A significant portion of the meeting was dedicated to refining the borrower policy, which aligns with the CW Mars network standards. Members scrutinized the language and structure of the policy, emphasizing the need for clarity in the borrowing limits. Currently, patrons can borrow up to 50 items, a quantity some members questioned as potentially excessive. However, it was noted that this aligns with regional standards. The policy states patrons will be blocked from borrowing additional items once they reach this limit, prompting discussion about the necessity to specify “51 or more items” for clarity.
The board also examined the terminology used within the policy, particularly the term “playaway,” which refers to pre-loaded audio devices. Concerns arose over its trademark status, with suggestions to use more generic descriptions such as “pre-loaded audio” to prevent potential trademark issues. Members agreed on verifying the trademark status and ensuring the policy reflects accurate terminology.
In addition, the board addressed how library staff can manage borrower records. It was highlighted that staff can override system blocks for efficiency during checkouts. The discussion also touched on protocols for authorizing others to pick up items on hold, stressing the importance of noting permissions in borrower records.
Confidentiality of library records was another key topic. The board reaffirmed that Massachusetts General Laws govern the privacy of user information, and such records are not public. A suggestion was made to change the policy language from “should” to “will” in contexts of record release.
Beyond policy discussions, the meeting marked the departure of David Boucher, a long-serving board member. In recognition of his service, a letter of thanks was presented, along with the symbolic adoption of a book in his name. His contributions were acknowledged as significant to the library’s growth and success.
The library’s director, Katie McGonagal, provided a report on programming and operational highlights. The children’s department hosted 37 programs with 543 attendees and expanded its collection by introducing a new shelf for fiction chapter books. The collaboration with Pleasant View Senior Center for the annual Giving Tree initiative collected hundreds of items for children and teens in foster care.
Teen programming saw the popular “Sew” program, where teens crafted pillowcase designs, supported by the Friends of the Library. Additionally, the Teen Spot program’s popularity necessitated its move to the community room.
Adult programming included notable events such as a cookbook club and a presentation on artificial intelligence, alongside an instructional session on ancestry. The library also saw 247 hours of study room use and 12 non-library meeting room reservations.
The technical services department reported a net addition of 542 items to the collection, compensating for the 671 items deleted. A new donation bin was introduced to streamline the handling of discarded items effectively. Staff participated in professional development, attending conflict management training and various webinars.
