Metuchen School Board Reviews Audit Findings and Plans for Future Budget Adjustments
- Meeting Overview:
At the recent Metuchen School Board meeting, discussions centered around the district’s audit findings, future budget plans, and upcoming community events. The board reviewed financial discrepancies, proposed corrective actions, and outlined the budget calendar for the next few years. Discussions also touched on capital projects, community engagement, and policy revisions.
A significant portion of the meeting focused on the district’s audit report, presented by Mr. Hardier. The audit revealed two key findings: discrepancies in the reconciliation of the salary account and the food service account’s net cash resources exceeding the permissible limit. The auditor recommended corrective measures for the salary account discrepancies, and the board has already initiated meetings with the treasurer to ensure compliance. For the food service account, the auditor suggested regular monitoring of monthly income statements to prevent future excesses. Plans to allocate excess funds from federal COVID support towards upgrading cafeteria furniture were also discussed.
The meeting also delved into the district’s financial outlook, with Mr. Hardier providing an overview of the budget calendar for the 2026-2027 school year and the audit for the 2025-2026 year. He emphasized the delay in state aid numbers, attributing it to the gubernatorial office transition. The board scheduled discussions on baseline data maintenance, custodial accounts, curriculum, technology, athletics, co-curricular activities, and special education. These discussions will lead up to the preliminary budget adoption and a mental health initiative discussion in March, with a final budget hearing slated for April.
In terms of financial reserves, Mr. Hardier reported a general fund capital reserve of $4.7 million, earmarked for significant projects like roof replacements and boiler repairs. He also mentioned a maintenance reserve of $1.1 million and allocations of $2.6 million for the 2025-2026 budget and $1.6 million for the 2027-2028 budget. Additionally, year-end encumbrances were noted at $346,000, with an unassigned balance of $1.3 million.
Construction updates were provided on various school projects. The high school fieldhouse is expected to be temporarily occupied by February 17th, with board offices moving the following day. Classrooms are anticipated to be ready by the week of February 23rd, and the cafeteria completion is expected around mid-March. Campbell and Edgar schools are nearing completion, with minor items still pending. Discussions also included the potential installation of solar panels on school roofs to offset costs related to other projects.
The extracurricular committee announced the approval of a National High School Ethics Bowl and discussions on soccer training camps. The finance committee continued discussions on the 2% budget cap and expanded transportation options for the upcoming year.
In community engagement, upcoming events include a coffee and tea gathering with Dr. C and a mental health awareness workshop for parents, both scheduled for January 29th. The PTO Cupcake Wars are planned for February 6th, and the high school will hold its incoming grade 9 parent orientation on February 2nd. National Honors Society and MHS Triam Music Honors Society inductions are set for early February.
On administrative matters, the board unanimously approved personnel items, financial items, and policy items. Discussions highlighted the 2627 school calendar, with input from stakeholders and the complexities of this year’s schedule. Suggestions were made to present the calendar earlier for public feedback and to follow a first and second reading process to enhance transparency. The superintendent will communicate with the community to provide context regarding the calendar.
