New Role Aims to Streamline Southwick Senior Center Operations Amid Growing Participation
- Meeting Overview:
The Southwick Council on Aging meeting addressed several issues affecting the local senior center, with notable discussions on enhancing operational efficiency, handling budget constraints, and accommodating external events like elections. A new administrative support position was introduced to improve the center’s service delivery, while increased participation and programming changes highlighted ongoing challenges and opportunities for the community’s senior services.
The introduction of a new administrative support role at the senior center was a focal point of the meeting. This position, located at the front desk, is intended to streamline operations by managing class and trip registrations and handling payments more efficiently. Previously, the process of making change for class fees was cumbersome, and this role aims to simplify such transactions, thus improving the overall experience for seniors. The position is part-time, scheduled for 15 hours a week, minimizing costs as it does not require the additional expenses associated with full-time employment, such as benefits. The job description is under review and will be posted online to attract potential candidates.
A significant portion of the discussion revolved around the impact of external events on the center’s operations, particularly upcoming elections. The center will be closed on May 12th for voting, which will disrupt a scheduled felting class. Similar closures are planned for Memorial Day and a volunteer luncheon on May 26th. An issue arose over the removal of pool tables for the election season. The tables need to be dismantled for voting events scheduled in May, September, and November, incurring costs of approximately $500 each time. There was a strong sentiment among participants that the senior center should not be the sole venue affected by voting logistics.
Budget constraints were a recurring theme, impacting meal quality and newsletter distribution. With attendance figures rising from 60-70 to a maximum of 120 participants weekly, the center faces pressure to provide quality services within its financial limitations. The “brown bag” program, distributing 30 bags regularly, contrasts with declining dining room attendance. The center’s budget does not allow for a full-time chef, limiting meal appeal, particularly desserts, which currently include basic fruits and fruit cups. Suggestions were made to explore options for more varied desserts, such as cookies or brownies.
To alleviate some financial strain, changes in newsletter distribution were proposed. Mailing newsletters is an expensive process, costing around $3,000 every six months. As a cost-saving measure, newsletters will be distributed directly to seniors when they visit the center, rather than being mailed out. Additionally, efforts are underway to update mailing lists by collecting email addresses from new attendees, transitioning more seniors to email notifications to further decrease costs.
The council also discussed the possibility of introducing new programs, such as a ballroom dancing class, which has garnered interest. Plans are underway to schedule these classes. Meanwhile, policies for weather-related closures were clarified, aligning with school schedules to enhance safety during inclement weather.
The approval of the Southwick 2040 master plan for the Council on Aging was another significant agenda item. The plan was reviewed and unanimously approved by board members. Additionally, there was a brief discussion about a “seniors helping seniors” program. Efforts to re-establish a reading program where seniors read to children in local schools are also in progress, with an anticipated start in September.
