech class, as well as a senior safe grant providing home safety assessments via the fire department. These assessments, already scheduled for three residents, focus on checking smoke and carbon monoxide detectors.
Transportation services have resumed under a new driver, with plans to facilitate transport for the upcoming holiday luncheon. The council also announced the reopening of ping pong sessions starting January 8 and the scheduling of a Baking with Bill event on January 22, followed by a clay-making class on January 28. The council office will close on major holidays, including Christmas and New Year’s Day. Although Medicare open enrollment has concluded, residents are reminded that they can consult the Shine counselor year-round for assistance, particularly those approaching age 65.
The snow angels program, aimed at providing volunteer assistance for snow removal, was also discussed, with nine individuals currently on the list to receive help. Efforts to recruit more volunteers continue, though it was noted that snow angels might not reach every home immediately due to safety and accessibility issues.
In planning for the future, the council scheduled its next meeting for January 26, taking into account the Martin Luther King Day closure on January 19. The meeting concluded with unanimous approval of the proposed date and time, alongside a motion to adjourn.
