During the meeting, the Board addressed the need for a formal policy regarding the time allocated to public speakers. The adopted motion specifies that speakers may talk for up to five minutes with no yielding of time. Speakers over 18 must state their full name and address, while those under 18 can provide only their first name. The policy also allows the chairperson to shorten the speaking time if necessary, for example, if many people wish to speak. This decision aims to streamline procedures and ensure fairness during the public portions of the meetings.

The Board then turned its attention to the library’s ongoing construction projects. A change order for the gallery roof project was discussed and ultimately approved for $3,000. This was the result of additional costs incurred by a discrepancy between the as-drawn and as-built drawings for the roof. The change order amount was negotiated down from an initial $5,926 after considering that one of the contractors, Caldwell, had already absorbed some of the additional costs.

The library’s migration to a new system called Polaris was also a key topic, with a tentative go-live date of May 15th. The Board discussed the transition period when patrons would have limited services, such as not being able to put holds on books.

In other business, the meeting covered attendance at a presentation for seniors by library staff and concerns raised by a patron unable to obtain books for a private reading club. The Director of Library Services offered to personally address the issue.
