Reading Recreation Committee Unveils New Software to Enhance Community Engagement
- Meeting Overview:
The Reading Recreation Committee meeting held on May 19th focused on the unveiling of a new software system designed to streamline operations and improve user experience across the town’s recreational services. The software, provided by RC Technologies, aims to consolidate various functions such as program management, facility rentals, and social service tracking into a single platform. This transition is expected to address inefficiencies in the current systems, particularly those that rely on manual processes and disparate spreadsheets.
Jenna Wood, the community services director, presented the new system, emphasizing its role in centralizing operations and enhancing safety and user experience, especially with the upcoming new community center. The decision to adopt a unified software system followed a thorough selection process involving staff interviews and requests for quotes from multiple potential providers, in collaboration with the procurement office. RC Technologies, though relatively new to the East Coast, was chosen for its existing implementations in various communities nationwide, including the Danvers senior center.
The transition to this new system is already underway, with Elder Services having adopted it in March, and the recreation department scheduled to follow by August. Since its initial rollout, the system has seen substantial engagement, with over 409 individuals registered and more than 2,700 program enrollments. Feedback has been largely positive, with users appreciating the ease of registration, although there have been challenges with the mobile site navigation.
Concerns were voiced about the confusion surrounding the existing registration platforms, where searches for “wreck” led users to an outdated system. Efforts to improve communication include plans for email blasts and training sessions to ensure community members are well-informed and prepared for the changes.
The committee also addressed the software’s capabilities and limitations. While the system includes an AI feature for generating reports and statistics, there are limitations in how data is categorized, particularly in tracking attendance for non-class-related activities. There were also discussions around missing functionalities like confidential note-taking for social services and transportation management, which the current system handles. Rect Tech is considering developing these capabilities in the future.
The financial implications of the new software were also a focal point, with questions raised about the initial costs of purchasing and installing the system. The importance of clear financial reporting and transparency was underscored, with suggestions made to link all financial activities to specific General Ledger codes and to possibly establish a separate revolving fund for rental income.
In addition to software implementation, the committee discussed strategies for enhancing the visibility of the new registration system for seniors. The importance of ongoing training for seniors to improve digital literacy and aid them in navigating the new system was emphasized, with proposals for regular training sessions and proactive outreach efforts, such as sending postcards to unregistered seniors.
