Palm Beach County School Board Discusses Audit Progress and Asset Management Improvements
- Meeting Overview:
During the recent Palm Beach County School Board meeting, attention was devoted to the progress of internal audits and asset management improvements. The board reviewed the status of school audits, noting some improvements in compliance despite recurring issues with expenditure documentation. Additionally, the transition to the ServiceNow platform for asset tracking was discussed, with board members emphasizing its capabilities over previous systems.
The internal audit update revealed that fieldwork for school audits had been completed ahead of schedule. This was attributed to increased efficiency and more staff members being trained and involved in the audit process. The board was informed that while there were improvements in some schools, new findings were noted particularly where there had been changes in personnel, such as new bookkeepers or principals.
A recurring issue identified was related to the disbursement process, with many schools lacking adequate supporting documentation for expenses. However, improvements were noted in money collection processes, thanks to increased training and implementation of stricter deposit procedures. This has led to a decrease in non-compliance related to the timely deposit of collected funds.
The board also discussed the ongoing transition to the ServiceNow platform, which aims to improve asset tracking, particularly for devices distributed during the COVID-19 pandemic. The platform will replace the interim system used to manage Chromebooks issued to students, providing a more robust solution for tracking school assets. This transition forms part of a phased implementation approach, with ServiceNow offering enhanced capabilities including ticket tracking and AI functionalities. The board emphasized that ServiceNow is not intended to replace the district’s existing financial reporting system, PeopleSoft, but rather to complement it with additional functionalities.
