Prize distribution was another key topic, with a structured approach emphasized to avoid the previous year’s disorganized announcement of winners. Two drawings were scheduled for 1:30 and 2:30, with assigned tasks to compile a list and prepare prizes.

The council also discussed the logistics of power supply for the event, a concern given last year’s challenges. There was a proposal to use a generator as a backup, and members humorously compared their setups, highlighting a collaborative and resourceful spirit. Additionally, the council planned to consolidate communications to sponsors.

Sponsorship was another focal point, with confirmed sponsors like Key West Express and efforts to finalize contact information for others. The council recognized the importance of in-kind sponsorships and expressed gratitude for community contributions.

The plan included a setup start time of 9 a.m., with attendees arriving between 10 and 11 a.m. Supplies such as clipboards, name tags, and drawing tickets were reviewed, and parking logistics were carefully planned to facilitate vendor unloading.
