Simultaneously, financial matters took center stage as the board reviewed the completion of two essential reports, a financial report, and a statistical data report, required by the Massachusetts Board of Library Commissioners. These reports, signed off before submission, are important for securing state aid awards. The board is now awaiting feedback on these submissions, which will influence future funding and library operations.
The dialogue then shifted to the budget proposal for the upcoming fiscal year. Library officials are considering submitting a request for additional funding to support an increase in hours for a part-time circulation staff member, a strategic move aimed at creating a Borrower Services Librarian position. Alternatively, the board is exploring the establishment of an on-call pool of staff to manage fluctuating staffing needs. This discussion highlighted the ongoing challenge of aligning the library’s staffing requirements with the town’s broader staffing policies, which have historically prioritized other departments over the library.
In an effort to bolster their case for increased funding, the board is focusing on the collection of data related to patron engagement and service levels. It was noted that the library serves approximately 3,000 patrons monthly. By presenting compelling data on door counts and circulation statistics, the board aims to advocate more effectively for the library’s staffing and operational needs.
The board also deliberated on the library’s participation in the Civic Fund’s winter tree decorations, agreeing to set up a tree with already available decorations. An estimated cost of $100 was discussed, and a volunteer stepped forward to cover this expense.
Additionally, the board considered the winter closing policy, opting to delay any decisions until feedback is received from the new Chief Administrative Officer.
As the meeting concluded, plans for the next board meeting were established, set to take place on November 12. Board members also discussed their participation in the upcoming Massachusetts Library Trustees Association (MLTA) conference, planning to coordinate transportation and collaborate on the experience, particularly for those attending for the first time.
